    • Thank you for your interest in an ITChicTravels trip! We realise you have many choices and apppreciate your trust and interest in booking with us. To ensure a smooth booking and travel experience, please review and agree to the statements below by checking the boxes

    • Airfare. This trip does not include International airfare.

      Payments. All payments made to ITChicTravels or tour operators are non-refundable and non-transferable. Except as detailed below within the section titled "Trip Refund & Reimbursement Policy.

      ITChicTravels trips are for current Facebook group members or "confirmed" members by an admin. Members are confirmed once they receive a confirmation email from ITChicTravels admin. If ITChicTravels is unable to verify an attendee's membership based on the contact information provided, a deposit will be refunded.

      ITChicTravels reserves the right to refuse a trip attendee's deposit for any reason.

      Travel Documents. All trip attendees are required to submit flight and travel insurance information to ITChicTravels at least 8 weeks before trip departure date. ITChicTravels will provide each trip attendee with a link or email address to submit requested information.

      Contact information. It is the trip attendee's responsibility to provide ITChicTravels with accurate contact information. Trip registration should be made in the name as it appears on trip attendee's passport/travel documents.

      Information Deadlines. All trip attendees must submit all required trip information on time as requested by ITChicTravels. Guest trip is subject to cancellation if information is not received on time. All trip information is required at least 8 weeks before the trip departure date. ITChicTravels will notify trip attendees when any information is due and how to submit it. No special arrangements will be made for missed deadlines.

      Tardiness 1a. ITChicTravels will not reimburse/discount any trip attendee if any part of the trip is missed for any reason. This includes but is not limited to late arrival due to flight delays, early departures, delayed airport transfers etc. ITChicTravels will do our best to reschedule an activity given that rescheduling does not add any additional expenses to ITChicTravels. If ITChicTravels is unable to reschedule at no additional cost, there will be no reimbursement/discounting of any activity.

      Tardiness 1b. ITChicTravel trips and excursions depart on time. Trip attendees will be provided with a final itinerary before the trip departure date. ITChicTravels will leave promptly at the time listed on the itinerary. Anyone not present at the time of departure is subject to being left behind. ITChicTravels will not reimburse anyone who misses an activity due to not arriving at the departure location on time. If there are any changes to the times of departure all trip attendees will be notified in person or via Whatsapp.

      Pre & on trip support. Any trip related questions or concerns from trip attendees should be emailed to hello@itchictravels.com.

      Hotel Deposits. ITChicTravels covers the full price of each room; however, trip attendees may be asked for a credit card upon check-in for their room incidentals. ITChicTravels will alert trip atendees when providing the final trip itinerary the deposit amount required by the hotel.

      Occupancy. Double occupancy is a shared room with two beds. Trip attendees can pay an additional cost for single occupancy which is a non shared room with one bed. Any trip attendee who does not have a roommate at least 2 months before the trip departure date ITChicTravels will assign them a roommate. After the deposit is paid, ITChicTravels will not accept any changes to room type. Hotel stay may require a security deposit for each room. Trip attendees are responsible for that deposit. The deposit is a hold that will be applied to your credit card and then released after check out.

      Itinerary. ITChicTravels' trips are planned months in advance and the initial itinerary provided is subject to circumstances that may result in changes. ITChicTravels will do everything in our power to ensure that the trip goes on as planned. Changes may result in shorter breaks between activities or a change of activity. An initial trip itinerary will be provided at least 2 months after the trip options for booking.

      Invoices. ITChicTravels trip payment invoices are sent to customers on the 15th of each month. I understand that if I do not receive an email on the 10th of the month that it is my responsibility to notify ITChicTravels that an invoice was not received before the invoice due date of the 15th. I furthermore understand that I am still held to all trip payment due dates and cancellation terms if I decide not to alert ITChicTravels that an invoice was not received by the 15th of the month.

    • Airport transfers 1a.

      Airport transfers are provided by ITChicTravels on the trip start date (9am - 11pm local time) and final day (12am - 4pm local time) of the trip. If the trip attendee arrives before the trip starts, arrives to the trip late, leaves before the trip ends, arrives or departs outside of the said times, or stays longer than the trip last day, it is trip attendee's responsibility to make  their own lodging, local transport, and airport transportation. If  ITChicTravels confirms that our driver is at the airport to pick trip attendee up, and trip attendee decides to book their own transport, there will be no reimbursement for airport transport given. In addition, ITChicTravels' driver will wait a MAX 60 minutes after the set transfer time/flight arrival time (if there are any delays) for trip attendee to arrive at the pick up area. Our driver will leave after 60 minutes of waiting for the passenger. ITChicTravels will not reimburse any trip attendee who misses the pre-arranged transfer. 

      Airport Transfers 1b.

      ITChicTravels prepays for airport transfers 30-45 days before the trip based on arrival/departure times. Arrival flight delays are monitored by our transport partners whom in turn are able to wait for any trip attendee's late arriving flight. Regarding departure times, our transport partners are not as flexible. Please note that no changes to departure times or counts will be made less than 4 weeks out from the trip or during the trip. If trip attendee  provides their flight information to ITChicTravels after it is requested (2 month before departure) trip attendee will need to arrange their own arrival and departure transfer. If Trip attendee's departure flight is delayed, trip attendee decides to take a different departure flight or make any other changes that cause a change in the departure time that was relayed to ITChicTravels a month before the trip; the trip attendee can use the departure transfer provided by ITChicTravels at the time confirmed when providing the final itinerary or trip attendee can arrange their own transfer at their own expense.

    • FLEXIBILITY

      The ideal traveler is someone who embodies patience, flexibility, a willingness to try new things, appreciations and respect for diversity(e.g., people, customs, languages, religions), a desire to learn, grow, evolve, is not a constant complainer, can engage with other trip goer's, has the ability to do a bit of research, and has an overall spirit of fun and adventure.  ​Not all places have familiar standards of the Western world (customer service, service times, food selections, air conditioning, ice, straws, cultural, religious norms, transportation, washcloths, etc.). We  encourage all travelers to research our destination before the trip is booked so  they are well aware of the conditions of where we are traveling. During periods of the trip, attendees may or may not be able to access wifi and sometimes the wifi signal can be spotty. ITChicTravels cannot guarantee working wifi or internet at anytime during the trip.

      ENGAGEMENT 

      Group engagement is welcomed and encouraged amongst all trip attendees.  our trips are a great way to make new friends amongst trip attendees.  Our group trips are positive spaces and as often as possible we will create an online group for trip attendeed to share information and bond 4 weeks before the trip.

      ACTIVITIES 

      Our trips are often packed with activities to ensure you get your money's worth! Trip attendees are welcome to opt out of any day or activity.   There are no credits given if trip attendee decides to sit out or not attend an activity.   

      TRANSPORTATION 

      Trip transportation will vary based on the trip location and group size.     

      ​​SHOPPING Our trips are centered around providing participants with as many activities as possible.  There will be breaks in our trips that allow for some time to shop, but participants should know that spending several hours shopping is not something we can guarantee.  

      LOCAL CUSTOMS​

      On many of our trips we will be interacting with locals, working with them and being invited into their homes, we ask that attendees be respectful of local customs. Our cultural trips are focused on getting to know the people and are designed to be less touristy, and excludes major tourist attractions.

      PATIENCE 

      ITChicTravels will do our best to ensure that our trips run according to schedule.  However, trip attendees should be aware that at times we run ahead or behind schedule.  Attending our trips will require that participants are patient at times.  

      DIETARY RESTRICTIONS

      Trip attendees should be aware that unlike the US, many of the places we visit may not have the variety of meal options to cater to restricted diets.  Strict dietary restrictions may result in minimal food options for those attendees who may be vegan or have food allergies.

      PRE-TRIP COMMUNICATION

      Pre-trip communication will be handled via email at hello@itchictravels.com. Please include what trip you are on in the email. This email should only be used for those who are on a trip or paying on an ITChicTravels trip.

      A tentative trip itinerary will be provided to customers at least One month before the trip departure date. A final trip itinerary will be emailed to trip attendees at least one (1) week before the trip departure date. Any trip updates will be communicated to trip attendees via email. Trip Attendees should note that ITChicTravels will do it's best to keep to the initial itinerary, but things are subject to change causing for the possible change in schedule.

      ITChicTravels will keep customers alert to any possible changes regarding the trip scheduling and or lodging. Trip attendees who have questions about the trip itinerary should email hello@itchictravels.com.

      ON-TRIP COMMUNICATION

      Trip attendees are asked to print out the final trip itinerary and bring it along with them on the trip. While on the trip our local tour operator, or an ITChicTravels team captain will alert each customer as to the meeting time and place of each day's activities. Trip Attendees are responsible for ensuring that they are at the meeting points each day on time. ITChicTravels' trips run on time. Tour operators and ITChicTravels will give all trip attendees a (10) minute grace period before departing. No reimbursement will be given if trip attendees arrive late or miss an activity.

      Trip Attendees will be given an emergency contact number to reach ITChicTravels while on the trip. Trip Attendees can also email us at hello@itchictravels.com if they have any questions during the trip. Trip attendees should note that due to time differences response times can be delayed. It is essential that trip attendees ensure that they connect with the local tour operator or ITChicTravels team member each day to get any updates to the schedule, meeting time or meeting point.

      COUNTRY ENTRY REQUIREMENTS

      Entry requirements listed on your trip itineraries are directly from the US State department's website. They are pulled at the time the itinerary was created, which is before the trip opens. We are not constantly updating that information on the itineraries, so things could be slightly different once it reaches you. We only source entry requirements from the US State Department and or from that country's government website; both are usually the same.


      It is up to each traveler to keep updated on entry requirements throughout the year. At least (1) month before your trip departure, ITChicTravels will alert trip participants of any required entry requirements

      Our team monitors every trip we are hosting and will alert you if there are any need to know updates or changes. We will do our best to verify information and update you as quickly as possible.  

      Note: ITChicTravels has no control of the travel world's constant changes; we can only update you as changes become available through reliable sources.

      MASK WEARING REQUIREMENT

      All travellers participating in a 2022 ITChicTravels trip will be required to wear a mask in the company of other trip participants, group transportation transfers, etc. regardless of vaccination status.

      In addition you will need to adhere to in-country mask requirements or mandates.

      TRIP DEADLINES
      INTERNATIONAL FLIGHT
      Flight information for all travellers attending an ITChicTravels trip is required at least (6) weeks before trip departure. No flight booking assistance is provided by ITChicTravels unless included in the trip cost.


      International Flight Submission Deadline:
      All flight information must be submitted to ITChicTravels least (6) weeks before the trip departure date. Any participant who fails to provide their flight information is subject to complete trip cancellation without a refund.
      (2) Months before the trip departure date, ITChicTravels notify trip you via email the steps to submit your flight information. Flight information sent via email will not be accepted.

      TRAVEL INSURANCE
      ITChicTravels requires that all travelers purchase travel insurance. With current travel climate please verify that you have Covid coverage. The minimum coverage amount for travel insurance is $250,000. We highly encourage you to buy travel insurance as soon as possible. In the vent you  must cancel your trip, you can go to your travel insurance policy to seek reimbursement.
      • The minimum coverage amounts of $250,000 must include medical and evacuation. When adding the line item labeled medical in the travel insurance policy to the line item marked evacuation in the travel policy; that coverage amount must total at least $250,000
      • ITChicTravels does not provide recommendations on travel insurance carriers, and they all have different terms and policies. As a starting point in your search, we have provided articles that discuss travel insurance.

      VISA
      If the trip requires a visa, please read below:
      • The trip visa should be obtained before the trip departure date.
      • ITChicTravels does not assist in the process of getting a visa.

      Visa Submission Deadline:
      ITChicTravels will require proof of Visa at least (3) weeks before the trip departure date.
      (2) Months before the trip departure date, ITChicTravels will notify you via email the steps to submit your Visa information. Visa information sent via email will not be accepted.

      PASSPORT
      If the trip requires your passport information, please read below:
      • Required passport information may be needed when you sign up or after.
      • Travelers confirmed passport information is required at least (1) months before the trip departure date.
      • ITChicTravels will book a traveler's  flight with the most recent passport information provided.
      • Travelers will be responsible for any fees associated with providing ITChicTravels incorrect, wrong, or expired information.

      Passport Submission Deadline:
      (1) Months before the trip departure date, ITChicTravels will notify you via email the steps to submit your Visa information. Visa information sent via email will not be accepted.

      Failure to provide required information per the deadlines above will result in trip cancellation. ITChicTravels will notify the trip attendee if the required information has not been received on time. Trip attendees will be provided 24 hours to submit the requested information. After 24 hours, if the information has not to be received, the attendee's trip will be canceled.

      PAYMENTS

      Non-Refundable Deposit of $250 USD – Due upon purchase today

      Trip payments start on  Feb 15th, 2022. This means 1st trip payment will be due on Feb 15th.

      Subsequent monthly payments are due on the 15th regardless of when the deposit is made.

      There are no changes to room type allowed after booking; no exceptions.  Please ensure you select the right room type (single or double) when submitting your deposit. 

      TRIP PAYMENT TERMS 

      Pay Remaining Balance over 3-month period (payments due on the 15th of every month regardless of when deposit is made) - Monthly payment is total trip cost minus trip deposit dividend by 3. Payments are due on the 15th of each month regardless of when deposit is made.  Payments must be made on time.

      Trip will be automatically cancelled after ONE missed payment.  No refund of deposit or payments will be provided to a trip cancelled due to missed payments. If trip is cancelled due to missed payments, trip deposit cannot be applied to any future  ITChicTravels trips.

      Attendees will be given a 2-day grace period after the 15th of the month to make their payment.  If trip payment is not received by 11:59pm EST on the 17th of the month the trip will be automatically cancelled.  

       

       

    • TRIP REFUND AND REIMBURSEMENT POLICY

      24-HOUR CANCELLATION.  

      Deposit will be refunded upon request up to 24 hours after trip has been booked. After 24 hours of booking no refunds of deposits will be given.

      ​NON-REFUNDABLE DEPOSIT AND PAYMENTS. 

      After 24 hours of booking no refunds of deposits or payments will be given.

      ​DEPOSIT TRANSFER TO ANOTHER TRIP 

      Trip deposit cannot be applied to another trip.  Another trip includes the same trip itinerary that is offered on a different week than what was booked.  

      PAYMENT TRANSFER TO ANOTHER TRIP

      DEPOSIT OR PAYMENT TRANSFER TO ANOTHER PERSON

      Trip deposits nor trip payments cannot be transferred to another person. 

      ​We highly encourage you to purchase travel insurance so your travel insurance policy can reimburse you in the event you need to cancel your trip for any reason. ITChicTravels will not reimburse anyone outside of the terms disclosed above. If trip attendee is unable to make the trip due to medical issues, trip attendee needs to work directly with their travel insurance provider for trip reimbursement. 

    • TRIP REFUND AND REIMBURSEMENT POLICY

      TRIP CREDIT TERMS & USAGE
      Trip Credit Terms:

      The trip credit amount is the total amount paid to ITChicTravels for the cancelled trip. The credit amount does not include any discounts applied to payments. 

      ITChicTravels will confirm Trip Attendee trip credit via email. The trip credit email is formal confirmation that the company has a credit on file for Trip Attendee. No other assurances or certificates will  be given.

      Trip credit can only be used on a trip taking place during the period mentioned in the refund section of this document. The trip must be traveled or commenced between the dates mentioned in the refund section of this page. Not that the deposit has been paid for a trip occurring anytime outside of that time range.
      Credits can only be used on ITChicTravels trips. 

      The usage of such credit will be applied to a trip with travel period outlined in the Customer Cancellation section of this registration form.

      Trip Credit Usage:
      Attendees should not book new trips until a trip credit confirmation email is received.
      • Attendees will still be required to book any subsequent trip as usual by paying the trip deposit to secure a spot on the trip.
      • The Attendee can then notify ITChicTravels of their intent to use the credit to be applied to that trip. Once the credit is applied, ITChicTravels adjusts down the trip monthly payments accordingly. Trip Attendees can expect trip payments to start per the trip payment terms.
      • Attendees will be allowed to make one trip credit request and will not be permitted to request to be moved to a different trip or make additional transfers.
