• RMC EVENT RENTAL REQUEST FORM

    Thank you for considering RMC for your upcoming event. We look forward to partnering with you to ensure a great experience for your participants/guests. Please complete this form to be reviewed by our Camps and Conferences Department. Once the form has been submitted and reviewed, a member of our Camps and Conferences team will be in contact with you to discuss availability and pricing. Please note we require a minimum of 5 business days lead time for space rentals and 10 business days lead time for events with food for consideration.

  • Facilities Requested

    Please select any Facilities needed for event.
  • Equipment Requested

    Please select any equipment needed for event outside of what is included in spaces selected above. All equipment provided includes set up and take down.
  • External use of RMC property requires the following insurances.

    Purchaser shall provide a certificate of insurance for the coverages listed in the paragraphs below no less than thirty (30) days before the first date appearing on the agreement contract.

    -The certificate shall be an original; fax and photocopies are not acceptable.

    -The certificate shall be issued to College [Rocky Mountain College, Billings, Montana].

    -College should appear as an additional insured on all policies of insurance except for the insurance required in paragraph 10.1.7.3.

    -The certificate of insurance shall also indicate that there is no applicable cross suits liability exclusion (allows an insured to sue another insured).

    - Purchaser and its insurers agree to waive their right of subrogation against College for any general liability, auto liability, or worker’s compensation claims made against Purchaser’s policies.

    - All such insurance should not include any restrictions of governmental immunities built into the insurance coverage and policies.

    - Limits of Insurance

    --Purchaser shall provide evidence of General Liability insurance or Tenants Purchasers Liability Insurance (TULIP or Special Events) of an amount not less than one million ($1,000,000.00) per occurrence. If the use of facilities includes physical activities, such as sports camps, the General Liability limit should be two million ($2,000,000.00) per occurrence with no athletics activities exclusion.  If College's pool is used, the General Liability per occurrence limit should be five million ($5,000,000.00) with no athletics activities exclusion.

    -- Purchaser shall provide evidence of Owned, Non-owned, and Hired Auto Liability insurance of an amount of not less than one million ($1,000,000.00) per occurrence.

    --Any Purchaser with Purchaser employees on campus shall provide evidence of statutory Workers Compensation insurance and one-hundred thousand ($100,000.00) of Employers Liability insurance.

    --Any Purchaser with minors on campus shall provide evidence of Sexual Misconduct/Abuse Liability insurance of an amount of not less than one million ($1,000,000.00) per occurrence.  Coverage endorsed onto the General Liability policy is acceptable.

    -- Any Purchaser approved for serving liquor on campus in accordance with Section 5.1.2. shall provide evidence of Liquor Liability insurance of an amount of not less than two million ($2,000,000.00) per occurrence/two million ($2,000,000.00) in the aggregate.  Coverage endorsed onto the General Liability policy is acceptable.

    --Any Purchaser providing Athletic Trainers on campus shall provide evidence of Medical Professional Liability insurance of an amount of not less than two million ($2,000,000.00) per occurrence/two million ($2,000,000.00) in the aggregate.  Coverage endorsed onto the General Liability policy is acceptable.

    --Any Purchaser deemed to be high public profile or controversial shall provide evidence of Active Shooter insurance in the amount of not less than three million ($3,000,000.00) per occurrence.  Coverage shall include deadly weapon attack including bomb.

    -If Purchaser is a wedding or family reunion only the insurance required in paragraphs 10.1.7.1 and 10.1.7.5 are required.

    -All vendors/service providers hired by Purchaser must be preapproved by College and provide evidence of insurance as required by College. 

    -All insurance policies shall be primary and noncontributory.

  • RMC On-Campus Housing

    You indicated in your request you are in need of on-campus housing during your event. Please take a few moments to complete this part of the request form to help us best serve your needs. All on-campus housing facilities are furnished with XL-twin beds, dressers/wardrobes, desks and desk chairs (linens, towels and toiletries not included). Check in time is 2:00pm - Check out time is 10:00am. One (1) event official required to stay on site if housing is utilized for event. If event group includes minors one (1) event official per twenty-five (25) minor participant(s) required to stay on site in same housing facility as minor(s). Rates are per room per night based on capacity levels.

    Standard rooms with shared restroom facilities on each floor.  View a floor plan and photos.

    Single Rooms (capacity - 1 occupant)

    Double Rooms (capacity - 2 occupants)

    WIDENHOUSE HALL

    Enhanced rooms with private full bathroom, medium-sized refrigerator, and microwave. View floor plans and photos.

    Triple Rooms (capacity - 3 occupants)

    Lodging rates are per night.  An additional $2.50 per room per night energy fee will be added to the total lodging invoice. Linens and towels not included. One (1) event official is required to stay on-site if housing is utilized for the event.  If the event group includes minors one (1) event official per twenty-five (25) minor participant(s) required to stay on-site in the same housing facility as minor(s).  Rates subject to change without notice.  Group discount rates available for events with 22 or more rooms booked in Anderson Hall and/or 37 or more rooms booked in Widenhouse Hall.
