    Need your VA to work more hours? You may approve and pre-pay a package of 20 or 40 hours for your VA to work additional hours that go above your VA's current weekly "base hours". Please note the hours have an expiration date of 6 months from the moment they are charged to you.

    NOTE. If possible, please approve your VAs time off at least 5-10 business days in advance of the VA taking the time off. This will ensure we'll bill you correctly.


  • Important Notice About Non-Paid Holidays:
    Please note that if you request that your VA takes a day or days off work during any of the popular American holidays (including those listed above), you will still be billed for the work hours of your VA as usual. Yet, your VA would then have to "make up" those hours at a later time or week, in order to repay you for the hours they did not work during the holiday(s), but which you will be paying for.

    We pride ourselves on taking care of our VAs, so they can count on a steady paycheck every week. Yet, we don't want you to pay for hours the VA didn't work, which is why the VA will be responsible for making up those hours and will report it to you and us.

    One exception: The only exception to this, is if the VA takes up to two days during Christmas (The 24th or 25th, one day) and New Years Day (Jan 1), and you decide you would not like to pay those non-working days. In this case, the VA will NOT make-up any work hours missed during those 2 days. thus, we will update and decrease your invoice(s) to reflect those days and hours the VA will not work.

  • Important Notice About Non-Paid Vacations:
    Please note that if you choose to approve your VA to take a non-paid vacation, we will be pausing your billing for one or more complete billing weeks. This means, that we can only pause a full weekly payment, but not partial payment of a few "vacation days".

    Thus, if your VA needs to take 1 to 4 days off, but not a complete week, please choose "Short-term time off" instead of Vacation on the options above.

    Additionally, please know that we usually can pause your payments for up to 2 weeks, while your VA is taking vacations (if they request it, or if you asked them to take time off). Yet, if you'd like them to take more than 2 weeks off (based on your request, rather than the VAs'), we can certainly pause the billing for an additional 2 weeks (for a total of 4 straight weeks of paused billing).

    But please do keep in mind that the VA may or may not be available to work with you upon return of the second set of 2 weeks, as they may need to find other part-time or full-time jobs to ensure they can earn the money they need to make a living.

    As a reminder a bonus/commission is always option, but you're always welcome to provide one. In most cases, 100% of the bonus or commission you pay us will be paid to your VA.

    The specific work schedule of each VA's is usually defined directly between the client and the VA. To request a change to your VA's schedule, please follow these instructions:
    1. Get in touch with your VA via Email / Instant Message
    2. Request a time to schedule a live call to discuss a schedule change
    3. Discuss your schedule change request between you the client, and the VA
    4. Once you both agree to what the new schedule will be, please write down the new schedule change details - include the schedule's new start date - and send an email to your VA and CC our Virtual Latinos success manager jennifer@virtuallatinos.com

    Important information about giving a raise to your VA

    • Unless otherwise noted in writing, or in your existing hiring agreement, please note that our company Virtual Latinos does NOT take any commission or percentage of the raise you'd like to provide to your VA
    • This means that 100% of the additional pay rate will be simply charged to you, and be paid to your VA (minus any additional payment transfer fees, if any)
    • Pay rate increases can only occur starting on a new working week, usually on a Monday, and/or at the end of the next billing cycle for any VA services which are prepaid.
    • The hourly increase must be a minimum of $0.50 USD/hr, with $0.25 increments.

    Fill out this section of the form only if our client has already preapproved a BOH for you in order to work additional hours. If you don't have a BOH package yet, select NO below for more info.

    Fill out this section of the form if you'd like to request our client to purchase a BOH package for you in order to work additional hours.
  • No Bank of Hours (BOH) Yet?
    If our Client has NOT YET preapproved a Bank of Hours (BOH) package for you, you cannot use this form to submit any work hours. 

    For now, you should not work any additional hours outside your approved weekly base hours, as they will not be paid to you. Instead, we encourage you to request our client to request, preapproved and prepay a BOH package.

    Steps to ask our clients to request a BOH package for you

    1. Get in touch with our client via email or a live audio/video call, and mention to them that you're not able to complete the work they're requesting within your current weekly "Base hours".
    2. Tell them about their ability to hire you for more hours by requesting a Bank of Hours (BOH) package for you to work additional hours
    3. Choose whether you prefer our client to approve a BOH of 20 or 40 hours.
    4. Read the terms and conditions of the BOH (see link below), and check the box below to both a) agree to the terms, and b) request our client to approve a BOH for you.
    5. Submit this form, and we'll then send you and the client a confirmation of this request asking the Client to approve a BOH for you. If approved, you'll be notified by email.

    WARNING:
    You cannot submit more hours than those allowed by your current BOH Package.

    Based on the current hours you've worked ALREADY, plus the hours you're trying to submit, you'd be over your BOH hours allowed. Thus, please fix your mistake above. If you don't, you won't be able to submit this form.

    Please remember: You should never work more hours than those included in your BOH. If you believe you'll need to work more hours than left in your BOH, please contact your client to request a NEW BOH (Unless your client has enrolled on Auto-renewal of a BOH)

    If your client signed-up for auto-renewal of your BOH, you will be aware of this. If this is the case. You first submit this form to complete the full hours of your first BOH (Until "Additional hours left in your current BOH" = 0), then submit this form again to submit hours for your NEW, most current BOH)

Remember that the client MUST FIRST APPROVE your time off, BEFORE you are allowed to take time off. If you get sick, naturally you won't be able to request this in advance. Yet, for extended sick time off, please do complete this form.
