Welcome to HOTA Education.

We look forward to welcoming you and your students to an unforgettable arts experience.

This form is for submitting a booking reservation to attend a HOTA Education performance or workshop.

Once submitted, our School Bookings team will review your request and confirm your reservation.

Please be mindful when reserving large ticket allocations, particularly for shows in Theatre 2 and workshops, where capacity is limited. Seek prior approval if requesting a high number of tickets to avoid restricting access for other schools, especially if there is a possibility of reducing or cancelling your booking.

Please note:
- Full payment and confirmation of final student numbers are required 8 weeks prior to your scheduled performance or workshop date.
- If your reservation is made within the 8-week period, payment in full and final student numbers will be required upon confirmation from the School Booking and Accounts teams.
- Our Education team will also contact you with relevant resources and assist with preparations as your event date approaches.

The Education Producer will place your booking on the waiting list and will contact you if a tickets becomes available, or if additional session/show times are added. Arts Bus Fund

Did you know we have an initiative to assist in reducing the cost of bus travel to HOTA? Schools can apply to the fund to receive a one-off subsidy to contribute towards bus travel to see an exhibition, performance or participate in a workshop.

Important Information

This form is used to reserve your seats, no deposit is required. Schools will be invoiced for the full amount with normal payment terms.
Cancellation

A 20% cancellation fee is payable if this group booking is cancelled AFTER the Confirmation of Numbers Date. The 20% fee will be calculated from the most recent student and teacher numbers provided to HOTA, either on the original booking form, or in writing. For this reason, all changes to numbers should be made in writing. Phone calls are not sufficient.
Terms & Conditions
1. Increases in numbers are accepted at any time, however are subject to availability and must be made in writing emailed to: SchoolBooking@experiencegoldcoast.com
2. Decreases in numbers will be accepted if made before the Confirmation of Numbers Deadline (8 weeks prior) and must be made in writing emailed to: SchoolBooking@experiencegoldcoast.com
3. Decreases in numbers will not be accepted after the Confirmation of Numbers Deadline (8weeks prior) and the school is liable for payment for the number of tickets originally booked.
4. Cancellations made after the Confirmation of Numbers Deadline (8 weeks prior) will incur a 20% cancellation fee of the total booking amount.
5. Payment must be received by the invoice due date or your tickets will be released.
6. If a booking is made after the Confirmation of Numbers Deadline (8 weeks prior), payment must be received within 1 week of booking and is final. Refunds, changes to dates and numbers will not be accepted.
7. Each school is entitled to 1 free teacher ticket per 10 paying students. Additional teachers are charged the Student Group Price.
8. By making a school booking with HOTA it is agreed that you accept the Terms and Conditions - see at the bottom of this form.
9. An extension to your payment date will only be granted by the Head of Box Office – should you wish to discuss this option please call the Box Office (07) 5588 4000.
10. Facilities including wheelchair spaces are available for patrons with individual needs. Please make your requirements known to us as soon as possible.
11. Wheelchair spaces must be pre-booked.
Acknowledgement:

By submitting this request, I confirm the following:
- All information provided is accurate and approved for submission.
- I have the necessary internal budget and approvals to make this request on behalf of the school.
- I acknowledge this is a request only, and my booking is not confirmed until it is approved by the School Bookings team and full payment is received.
- I acknowledge that payment in full and confirmation of final student numbers are required no later than 8 weeks prior to the scheduled event date.
- I acknowledge that any changes to the reservation, including student numbers or cancellation, must be communicated in writing by email to schoolbooking@experiencegoldcoast.com and within the (8 week prior) specified time frame.
- I acknowledge that failure to meet payment deadlines or notify HOTA of significant changes may result in cancellation of the booking and/or incur penalty fees.
- The HOTA team reserves the right to adjust the booking process, seat allocations, or communication timelines based on operational requirements.
