General 'Room Booking' Conditions
We respectfully remind all clients of Westhaven Retreat that a “Room Booking” constitutes a contract between themselves and the hotel. These conditions apply to all Room Bookings of up to four rooms in any one booking. For any booking of five rooms or more, the hotel’s “Conference Event and Group” booking conditions will Westhaven Retreat reserves the right to request a deposit at any time of up to the total value of a “room booking” as detailed in any verbal or written confirmation.
“Room Bookings” with or without a deposit will only be accepted with accurate and valid credit/debit card details and will be used as a guarantee for up to the full and final value of the booking.
Either a written or verbal confirmation of a booking constitutes a legally binding acceptance of a contract. The cancellation policy (as detailed below) will therefore be considered as accepted. The submission of credit/debit card details also confirms an agreement that payment in case of cancellation of a room/s booking (as detailed below) may be taken without warning.
The submission of false or invalid credit/debit card details will constitute a legal breach of contract.
All outstanding accounts must be settled prior to departure unless otherwise agreed.
Within 7 days of arrival 100% charge for the room nights cancelled
Within 7-30 days of arrival 50% charge for the room nights cancelled
Outside of 30 days of arrival there is no cancellation charge.
Except for the period 20th of December to the 10th of January when the following penalties applies:
Within 90 days of arrival 25% charge for the room nights cancelled
Within 60 days of arrival 50% charge for the room nights cancelled
Within 30 days of arrival 100% charge for the room nights cancelled “No shows” will be charged at 100% of the applicable rate, for the total stay.
Westhaven Retreat recommends that clients obtain appropriate travel insurance to protect against all unforeseen cancellations - including any cancellation caused by inclement weather and ill health. All cancellations MUST be made in writing either by email or by registered post.
Westhaven Retreat reserves the right to alter published room rates, if necessary, without notice.
Only major credit/debit card and cash payments are accepted. Personal cheques will not be accepted under any circumstances. The confirmation of any reservation is subject to availability and will be accepted at the discretion of the management.
All room rates and ancillary charges are quoted “inclusive” of GST (15% local government purchase tax)
At the discretion of the management, Westhaven Retreat has the right to terminate a “Room Booking” contract at any time.
Arrival and Departure – Room Booking Conditions guarantee that rooms reserved in advance will be available from 2.00pm on the day of arrival unless exceptional circumstances prevail. Departure time is 10.00am. Late departure arrangements can only be made in advance and are strictly subject to availability.
Smoking - New Zealand law prohibits smoking in enclosed public spaces. In addition, smoking is not permitted in any hotel bedroom. Smokers are respectfully asked to smoke outside.
Confirmation, verbal or written of all “Room Bookings” constitutes agreement of the above conditions. A cancellation of any “Room Booking” MUST be made in writing either by email or by registered post.
