TERMS AND CONDITIONS
Facilities are rented on a first come, first serve basis. The undersigned agreement is between the “Sherrills Ford Optimist” and the “Renter.” This rental agreement is effective 8/1/2025. *Please note that if you rented before 8/1/2020, your contract is only valid until your last scheduled practice. If you want to renew your contract, you will need to agree to our new terms and fees.
1. Only use of the rented fields is allowed.
2. ABSOLUTELY NO VEHICLES ALLOWED ON THE FIELDS.
3. Renters must be 18 years or older and be present on-site during the entire rental event. Renters are responsible for the conduct and behavior of their group and for enforcing the terms of the Rental Agreement.
4. Refunds and/or rescheduling of athletic field rentals will be made when Sherrills Ford Optimist closes the fields due to inclement weather, when the fields are deemed unplayable, or for maintenance. We will not offer refunds for cancelations. In the event you have a rain out, we will do our best to give you another practice within the next 2 weeks. We will not honor extra practices at the end of the reserved practices unless arrangements had been made the day of said rainout. Please email Jessica@sfoptimist.org the day of your rainout to reschedule.
5. We offer trash pick up for $100/day. If you don't choose this option, all trash generated by the Renter must be removed the day of rental and placed in the dumpster by the road. Failure to do so will result in a $150 cleaning fee per day.
6. Renter must carry liability insurance and provide a copy of the certificate to Sherrills Ford Optimist.
7. The use of piñatas and confetti eggs are strictly prohibited.
8. The code to open the restrooms will be provided to the Renter. After use, the main restroom door will be securely closed by the Renter.
9. Sherrills Ford Optimist sponsored events take precedence over other events.
10. A security deposit of $150 is required if you are reserving more than one field on a weekend. This deposit will be refunded the week after your event or transferred to the next reservation if you are reserving multiple weekends. This deposit will not be refunded in the event you cancel.
11. Lights will be locked and will only be opened when renter has paid for the fee ahead of time.
12. No refunds for canceled practices!
13. Your contract is only valid for the existing dates you book. If you wish to book more dates, you will need to agree to any updated terms or fees.
14. If at any time your team is found practicing on day or field you have not reserved, SFO has the right to end your contract and no refunds will be given.
15. Only the renter is allowed to turn on the lights for their reserved field. Do not turn on lights for anyone else unless approved by the SFO board. Failure to comply with this rule will result in extra fees and/or termination of your contract with no refunds.
