  • Q: What happens to my complaint after I submit it?
    A: The Board Director of Residential Communication receives an email with your complaint. The complaint is reviewed within 24 hours. The inquiry will either be addressed or will go to the designated Compliance Directors for further investigation. The directors will review after investigation and follow the proper protocol when filling for a letter towards the unit or issuing fines. The person who submitted the form will not receive an update on their complaint unless request.

    Q: Do I need to fill out a paper complaint form if I submit an electric form?
    A: No, the electronic form is fine.

    Q: When does the letter / fine go out?
    A: After the complaint is reviewed by the directors they will send an email over to our management company to issue a letter and or fine within 24 hours.

    Q: Why is my previous issue/ complaint not resolved?
    A: We have to follow a certain protocol in order to issue a fine or take actin against a homeowner. We have to send a letter and allow a certain number of days for the violator to correct the problem.

    Q: Why do I have to send photos in to quakersgreenhoa@outlook.com?
    A: This allows the board to process your compaint quicker and avovids a he said/she said when we have to produce evidence in the event of an appeal.

    Q: Will my complaint be followed up on if i do not submit a photo?
    A: Yes. However the process will take longer.

    Q: I sent my complaint information into quakersgreenhoa@outlook.com and was told to complete a complaint form why?
    A: This allows us to follow up and keep track of the complaints coming in.

    Q: I told the HOA I am calling the Police if my issue is not resolved immediately. The HOA's response was "Please call the police". Why?
    A: The Police are there to assist the public, you telling us you are calling the police has NO impact on how the board will handle your complaint. Please call them if you need them.

    Q: I told the HOA I will no longer be paying my HOA fees if my issue is not resolved immediately. My issue is not resolved and now I have late fees, plus the regular monthly fees. Why?
    A: HOA monthly fees under NO circumstance can be voided or delayed as stated in the HOA documents. The unit will continue to accumulate fees/fines as stated in our HOA documents. The HOA will be informed once the unit reaches a certain amount of past due fees/fines and if the HOA would like to proceed with legal action and possible liens on the unit and property.
