• 2020 Fair Trade USA - Coffee Roaster Compliance Self-Evaluation

    As a Fair Trade USA partner, you are required to understand and implement the criteria in our Trade Standard. In addition to onsite audits for selected partners, Fair Trade USA staff review and audit transaction reports submitted by partners to verify compliance with the Trade Standard. This self evaluation is a method for you to ensure your company's systems and procedures are compliant and to identify areas for improvement.

  • Facility Locations and Subcontractors:

  • Fair Trade USA must be informed of all sites included under the scope of the Trade Certificate where FairTrade Certified products are handled, including subcontracted facilities (CC 1.1.2.b). Traders must report all locations where unfinished products are stored, processed, and packaged. 

     

    Roasters are required to have a written agreement with their subcontractors. Compliance with these Trade Standard criterion is verified during desk and onsite audits. Please be sure your company is in compliance.

  • Supplier Fair Trade Status:

  • All coffee claimed as Fair Trade must be sourced from organizations that are certified by Fair Trade USA or by a Fair Trade USA approved certifier.

    Both the buyer and seller are required to verify the other party has a a valid Fair Trade Certificate to buy and sell product as Fair Trade Certified. (CC 3.1.2.b.) To verify your suppliers' Fair Trade status, you may request your suppliers to provide proof of their active status, check your suppliers' status on the Fair Trade USA portal, or confirm your suppliers' status with Fair Trade USA staff.

  • Product Traceability: 

  • Where any changes to the volume or physical state of Fair Trade Certified product occur (i.e. from processing, mixing, packaging, labeling, or other transformation) there must be clear records of these activities (CC 3.1.3.a). Please ensure that your procedures are documented in writing because it may be requested during an on-site audit or report audit.

     

    Fair Trade product must also be marked clearly, be visually identified as Fair Trade Certified (CC 3.2.2.a), and physically segregated from non-Fair Trade Certified product at all stages (e.g. storage, transport, processing, packaging, labeling, handling, and sale) (CC 3.2.1.a).

  • Please note: Accurate, complete and unaltered records of all purchases, sales, and processing of Fair Trade Certified product aremaintained for a minimum of three years; if the product is not sold within three years, records aremaintained until product sale (CC 3.1.1.b). If an auditor or member of FTUSA staff selects one of your Fair Trade coffee sales, they must be able to trace this sale to the purchase documents. 

  • Fair Trade Seal and Claims:

  • The Fair Trade Certified seal and claim is only used for Fair Trade Certified product (CC 1.3.1.a) and all usage of the Fair Trade Certified seal on product packaging, marketing, or promotional materials must receive prior approval from Fair Trade USA (CC 1.3.1.d).

  • Please note: Coffee roasters may ONLY use the certification mark on coffee products that contain 100% FT coffee beans. The product may contain up to 5% non-Fair Trade ingredients such as flavoring or additives. Coffee roasters may also use the certification mark in promotional materials.
