Knox College Confidentiality Agreement
It is the responsibility of Knox employees to ensure the confidentiality of Protected and Confidential materials and information that they possess or become aware of in the course of conducting business or research. Protected and Confidential Data is defined in the Knox College Information Security Policy. Your access to and use of Knox Protected or Confidential Data is subject to the following terms and conditions.
1. I will use Knox Protected or Confidential materials and information only for its intended purpose and to conduct College business only. Access or use of information and data for, but not limited to, my own personal non- business related use, for the personal gain of myself or others, or to satisfy personal curiosity is strictly forbidden.
2. I will observe ethical standards, abide with applicable laws, College policies and all information security standards. These provisions may only be circumvented if a request for an exception has been requested in writing and approved by the Chief Information Officer and Vice President overseeing my office or department.
3. I will share Knox Protected or Confidential materials and information only with persons with a legitimate business need to view or access it. I understand that the College expressly forbids the disclosure of private and confidential information and data or its distribution in any medium, except as permissible by its classification and as required by my job duties and responsibilities.
4. I will follow control procedures outlined in Knox’s Information Security Policy and take reasonable measures to protect Knox Protected or Confidential materials and information.
5. I will not share my computer or network account credentials, Knox keys or access codes with others. If I have reason to believe that my computer or network credentials, physical access keys/codes, or those of another individual have been compromised, I will report it immediately to my direct supervisor and the Information Technology Services department in the case of computer/network credentials and Campus Safety in the case of keys or physical access codes.
6. I will not retain any Knox Protected or Confidential Data following my separation from employment with the College. I will cooperate with the College’s Information Technology Services Department and my Security Liaison to ensure that any Knox Protected or Confidential materials and information is securely and permanently deleted or otherwise removed from any personal devices or accounts where such data may be stored upon my separation from employment.
