  • Troop/group sponsorship is a voluntary association of a Girl Scout troop/group and an organization or individual. Sponsorships by organizations whose ideals and objectives are in accord with the Girl Scout movement are one way to deliver Girl Scout programming to more girls. To avoid multiple requests of an organization/funder/donor, the Council must be notified of all sponsorships, grant requests/awards regardless of amount.

    Troops/Groups SOLICITING sponsorships need to first
    complete an Money Earning Activity Request Form. 

     

    Please review and agree to the following guidelines.

    Sponsoring Group Responsibilities

    1. Must adhere to national and Girl Scout policies and standards.
      • Optional: Ask sponsoring members to share hobbies and special interests.
      • Optional: Assist the troop in providing a meeting place that conforms to Girl Scout policies and standards.
      • Optional: May include a financial donation or a material (in-kind) donation.
    2. Must follow the policies guidelines as posted in the Troop Finances section of Volunteer Essentials. 

    Girl Scout Troop/Group Responsibilities

    1. Provide opportunities for a troop/group to meet other girls in a variety of activities.
    2. Confirm sponsoring company/agency/individual Mission aligns with the Girl Scout Mission.
    3. Plan inter-troop activities at a time and place and with the program acceptable to the religious, racial, and cultural groups involved.
    4. Keep the sponsor informed of current Girl Scout activities and trends.
    5. There is no financial obligation on the part of a sponsor.
      However, a sponsor may give financial aid, should they desire to do so.
      • Money in excess of $250 must be sent to the GSMW Council office with a copy of this form for processing.
      • If a sponsor desires a tax deduction letter from GSMW, the funding must be routed through GSMW, regardless of the amount.

    Tax-related Information

    1. To protect the Girl Scouts of Montana and Wyoming tax-exempt status and GSUSA charter, all troops and individuals must follow federal, state and organizational policies.

    2. As a general rule, gifts/donations given to the GSMW Council are tax deductible.

    3. An individual or troop/group is NOT a legal entity in and of itself, therefore is not tax-exempt. Gifts/donations are NOT tax-deductible when given directly to non-tax-exempt entities.

    4. Troops/groups/Service Units/individuals may NOT use a tax-exempt ID assigned to a Council by the IRS without council approval.

    5. Volunteers should never provide tax information directly to sponsors or contributors. ONLY the Council can write letters/receipts to recognize tax-exempt donations given to the Girl Scouts of Montana and Wyoming.

  • Grant Requests

    To avoid conflicts with Council donation/development efforts, troops/groups, individuals must receive permission from the Director of Development BEFORE ASKING (including submitting grants and requesting sponsorships) for any donation/request above $250.

  • Monetary donations exceeding $250 must be approved and processed through Council headquarters. For audit purposes and for ease of processing, please include a copy of this form (you'll receive a copy via email) when sending the check to Council. Your sponsor WILL NOT receive a tax-exempt letter from GSMW if it's check is not written to GSMW and processed by the Council. Once processed, monetary donations will be disbursed via Electronic Funds Transfer (EFT) to the Troop/SU bank account.
