  • PLEASE READ

    1.     Personal Information & Privacy

    We respect your right to keep personal information private, however we need sufficient information to register and contact you. Please let us know if there are any contact details you would like us to keep private.

    2.   Family Membership

    Family membership provides a discount for two adults and nominated children.  A family receives one copy of each magazine.  All family members must live at the same address.  Children must be under 18 years on 1st July. Children under 15 years of age join as Associate Members.  For this reason, please identify the age range of each child. 

    You may add new members while renewing or removing others.  Please note that any new members in a family must be approved by the committee.  

    If all members of the family are new to the Society, select Family Group then
    New Members.  Otherwise select Renewing or Updating.

    3.     Individual Membership

    People may join the DSV at any age, but under 15 they are Associate Members.  New members have to be approved by the committee.

    4.     Renewing Membership

    Renewing confirms your continuing agreement with the Rules of the Society.  Annual Subscriptions for the financial year starting July are due for renewing by 1st July. Your privileges are suspended until payment is received. If payment is 12 months in arrears, you are considered to have resigned.  If this has occurred and you want to re-join, apply as a New Member.  Membership is not transferable.

    5.     Voting Rights

    The Model Rules under the Associations Reform Act 2012 (Vic) adopted by the Society specify member general and voting rights.  All members are entitled to vote except for Associate Members, non-financial and suspended members, and new members whose period of new membership is less than 11 business days.

    If you don't Submit the form, we may not be able to fulfill your membership benefits.  We will confirm your submission by return email.  No email means your form has not been submitted.

  • Comment: How questions are hidden and displayed.

    The above Single Choice control manages the visibility of the following two payment options controls and all the other Family related controls.  Only one set (or none) of these can be seen at a time.  All these are visible in the form builder.

  • Comment: Setting the dollar amounts for annual subscriptions.

    Each of the membership payment options in the following two controls as associated with the corresponding payment.  The value shown on the form is just informational, but must be updated by editing the text of the option as needed. 

    Open the Control's Properties at the OPTIONS tab and change the text there.

    Also edit the Calculation Values on the OPTIONS tab under. These are used in calculating the amount due further down the form.

    See later comments about setting the Joining Fee and Extra Children rate.

    As quoted, Family membership includes 2 adults and up to 2 children.
    You may add more children for $25 each per year.

  • Comment: Gift membership

    The following only apply if Individual>New member (6 or 12 months) is chosen.  That is, hidden otherwise.

    The membership fee and joining fee displayed will be multiplied by zero and thus will not be shown.

    A new field for the seller contact details will enable us to verify and arrange payment.

  • Congratulations on your purchase.
    The annual membership fee and the joining fee will not be included on this form.  You may be interested in other optional items that attract payments: these will be shown and are your responsibility.

    We will contact the sellers to confirm the amount to pay the Donkey Society of Victoria.

  • Comment: Check Start year

    When a new membership application is made between March and May, it is not clear whether the application wants to back date membership to the previous year or to start membership in July of the current year.  Since it is not possible to update a question or single choice option in Jotform, a direct question about selecting the start year can't be posed.

    This leads to a couple questions that become visible when the current month is 3, 4 or 5.  The nature of the question is calculated, then the user has to select A or B where A represents backdating and B the current year.  This Single Choice has options with values A=-1 and B=0.  These are used to calculate the starting year.

  • We will use last year's Address and/or Phone number unless you select

  • Comment: Using last years contact details (added Nov 2024)

    "Have your contact details changed?" is hidden for new members but not for renewing members.
    The Postal Address, Your Preferred Phone Number, Your Alternate Phone Number, and Your Email Address are visible for new members. 
    For renewing members, their visibility is controlled by "Have your contact details changed?"

    The logic for Adult 2 contact details would only applies to their email address.  The logic was was too complex to initiate

  • Comment: Privacy calculation

    The above Multiple Choice control has Calculation Values for each response.  The numeric value of the control in total is the sum of the individual choices.  This total is stored in the hidden Number control labelled Privacy. 

  • Privacy for Family members

    1. For Adults and older Children, we use the above privacy settings.
    2. For Children under 15 we keep all details private.

  • Other requirements for families

    1. Both the Adults and all the Children listed must live at the above address.
    2. Children must be under 18 years old at July 1st.
    3. Children under 15 are non-voting Members.

  • Comment: Calculating the Additional Child fee.

    When a child's name is filled, the appropriate 'under 15' control is made visible and is required. 

    Also, hidden values Child1, Child2 etc are set to 1 if corresponding Child Name filled.  These are summed and the maximum of the sum-2 and zero is used to calculate the additional child fee.  (This is equivalent to the number of children in excess of 2.) [Irrelevant if there is no fee for extra children]

    The membership period in months is set to 6 if the chosen membership starts in January, (otherwise the default of 12 is used.)  The final step in calculating the cost of extra children is the above number of Children more than 2 multiplied by either 6 or 12 Months divided by 12 multiplied by the annual rate for an extra child. This is like ((25)) where the parentheses are for show.  There is one calculation for 6 month applications and one for 12.

  • Comment: Calculating the total amount

    The joining fee is set in the Calculation of Joining Fee when necessary.  It is like ((15)) where the brackets are just for show. 

    The membership fee is the sum of the calculation value selected from the Individual and Family Payment options less the Joining fee.

    The Additional children fee has already been explained.

    The Total payable is the sum of Joining, Membership, Magazine, Donation and extra children fees. These are calculated with the dummy condition of the membership fee being greater than zero.

    To keep the Society's cost down, we ask members to continue with email delivery.

    Magazine delivery by Post is only available within Australia.

  • Comment: Calculating Magazine delivery. 

    Maybe from 1/7/25, the fee for the print copy of DD will be $10 for members and no charge for email.  To be confirmed.  This is implemented in the calculation value of "How would you like Donkey Digest to be delivered".  This is used in logic to set "Total Payable", but would be better using a Form Calculation.

     

    3/6/24. Magazine delivery fee was abolished.  Brayings no longer produced as a magazine from July'24.

    Both magazines (Brayings & Donkey Digest) must be delivered the same way.  If to be delivered by post there is a fee. The amount is calculated hard coded in logic associated with "Magazine fee" where the dollars amount is enclosed in double brackets, like ((20)), for clarity. It is halved for 6 month memberships.

    Until 1/7/2021, new members using the 6 month introductory rate will not have to pay the magazine fee.  The hidden field Today has been added to manage this.  If subscription field Months=6 and Today is less than 1/7/21 then Magazine Fee=0 otherwise it is calculated as $20 * Months/12 * DeliveryChoice, where the DeliveryChoice is 0 for email and 1 for post.

    New logic is required to set magazine Fee=0 if Individual payment is Life Member.

  • Comment:  Start and End Date calculation

    This following calculations apply for the months March, April, May {Check Start Year}=1, for New members {New}=1, applying for 12 month membership {Months}=12.  This logic shows a question asking if the user wants to back date the application to start last year or not.

    {Check Start Year} is 1 if {Month} is 3,4 or 5 using logic

    {TodayNum} is today's date using a Date Picker

    {ThisYear} is this year using a Substring to get the year from {TodayNum}

    {LastYear} is {ThisYear}-1 using a form calculation

    These are used to frame the question.

    {Select A or B} is a Single Choice returning -1 if Last Year is selected (A) and 0 for this year

    {StartYear} is {ThisYear}+{Select A or B} using a form calculation

    {EndYear} is {ThisYear}+{Select A or B}+1 using a form calculation

    These are used to confirm the dates.

  • Comment: Other fields

    The responses are saved using a customised PDF.  The file name I want is like TodayYYYYMMDD-new/renew-person's name-type of member, where the date has a format yyyy-mm-dd.

    TodayYYYYMMDD uses a form calculation widget to change TodayYMD to a string type. Note that the date format is not possible in Jotform file name, so I have used an alternative way of generating a datelike string.

    The New/Renew field is set with a conditional calculation from the New field.  New=1 sets value "New".  The default is "Renew"

    New is set by conditional calculation from "Individual and "Family membership payment options" questions.  Value 1 means New, 0 means Renew.  New also drives other conditional steps.

    The type of member comes from the "What sort of membership?" question

     

    Back to the date:

    This Day has been deleted but used a Substring to return the value of the day component of {Date140} ie question "TodayNum" which is a datepicker.  It is only used to create a text string (if that works)

    Today uses a form calculation to return datestring(TodayNum).  This should be text with format. Should be deleted.
