ACCESS College & Career Fair/ College Access Live exhibitors play a major role in the success of each educational event. The College ACCESS Group (CAG), along with its sponsors and members of the local planning committee, are responsible for creating a professional and safe environment for the delivery of the ACCESS College & Career Fair/ College Access Live program.

When you register for an ACCF Virtual Session, you receive access to the event for all four opportunities throughout the Session. Your virtual booth will be activated, and you can have live or pre-recorded presentations during the session times provided.
Exhibitors are not required to be live for the complete duration of each event. We are creating an "open" experience; you can have as many or as few webinar presentations as you choose. We suggest creating a schedule of events/presentations that we can share with students on your virtual booth page as well as in our promotions to ensure students are entering your live webinar at the appropriate time. However, students will be able to leave messages and email within your virtual booth space if you are not live, and you will be able to respond to them directly when you do receive their inquiry.
Your Virtual Booth will be built prior to the start of the event. You will be contacted by College Access Group via email to build your custom virtual booth. Please be prepared with any official logos, promotional videos, testimonials, statistics, and awards that you would like to be displayed on your virtual booth page. Additionally, College Access Group encourages you to create and send a 2-minute introductory or promotional video of your institution/ organization/company that we may use to promote you on our social media pages Facebook, Instagram, Twitter, and Youtube prior to the fair events.
Will colleges receive student contact information? Yes! All participating colleges will receive prospective student information at the conclusion of the virtual event. Students opt into sharing their contact information with the College Access Group upon registration and event access. Additionally, students are given the opportunity to "opt-in" to share their registration information with third-party entities that are in a collaborative partnership with College Access Group for ACCF events (which includes all exhibitors and sponsors of ACCF). Also, you will have the opportunity to conduct polls during any of your webinar sessions to see if students are interested in learning more about your particular school, program, or company. You also will have the ability to chat and talk live with attendees, and able to obtain student contact information during live communication.
We will be utilizing multiple platforms for ACCF Virtual, including ZOOM and Google Meet to conduct the live webinar feature of the virtual fair. We will ensure you are aware of which platform we will be utilizing for each individual Session prior to the start of the event. You will be required to utilize your own webcam for this purpose. Additionally, we strongly suggest that you outline your presentation schedule agenda and share it with us. We would love to promote your presentation schedule to as many students as possible, as well as feature your agenda prominently on your virtual booth page. You will have a feature within your virtual booth where you will be able to engage with participants. You will have control as the meeting host to enable the audio feature to talk with attendees directly if you choose, however, the chat functionality will be automatically enabled.
CAG will have a dedicated staff person that will be able to work with you on Zoom and Google Meet functionality and any technical situations that may arise.
All ACCESS College & Career Fair/ College Access Live event changes and cancellations must be submitted in writing on institutional/company letterhead by email to firstname.lastname@example.org. In the subject area, please note ACCF/ College Access Live Cancellation. All refunds are subject to a $25 processing fee.
● Timeline for Cancellation/Refunds:
o ACCF Virtual Session 1: If notification is received in writing by August 24, 2020: 50% Credit/Refund (less $25 processing fee). No Refund if notification is received on or after August 25, 2020.
o ACCF Virtual Session 2: If notification is received in writing by September 14, 2020: 50% Credit/Refund (less $25 processing fee). No Refund if notification is received on or after September 15, 2020.
o ACCF Virtual Session 3: There are No Refunds for Session 3.
Special Note: At this time, we are unable to extend full refunds for multi-fair registrations for the ACCESS College & Career Fair Virtual Experiences after Session 1. If you pay the multi-fair price and need to cancel your participation after Session 1 is complete, we will extend the 50% Credit/Refund policy to you. We are more than willing to work with you on a case by case basis. Please email us at email@example.com to discuss it in more detail.
If the ACCESS College & Career Fair/ College Access Live event is canceled by circumstances beyond the control of CAG - such as acts of God, war, government regulations, disaster, civil disorder, or curtailment of transportation facilities - to the extent that such circumstances make it illegal or impossible to allow the ACCESS College & Career Fair/ College Access Live event to occur, the registrant agrees that they will not hold CAG/TWG liable for the cancellation and/or disruption of the program.
In the event that the ACCESS College & Career Fair/ College Access Live event is canceled by any circumstance or issue other than those described above, Exhibitors will be contacted immediately and will receive a full refund for payment within 30 days.
