    Unless otherwise agreed upon, two Roulette staff will be scheduled to be onsite during your event:

    • An A/V Engineer will run sound, lights & assist with general AV & tech needs.
    • An Event Liaison will conduct client check-in & out and assist with facilities related questions and needs.
    • Information provided in this form and from your production meeting will be conveyed to them by Roulette's Events and Technical coordinators.
  • Client Provided Staff

    Check In/Out Contact

    • A 'Check In/Out' contact must be designated. This persion will, ideally, be first in the space and greeted by the Event Liaison.
    • The Event Liaison will briefly go over a few items (decor rules, garbage, introduce to sound engineer, review the ROS, etc) upon the client's arrival and will also do a thorough walkthrough at the end of the event to make sure everything is returned, cleaned and in order.
    • You, or a member of your group, may assume this responsibility.

    An Event Manager must be designated by the producer to coordinate between all involved parties throughout the event.

    If your event will involve multiple performances, any stage resets, cueing, etc., Roulette requests that you enlist a stage manager.

    Please note that Roulette does not have onsite I.T. staff.

    • If your event is dependent on the internet or involves the use of a computer or any non-Roulette equipmnet, you are responsible for providing I.T. support.
    • Roulette's day-of A/V engineer can assist with basic connection to Roulette devices, but is not liable for computer or internet related issues.

  • Please provide a schedule for your rental period which includes load in, setup, soundchecks, rehearsals, doors, event start & end time, cleanup and load out.

    Please Note:

    • Roulette generally requires a minimum of two hours setup time prior to doors and a minimum of one hour for break down before the end of the rental period.
    • Unless otherwise agreed upon, all loading in/out must occur within your rental period. 
    • For shifts of six or more hours, Roulette generally requires a 30 minute walk-away break for A/V staff during which no soundchecking or other tech can occur. Please budget time for this into your schedule.
    • Roulette must be left broom-clean at the end of your rental period.

  • NOTICE:

    At this time, due to COVID-19 health and safety concerns, catered private events are permissible but are subject to NY Forward Guidelines for general food service and indoor food service and approval by Roulette staff.

    Please contact your Roulette event coordinator for more information.

  • Roulette does not have in-house catering services. Therefore you may choose any licensed & insured caterer you are comfortable with. However, we do highly suggest looking over our list of preferred vendors here.

    • Our kitchen (15’X17’) is located next to the ballroom is equipped with an industrial-sized sink and refrigerator. Given its size and location it's a perfect prep space for caterers.
    • It is not equipped with an exhaust system, therefore not suitable for intensive cooking.
  • Will there be any food served at your event?

    • Will anyone be speaking at your event?
    • Microphones

      Roulette has four wireless handheld mics, four wirelss bodypack lavalier mics and  four wireless bodypack headset mics.

      • A maximum of six of the above wireless mics can be used in any combination at one time (we have six wireless receivers total).
      • Roulette also has a large number of wired handheld mocrophones.
    • Audio Playlists

      Audio playlists not cued by a DJ should be brought in on a laptop, iphone or similar.

      • Tracks should be consolidated onto a single playback device, & organized into a single playlist.
      • A stereo feed will be taken from the headphone jack of the device.
      • For any audio cued by Roulette A/V staff, cues should be simple & intuitive, and should be discussed with our engineer during setup.

      PANASONIC PT-RZ12KU (with ET-D75LE20 lens)

      Connection to our projector is possible via HDMI or VGA, with cable runs in place to connect from soundbooth or stage.

      • Media to be projected must be brought in on a laptop or media player supplied by the client/presenter.

    • Controlling projections from more than one location may require re-routing of cables during your event and may cause some technical downtime.

    • Screens

      Roulette has two on-stage screens:

      • Da-Lite wall mounted screen, 240” x 135” (aspect ratio 16:9), permanently mounted on the rear wall of the upper stage.
         
      • Draper ceiling mounted retractable screen, 260” x 162.5” (aspect ratio 16:10), mounted just behind the proscenium arch.

      • Please note: to ensure proper image calibration for either screen, please let us know which screen you would like to use at least 14 days prior to your performance.

    • Audio Recording

      For an additional fee, Roulette can make a high quality un-mixed digital audio recording of your event (.WAV 24bit 48kHz audio stems), along with a rough stereo mix of the board feed for reference purposes. 

      • Roulette's standard turn around time is three-four weeks.
      • Files will be physically mailed out on a thumb drive.
    • Would you like Roulette to make an un-mixed multi-track audio recording of your event?
    • Live Streaming / AV Capturing

      Roulette offers live streaming and AV capturing services using a multi-cam robotic camera system (6 Sony BRC-H900 Cameras; 4 permanently mounted cameras and 2 on tripods). 

      We'll work with you to record and/or live stream your production.

    • Will you be live streaming or AV capturing (recording) your production?

    • Live Stream Platforms

      Roulette's basic rental package includes streaming to up to three platforms. Additional platforms will incur an additional fee (maximum 10 platforms).

      Stream key & other pertinent info must be confirmed no less than 14 days prior to the event to confirm the streaming connection(s). If you do not know how to provide stream key information, please let us know as soon as possible.

    • Will you be able to provide stream key information for those platforms?
    • Director of Photography

      Roulette’s camera operator will act as director of photography, calling the shots during the show, unless you are providing a DP. In this case Roulette's capera op will work under the direction of your DP.

      Roulette's basic package includes incorporation of two slides (beginnig & ending) into the stream. Additional slides, video clips or other media must be discussed at least 14 days in advance and may incur additional fees.

    • Do you have projections, video clips, or other media that need to be incorporated into the stream?
    • Are there any staging/visual elements or other requirements that need to be considered for your stream?
    • Deliverables

      Roulette's basic package includes Recording of clean program feed with mixed stereo audio (ProRes 422, 1080p).

      With advance agreement & for additional fees, Roulette can provide:

      • ProRes files of raw footage of each individual camera (ProRes 422, 1080p)
      • Prores file of the switch version (ProRes 422, 1080p)
      • Stereo audio mix (.WAV 24bit 48kHz) (See also Audio Recording section of this form)
      • Multi-track recording (unmixed .WAV 24bit 48kHz audio stems)  

      In order to receive video files, a clean, empty hard drive must be provided by the client or purchased through Roulette.

      Roulette's standard turn around for deliverables is 3-4 weeks.

      Rush requests must be agreed to in advance and can be accomodated for a fee.

  • Lighting

  • Basic Lighting Package

    Roulette's basic lighting package includes up to five cued lighting transitions. 

    • Please budget time during your rental period to design & program lighting cues with the house A/V engineer during your rental period.
    • The A/V engineer will operate lights during your event.
    • Cues should be simple, intuitive, & not required reacing a cue sheet.

    Additional Lighting Needs

    If five transitions will not be sufficient:

    • It may be necessary for you to hire a dedicated lighting technician from Roulette's pool. Additional fees will apply.
    • If you would like to hire one of Roulette's lighting techs, please let us know a minimum of two weeks prior to your event to allow for scheduling.

    Refocusing/Rigging/Gobos

    • An additional dedicated tech day is generally required for any refocusing &/or rigging including installing gobos.
    • Following the event, a full restore to Roulette's Rep Plot is required within the client's rental period.
    • The client must hire a lighting tech from Roulette's pool to oversee all grid work & restoration.
    • For an additional fee, Roulette can install your gobos. Please let us know at least two weeks in advance to schedule a time to install.
  • Will Roulette's Basic Lighting Package, with five or fewer cued lighting looks cued by Roulette's engineer be sufficient for your event?
  • SEATING/SPACE CONFIGURATION

    • Depending on the hall configuration, Roulette’s main hall can accommodate a maximum of 400 seated audience members (which includes 153 permanent theater seats in the balcony).
    • To comply with fire code, egress must be maintained with four foot paths to all exits and in front of the stage.
    • Roulette reserves the right to modify or limit your seating/hall plan to ensure compliance.

    In addition to this form, you should receive an email invite to join AllSeated, online event planning software that allows you to easily and accurately design your layout. Accept the invitation for access to Roulette's "Venue Objects" such as our in-house tables, chairs, piano and bar.

  • Space Reconfiguraion

    Roulette's ballroom can be configured in numerous ways to suit your event.

    • Reconfiguration work is done by Roulette crews, in most cases outside of the client's rental period.
    • Advance notice of at least 14 days must be given
    • Additional fees generally apply for any work.

  • *Roulette's 9' Steinway Grand Piano must remain on the lower stage. The portion of the stage it sits on cannot be removed.
