    Landcare Regional Body: Information Request & Insurance Application

    Please use this form to provide updated information about your Regional Body, and renew/apply for insurance with Landcare NSW for 2025/26
  • Thank you for providing updated information about your Region, and your continued support.

    There are three main steps you will have to complete as part of this process:

    1. Please indicate whether or not you wish to access insurance through Landcare NSW as a Regional Body.
    2. Complete the below form to share up-to-date details about your Region.
    3. If you wish to access insurance, please complete Part II - Financials.
    4. Pay your invoice insurance upon receipt (if applicable).
  • PART I - GROUP DETAILS

  • Please provide contact details for the primary contact person within your group. 

    Note, this will be the main point of contact for all important notices, including invoices, invitations to our AGM, our Connections newsletter, invitations for grants and other funding opportunities.

    It is the responsibility of this nominated primary contact to cascade and forward on important information and announcements as appropriate.


  • Maintaining a member list

    Please note that you have a responsibility to maintain an up-to-date list of your current members.

    If you do not currently have a member register, please contact us for support and guidance. A template can be found here.

    Who is a member?

    The legal definition of a member "of a not-for-profit organisation is someone who has satisfied the requirements of formal membership of the organisation". 

    Your group's Constitution will include further specific formal definitions of who qualifies as a member.

  • A sub-committee is defined in according to NSW Associations Law & Regulation.

    It is governed and auspiced by the Committee of an incorporated association or other legal entity. A sub-committee is not a legal entity in its own right, and cannot hold an ABN or enter into a contract.

    For sub-committees that identify as local Landcare Groups and are recognised as a Landcare Group by a Landcare group name/logo, the following applies:

    • They are eligible for membership with Landcare NSW
    • A $50 membership fee applies per sub-committee listed on a Landcare Group’s membership application
    • Are insured under its “Parent” Landcare Group provided that this group is an insured member of Landcare NSW
  • PART II - FINANCIALS

  • Landcare NSW insurance fees for Regional Bodies are determined based on your group's expenditure during the 12 months immediately prior to your application. 

    E.g., if you apply for/renew your insurance in June, we will ask for your expenditure for the period May-May. 

    Expenditure is your Group/Entity's expenses (what you have spent) for the immediate past 12 months at the time of applying for membership minus any monies given to another LNSW Member Group.

    Examples include:

    • Program Costs: Expenses directly related to delivering your mission, such as community services, educational programs and initiatives, or environmental conservation and revegetation efforts.
    • Staff Salaries and Benefits: Wages for employees, including health benefits, superannuation, and training to ensure they can effectively support the group.
    • Administrative Costs: Office rent, utilities, insurance, legal fees, and technology expenses (software, computers, website hosting).
    • Fundraising Costs: Marketing, event planning, donor outreach, and grant writing efforts to secure funding and sustain operations.
    • Volunteer Support: Costs associated with recruiting, training, and supporting volunteers, such as background checks, uniforms, and travel reimbursements.
    • Outreach and Advocacy: Campaigns, workshops, or public awareness initiatives that align with your mission.
    • Equipment and Supplies: Any materials needed to run programs, including medical supplies, educational resources, or operational tools.
  • Insurance for Regional Bodies is calculated by the same criteria as for Landcare Groups.

    The following fee structure applies for the FY2025-26:

  • The Landcare NSW insurance program for Regional Bodies includes three standard insurance policies:

    • Volunteer Workers Personal Accident Insurance
    • Public and Products Liability Insurance
    • Protector / Association Liability Insurance

    Once your application/renewal has been processed, the primary contact will be emailed an invoice for the group's insurance fees, followed by a Certificate of Currency confirming your insurance cover once the invoice has been paid.
