1. Introduction Southern Stallions Inc. is an incorporated association committed to transparency, accountability, and ethical conduct in all dealings. This Code of Conduct applies to all committee members, staff, volunteers, players, and representatives engaging in activities on behalf of the club. As an incorporated association, Southern Stallions Inc. adheres to all legal reporting requirements. Any breach of this Code may result in disciplinary action, including removal from the committee, in accordance with the association's constitution.
2. Ethical and Professional Conduct 2.1 All individuals must act with integrity, honesty, and in the best interests of Southern Stallions Inc. at all times. 2.2 Decisions must be made in a fair, unbiased, and transparent manner, free from personal conflicts of interest.
2.3 Confidentiality must be maintained regarding sensitive club matters, finances, and personal information.
2.4 Any misrepresentation or falsification of information in club dealings is strictly prohibited.
3. Financial Responsibility
3.1 All financial transactions must be handled with transparency and accountability, following the club’s Finance Policy.
3.2 No individual may misuse club funds for personal gain or unauthorised purposes.
3.3 Proof of purchase and appropriate documentation must be provided for all financial dealings.
3.4 Any suspected financial misconduct must be reported to the Treasurer and Executive Committee immediately.
4. Conflict of Interest
4.1 Individuals must disclose any potential conflicts of interest before participating in decisions that may personally benefit them or their associates.
4.2 Any decision-making involving a conflict of interest must be deferred to an independent party within the club or the Executive Committee.
4.3 Personal relationships must not influence club decisions or financial transactions.
5. Respect and Professionalism
5.1 All dealings with sponsors, members, players, and external stakeholders must be conducted respectfully and professionally.
5.2 Discrimination, harassment, bullying, or any form of misconduct will not be tolerated.
5.3 Members must act as role models, upholding the values of Southern Stallions Inc. at all times.
6. Compliance with Legal and Regulatory Obligations
6.1 Southern Stallions Inc. operates under the regulations of its incorporation and must comply with all legal reporting requirements.
6.2 All members must ensure that club dealings align with relevant laws, regulations, and the club’s constitution.
6.3 Any failure to comply with legal obligations must be reported to the Executive Committee immediately.
7. Disciplinary Action for Breach of Conduct
7.1 Any breach of this Code of Conduct will be investigated by the Executive Committee.
7.2 Should a serious breach occur, a special meeting will be called in line with the association’s constitution.
7.3 Depending on the severity of the breach, disciplinary action may include:
• A formal warning
• Temporary suspension from duties
• Permanent removal from the committee or club activities
7.4 The decision of the Executive Committee, following due process, will be final.
