  • Colfax Bazaar Vendor Participation Agreement

  • Thank you for participating in The Colfax Bazaar, a curated outdoor marketplace presented by the Historic Colfax Downtown Association (HCDA) in historic downtown Colfax, California.

    To maintain a safe and successful event for vendors and visitors, all participants must review and agree to the following terms before reserving a vendor booth.

    Event Information
    The Colfax Bazaar
    Location: Historic Fruit Exchange Building and surrounding outdoor areas
    Address: 229 Railroad Ave, Colfax CA 95713

    Vendor Setup Begins: 5:30 AM
    Early Bird Entry: 7:00 AM
    General Admission: 8:00 AM
    Event End Time: 3 PM Vendors must remain open for the full event hours.

    Vendor Booth Space
    Vendor spaces are located outdoors.

    Each vendor space includes:

    • One 10 ft x 10 ft booth space
    • Placement within the event footprint near the Historic Fruit Exchange Building

    Vendors must provide their own:

    • Tent or canopy
    • Tables
    • Chairs
    • Displays
    • Tent weights or anchors

    No electricity is provided.

    Vendors may rent multiple booth spaces if additional room is required.

    Tent Safety Requirement
    For safety reasons, all tents and canopies must be properly weighted.

    Each tent leg should have adequate weights to prevent movement in wind conditions. Vendors are responsible for ensuring their setup is safe and secure.

    The Historic Colfax Downtown Association reserves the right to request adjustments to any booth setup that poses a safety risk.

    Booth Setup and Breakdown
    Setup begins at 5:30 AM.

    Vendors must:

    • Be fully set up before the event opens
    • Keep their booth open for the full duration of the event
    • Not begin packing up before the event ends

    Early breakdown disrupts the event and may affect participation in future events.

    Vendor Responsibilities
    Vendors are responsible for:

    • Their booth setup and equipment
    • Maintaining a safe and clean booth area
    • Removing all trash and materials after the event
    • Ensuring products sold are safe and appropriate for public sale

    Vendors may only sell items that were described in their vendor application.

    The Historic Colfax Downtown Association reserves the right to request removal of items that do not align with the event’s curated marketplace theme.

    Business License and Seller’s Permit
    Vendors are responsible for complying with all applicable federal, state, county, and local laws.

    This may include:

    • A valid California Seller’s Permit for taxable goods
    • Any applicable local business licenses
    • Proper reporting and payment of sales tax

    Vendor is solely responsible for obtaining any permits required for the sale of goods or services.

    Food Vendor Health Regulations
    Food vendors must comply with all Placer County Environmental Health Department regulations governing temporary food facilities.

    Food vendors are required to provide the following prior to participation in the event:

    • A valid Temporary Food Facility Permit issued by Placer County Environmental Health (if required for their operation)
    • Proof of liability insurance

    Food vendors must upload copies of these permits and documents in the file upload section below as part of this vendor agreement form.

    Failure to provide required permits or documentation may result in removal from the event without refund.

    Food vendors are responsible for operating in full compliance with all applicable food safety and sanitation regulations.

    Food vendors using cooking equipment or heat sources must have an appropriate fire extinguisher available at their booth.

    The Historic Colfax Downtown Association, the Historic Fruit Exchange Building, and the owners, managers, tenants, agents, and representatives of the Fruit Exchange Building property do not provide insurance coverage for vendors, their property, or their employees.

    Other 

    By participating in the Colfax Bazaar, the vendor agrees to release and hold harmless the Historic Colfax Downtown Association, its board members, volunteers, partners, event staff, the Historic Fruit Exchange Building, and the owners, managers, tenants, agents, and representatives of the Fruit Exchange Building property, from any and all claims, liability, damages, losses, or expenses arising from participation in the event, including but not limited to:

    • injury
    • property damage
    • theft
    • loss of property or merchandise

    Participation in the event is at the vendor’s own risk.

    Vendor agrees to indemnify and hold harmless the Historic Colfax Downtown Association, its board members, volunteers, partners, event staff, the Historic Fruit Exchange Building, and the owners, managers, tenants, agents, and representatives of the Fruit Exchange Building property, from any claims, damages, or legal actions resulting from the vendor’s products, services, booth setup, or activities during the event.

    The Historic Colfax Downtown Association shall not be held responsible for cancellation or interruption of the event due to circumstances beyond its control, including but not limited to:

    • severe weather
    • natural disaster
    • government restrictions
    • public safety concerns
    • other unforeseen events

    Vendor grants permission for photographs or video taken during the event that may include their booth, products, displays, or likeness to be used by the Historic Colfax Downtown Association for promotional and marketing purposes, including websites, social media, and other promotional materials.

    Vendors who fail to appear at the event without prior notice may not be invited to participate in future Colfax Bazaar events.

    Vendor fees are non-refundable unless the event is canceled by the organizer.
