    Disbanding Troop Form

    This form is to be completed within 30 days as part of the final steps to disband a troop. Failure to complete the Troop Disbanding Form will result in action by council. By completing this form you have confirmed that you have reviewed and completed the Troop Disbanding Procedures.
  • DISBANDING PROCEDURES

    Before the Troop Disbands

    • Hold a meeting with the parents in the troop to see if new co-leaders can be identified. Notify your Membership Specialist of this intended meeting.
    • List leaders continuing the troop in the corresponding section below.
    • If no adult will continue leadership of the troop, list girls in the corresponding sections below with troop preference if any.
    • Inform parents of existing troop funds and give the girls the opportunity to decide how to use the funds before they disband. Inform parents of the procedures for distribution of remaining troop funds (see “Troop Funds” below), and how the funds will be divided.

    Troop Funds

    • Helping girls manage money is an integral part of the Girl Scout Leadership Experience. Your Girl Scout troop is responsible for planning and financing its own activities, with your guidance. This puts girls in charge, giving them the opportunity to determine what the remaining troop funds will be used for. Remember that the troop/group money belongs to Girl Scouts, not the individual girls in the troop/group, and the funds should be used in a manner compatible with the Girl Scout program goals. The funds are never divided up and distributed to the girls as cash, gift cards, or merchandise.
    • Close the troop bank account. Once all checks have cleared the bank, make sure the account is closed. For any remaining unused funds, have the bank issue a Cashier’s Check for remaining funds payable to the Girl Scouts of Louisiana-Pines to the Gulf.

    Troop Property

    • Troop property includes any supplies/equipment purchased with troop funds (for example Program Books, Flags, Camping Equipment, etc.) If troop property is not transitioned to new leadership, it can be donated to the service unit, other troops, and/or non-profits.

    Finalizing Financials

    • If any volunteer currently holds a troop leader or treasurer role, the financial report is required to be submitted through the VTK.
    • If the troop leadership no longer holds any active memberships, the financial report can be submitted as an attachment below.

  • Potential Leader Information

  • Troop Funds

  • All troops/groups that stop meeting for a length of time or no longer have an active leader, must turn in to the council the balance of their troop/group account. The funds will be held for one year by the council pending troop reactivation.

    Girls who have earned the funds in a troop account are encouraged to use the funds for a Girl Scout activity. The troop may decide to donate any unused funds to their service unit, to another troop, or to pay for girl activities. Girl activities can include purchasing materials to support another organization through Take Action projects. Volunteer Essentials states any remaining funds become the property of the council for girl programming.

  • Upon completion of this form, a Troop Leader should submit a final Troop/Group Finance Report and distribute any other supplies or materials belonging to the troop as noted above. 

    If any volunteer currently holds a troop leader or treasurer role, the finance report is required to be submitted through the VTK.

    If the troop leadership no longer holds any active memberships, the finance report can be submitted as an attachment below.
