  • Fall Convention Steering Committee Application

  • You have the chance to be involved in the planning of Fall Convention (November 14-16, 2025) by applying for the Steering Committee! Members of the Steering Committee have the opportunity to influence the programming content of one of the most exciting events of the year. Applicants should be incredible role models, hard workers, and eager to become the driving force behind this convention! They should be excited about convention and ready to share their passion with our members.

    Please take a moment to think about whether or not you have the time to dedicate to planning Fall Convention. Steering should be a top priority for you as convention approaches (after family and school of course). You will have the chance to work with peers from across the region to plan and lead amazing and inspiring programs, services, and enhancements.

    If selected, you will be expected to attend all five steering meetings. Please take the time to review these dates and times, ensure that they work for you, and add them to your calendar:

    • Meeting #1: Mon. Sept 29
    • Meeting #2: Mon. Oct 20
    • Meeting #3: Mon. Oct 27
    • Meeting #4: Mon. Nov 3
    • Meeting #5: Mon. Nov 10
    • Fall Convention: November 14-16 in Markham. The cost will be $389 and, as always, scholarships are available. Please reach out if there are any questions about the scholarship process.

    All steering meetings will take place at the Schwartz/Reisman Centre in Vaughan. Meeting times depend on your team:

    • 5:00-8:00pm for Convention Coordinators
    • 5:30-7:00pm for Convention Administrator, Jewish Experience Team, Communications Captain
    • 6:30-8:00pm for Program Team & Hospitality Team

  • Leadership Team

    Convention Coordinators (1 AZA + 1 BBG) – The Convention Coordinators will work directly with the staff to oversee the Steering Committee throughout the entire planning process. They will be responsible for maintaining a high standard of programming and ensuring that all planning deadlines are met by the committee. The coordinators are also responsible for opening and closing ceremonies, the convention giveaway and all convention logistics in partnership with the Regional Staff. The position of Convention Coordinator involves a significant time commitment - Be prepared to dedicate countless hours to phone calls, emails and program development outside of Steering Meetings. Applicants must have a strong understanding of how Lake Ontario Region runs our conventions.

    Convention Administrator (1 Aleph or BBG) - The Convention Administrator will work directly with staff and co-ordinators to manage delegate swag and convention shuk, while also assisting with logistics, supplies and deadlines for the entire Steering Committee to ensure a streamlined and organized steering process. Applicants should be organized, task oriented, and able to effectively self-manage their time.

    Program Captain (1 Aleph or BBG) - This captain will be in charge of overseeing all programs, such as Icebreakers (an opportunity for participants to meet each other), Oneg/Elective programs (breakouts that enrich the convention experience), and the Chapter Showcase (this is when chapters present their song and banner). The Program Captain is in charge of building a framework for each program timeslot and ensuring that everyone who is planning or facilitating these programs is ready to deliver the highest quality programming. Applicants for this position should feel confident overseeing numerous people and ensuring all deadlines are met, while adhering to the convention vision.

    Hospitality Captain (1 Aleph or BBG) - This captain is in charge of enriching the hospitality and atmosphere for all teens, guests, advisors and staff at the convention. The Hospitality Captain will elevate delegate engagement through creative enhancements to the overall experience (past examples include Warm and Fuzzies, Gotcha, Convention Bingo, etc). Applicants should be open to new ideas, and feel comfortable using this position to innovatively enrich the convention experience.

    Communications Captain (1 Aleph or BBG) - This captain is in charge of marketing and communications. This includes creating the information packet, managing social media campaigns, and coordinating calling parties. The Communications Captain will compile all of the necessary information for the packet and will work closely with staff to design it, while also creating a digital engagement strategy (past examples include tagging templates, “Humans of Convention”, etc). Applicants should be comfortable using Canva to create the convention packet and design social media posts.

    Steerers:

    Program Steerers (3 Alephs or BBGs) - Under the guidance of the Program Captain, these Steerers will ensure unique and innovative programming throughout the convention. Tasks will include planning and facilitating various programs, such as Icebreakers, Onegs and Electives, and Chapter Showcase.

    Hospitality Steerers (2 Alephs or BBGs) - Under the guidance of the Hospitality captain, these Steerers will help to manage initiatives that enhance the overall convention experience (past examples include Warm and Fuzzies, Gotcha, Convention Bingo, etc).

    Convention Coordinator

    • What kind of leader do you see yourself as? Why does that make you the perfect person for the position of Convention Coordinator?
    • Please elaborate on your convention-planning experience and/or your BBYO leadership experience as it relates to the position of Convention Coordinator.
    • What vision do you have for the convention? Please include 2 potential theme ideas and your plan for incorporating each theme into the programming and overall atmosphere of the convention.
    • What methods of communication do you think are most effective? How will you communicate with the steering committee effectively while remaining on time with deadlines?
    • How do you plan on creating a cohesive and passionate steering committee?
    • Is there anything else that you'd like to tell us that pertains to your vision for this convention?

    Convention Administrator

    • This role may require you to wake up early and stay behind late, as well as spend some programming and meal times doing prep work. How will you balance this with having an enjoyable convention experience?
    • How will you use this position to benefit the steering committee?

    Program Captain

    • What are 3 pieces of advice you’d give to anyone facilitating a program? How will you ensure everyone running a program uses these tips?
    • Tell us about an experience where you had trouble navigating program planning. How did you work through and resolve it?
    • As the captain in charge of programming, you will be overseeing many people in the planning stage of their program. How will you ensure that those you are supervising deliver programming of the highest degree without you overstepping boundaries as a supervisor?

    Hospitality Captain

    • Fall Convention is primarily focused on inspiring members and cultivating leadership. As Hospitality Captain, how will you enrich the new member and senior experiences?
    • Our conventions have seen many different innovations used to improve all members’ experiences (Roommates, Tuck Shop, Gotcha, Bingo, Warm and Fuzzies, etc.). What new ideas can you bring to the table in order to further develop and enrich the convention experience?

    Communications Captain 

    • How can you ensure everyone gets the necessary convention info? What is one new thing that can be brought to the convention packet to make it more effective?
    • What makes for a good promotion? How will you incorporate social media, tagging templates and calling parties into your promotional strategy?
    • How can you use other members to promote convention? What are some specific ideas you have for promoting and getting everyone hyped for the convention?

    Program Steerers

    • What is your experience with planning and facilitating programs? (i.e. Region, chapter, school clubs, etc.)
    • What are some of your specific program ideas for the program(s) you selected?

    Hospitality Steerers
