  • Daytime Rental Rate is $1000 per day for a max of 30 vehicles per day; plus an event security deposit of $500.  One half of the total rental fee, and the security deposit are required to be paid 60 days prior to the event start date.  Invoice will be submitted to above email after applicaton approval.

    Upon event completion, a post trail and property evaluation will be completed.  If there are no damages, the security deposit will be credited to the total rental fee; or returned within 30 days.  If the post event evaluation identifies damage, the security deposit will be applied toward any repairs. Any additional damage costs will be invoiced and due with the rental balance within 30 days, and before any future events may be scheduled.          

  • The vehicle number limit includes any vehicles that negotiate the trails, guide vehicles or participant vehicles.   The agreement covers use of the developed off-road vehicle trails.  This agreement does NOT include use of the buildings or facilities.


    Grand Overland is primarily a training facility.  Excessive degradation of the trails goes against our primary mission to provide off-road vehicle training while protecting the land.  Increased number of vehicles on the trails increases environmental damage.  Excessive wheel spin, speed, or travel off-trail creates intolerable damage and will result in the termination of the event, forfeiture of your rental fees and security deposit, and additional charges for required repairs not covered by the security deposit. 


    Compensable damage would include: -expanding of mud obstacles, -creating new trails by driving around obstacles, -widening trails, -using excessive speed which splashes earth out of wet holes and disturbes the designed training value of the purpose built obstacles, -damaging trail markers, trees, or other natural or man made features of Grand Overland, -leaving debris or trash that requires us to clean up after your event, -driving in the fields, damaging crops, or creating tracks/ruts that require repair.

     

    Event organizers will present a use plan for approval, minimum of 30 days in advance of event, indicating:

    - How Grand Overland trails will be used, the number of vehicles per ride, type of rides (beginner/intermediate), total number of vehicles per day.


    -Experience level of guides in leading rides, overseeing recovery operations and if guides have experience on the Grand Overland.


    -Rainy day trail route contingencies, that take into consideration unpredicted weather, changing trail conditions, and vehicle capabilities, with safety and environmental protection considered first.

    If recovery is necessary, use of tree savers are required to protect trees used for winching and rigging.  Shoveling earth to redesign obstacles, or free vehicles is strictly prohibited.

  • Event will provide a minimum of 1 port-a-jon per 20 participants on Grand Overland.  If the riverside picnic area is used, one port-a-jon must be placed at the field's edge near the river area entrance.  Otherwise, port-a-jons may be placed near the buildings for ease of location by vendors, and central to the trail system.


    Event will carry a minimum of one million dollars insurance to cover all aspects of the event.  A copy of the insurance policy, with Grand Overland named as additional insured will need to be on file before any aspect of the event may begin.  The Event Organizers and organization HEREBY RELEASES, DISCHARGES, WAIVES, INDEMNIFIES, AND HOLDS HARMLESS Grand Overland District, LLC, its owners, heirs, officers, manager, members, agents, employees, and other participants, sponsors, and owners or lessors of the premises used for the event. (hereinafter individually and collectively referred to as "Releasees"),  WITH RESPECT TO ANY AND ALL INJURY, DISABILITY, DEATH, loss or damage to  person or property related in any way to Participant’s presence on any property owned, leased, or operate by Grand Overland, or participation in the Event, whether arising in Contract or tort, including the negligence of the Releasees or any other cause to the fullest extent permitted by law.


    Event organizer agrees to supervise and exercise control over event activities, using trustworthy guides and coordinators to ensure activities are maintained within the guidelines of Grand Overland.  Timed events are prohibited as they routinely result in excessive damage to property and trails.  Events will be operated with a priority for operator safety, vehicle protection, and property and trail preservation.


    The Event agrees that any claim or dispute arising out of or related to this Agreement or any activity covered by this Agreement, whether asserted in CONTRACT OR TORT, including claims or disputes alleging negligence, gross negligence, willful conduct or any other cause, shall be submitted to BINDING  ARBITRATION in accordance with the North Carolina Revised Uniform Arbitration Act.


    This Agreement shall be governed and construed in accordance with the laws of the State of North Carolina, and the exclusive jurisdiction and venue for the litigation or arbitration of any claim or dispute arising out of or related to this Agreement and any activity covered by this Agreement shall be in the State or Federal Courts located in Montgomery County, North Carolina.
