  • BOOKING PROCEDURE 

    PLEASE CHECK THAT THE PROPERTY IS AVAILABLE FOR THE DATES YOU REQUIRE, BEFORE SUBMITTING THIS FORM. 

    Please note that bookings may only be made up to 12 months in advance.

    Once you have completed the Booking form, the Lettings Manager* will confirm your provisional booking and provide you with a reference number and details of how to pay the deposit (£300).

    Our Lettings Manager will confirm your booking when the deposit has been received. Provisional bookings will be held for a maximum of 14 days. If your deposit is not received in this period, your provisional booking will be cancelled.

    The balance of your fees are due four weeks prior to your stay. Once the balance of your fees has been received, you will receive details of how to enter the property.

    * Please note: As we are a charity our Lettings Manager is a volunteer with a full time job, however she aims to reply within 2-3 working days.

    USE OF OUR PROPERTIES

    The Cambrian Coast Evangelical Trust is a Christian charity. We ask guests to respect this and to ensure that their behaviour whist staying at our property does not damage the reputation of the charity.

    The group leader must be a responsible adult of at least 21 years of age who is staying with their group in the property. The group leader is also responsible for all costs involved in the reservation including loss or damage, as well as the behaviour of their group.

    Guests agree to use the internet provided fairly and appropriately for general use such as the world wide web, email, messaging, social media, etc. Please note it is not intended or suited for heavy media streaming, online gaming, extensive downloads / uploads. We may monitor network performance and usage in order to maintain a fair and high level of service to all our guests. The use of our network for illegal activity is prohibited and will be reported to the authorities.

    We reserve the right to terminate a booking without refund and refuse future bookings if the behaviour of any member of your group is antisocial.

    We reserve the right to terminate a booking without refund and refuse future bookings if your group is larger than the stated occupancy of the property.

    Smoking or use of e cigarettes are not permitted anywhere inside the property.

    Dogs are permitted but no other pets are permitted without prior consent from the Trust. Under no circumstances are dogs to be left unattended in the property or allowed above the ground floor of the property.

    On no account may Electric Vehicles, including bikes and scooters be charged from the house mains supply.

    Guests are expected to treat our property and facilities with care and respect so that others may continue to enjoy them in the future. 

     

    PAYMENT

    A non-returnable deposit of £300 must be made to secure your booking. The balance of fees must be received by us no later than 4 weeks before your booking commences. Bookings made within 6 weeks of the holiday start date must be paid in full at the time of booking.

     

    CANCELLATIONS

    If the balance is not received by the due date, your holiday will be treated as a cancellation.

    If you cancel within 30 days of your holiday date the full amount of your booking will be payable.* If you cancel 31-60 days before your holiday, we reserve the right to claim payment of 50% of the cost of your booking.*

    If you fail to arrive on the day your holiday commences, or leave earlier than the end date, you will not be entitled to any refund of monies paid.

    * If we are able to re-let the period of your booking, we will refund any monies paid less your deposit.   

     

    DEPARTURE CHECKLIST AT THE END OF YOUR STAY

    We keep our booking fees as low as possible, however to ensure we can continue to do so, before you leave we need you to fully complete all sections of the departure checklist, copies of which are available on the notice board by the front door. If you do not complete everything on the checklist, or you leave the property in a poor state, an additional charge for longer cleaning may be requested, and it is unlikely you will be allowed to rent from us again. 

    You are liable for any loss or damage, howsoever caused, during your stay. Accommodation will be inspected at the end of your stay and you will be billed for any such loss or damage.
