     COMMUNICATION ON EVENT DAY
  • All volunteers are required to bring their mobile phones and keep them switched on at all times during the event to stay in touch with race control, other marshals and emergency services. You will be issued with a badge as part of your volunteer kit, which shows phone numbers for the event director and emergency services.

    Please add yourself to the volunteer WhatsApp group either in the days leading up to the event or upon check-in on event day via this LINK to make team internal communication a breeze. When you write or respond to a message in the chat, please start the sentence with your name and role, e.g 'Stacey@BM1: Is the last bike out on course yet?'. The chat will be closed 1 day after the event.

  •  MEDICAL SUPPORT
  • In case of accidents and emergencies, we have access to the first aid facilities at the Sports Centre as well as a medical team with first response vehicle on site. If you witness an accident or a participant informs you of an accident, please let the event organiser know after calling the emergency services (if needed). All relevant phone numbers are printed on the back of your volunteer badge.

  •  GENERAL RULES
  • Stopping Traffic

    The senior event is run on open roads and participants need to follow the rules of the road at all times. As a marshal, you have NO authority to stop traffic. If you deem a situation to be potentially risky or harmful, stop participants until traffic has slowed down and participants can proceed safely.

  • Spectators

    Spectators are most welcome at IntoTRI’s Cornish Tri Series. However, while social distancing measures are in place to reduce the spread of Covid-19, spectator access is limited to targeted 'spectator zones' on site. Zone A on the sports field with a view over transition and finish area, and Zone B in the Sports Hall. For safety and security reasons spectators can NOT enter the following areas:

    • Transition zone (exception: bike drop off/pick up for the junior event at certain times for one parent only (marked at registration))
    • Finish line
    • Swimming pool 
  • Helping Athletes

    Under British Triathlon rules, participants are not allowed to receive outside help. This includes the following:

    • No pacing of athletes from parents or spectators
    • No kit can be handed over or received from parents or spectators during the event
    • No assistance can be given to get changed in transition. However, marshals are encouraged to help our youngest participants unrack their bikes

    Venue Control Marshals direct athletes and spectators to registration, the transition zone, finish area and spectator zone. In times of Covid-19, you are instrumental in maintaining a one-way flow of pedestrian traffic and orderly, socially distanced queuing system (easily identifiable distance markers will be in place).

  • OVERVIEW

    With the aim to remove any queues at registration and allow marshals to perform their role socially distanced, we have taken several measures to streamline the check-in process for athletes on event day. Akin to self-serve check-in and bag drop at airports, athletes will be following a one-way system outdoors, with distance markers in place, picking up event packs and timing chips on their way to the transition zone. 

  • RG1-4

    • Registration marshals are based in gazebos near the transition zone and equipped with ipads that display the athlete check-in form. The form breaks the check-in process down into 4 easy to follow steps.

  • CHECK-IN PROCESS

    Step I - Load athlete details 

    • Select athlete's name from dropdown and click Load Athlete Details.
      Success will be shown and Entry Details section is filled in automatically.
    • If athlete wants to drop down in distance (upgrade only possible if pre-arranged with race director), or any other details are incorrect, please record them in the Comments field

    Step II - BTF ID Check

    • The check-in form automatically detects whether athletes needs to show a valid BTF ID (card/print out/electronically). If not, this section is skipped automatically.
    • Check 'Name' and 'Membership No' on BTF ID match our records displayed in the form. Use BTF ID (overwrite) field if you find a typo in Membership No.
    • Check BTF ID has not expired.
    • If name on BTF ID does not match our records or membership expired, payment of day-license is required. Adults £6, junior (under 20y) £1

    Step III - Swim: Body Marking

    • Athletes were asked to self-mark at home. If body marking missing, instruct athlete to use marker provided at registration to write their race number on their left hand and disinfect marker after use. Tick Yes once bodymarking completed.

    Step IV - Event Packs

    • Hand out event pack corresponding to athlete's race number shown on form. Packs contain:
    • 2x race numbers (1x run, 1x bike). Run numbers must be worn on front of shirt, bike number on back. When using race belt, numbers have to be fixed back to back
    • A white, numbered sticker that needs to be fixed to the bike on front of head tube. To pick up bikes post event, transition zone marshals will check that sticker matches race number. No match, no bike.
    • A pink, numbered sticker (senior short course participants only) that needs to be attached to front of helmet to allow course marshals to distinguish between short and long course participants

    Submit Entry Form 

    • Submit form and send athletes to next desk to pick up their timing chips
    • Timing chips must be worn around left ankle at all times. Relay teams hand over chip in transition at bike racking slot.

    • Swim marshals will not have any direct contact with athletes and can maintain a safe distance from their seats to the pool at all times
    • One-way system in place to enter/exit pool area
    • Socially distanced waiting area for athletes in operation in sports hall. Athletes sit on numbered seats according their swim number and progress to the pool area one-by-one.
    • Maximum 16 athletes allowed in pool area at any given time (8 in the water, 8 seated socially distanced)
    • Pool doors and windows open for constant ventilation
    • Marshal kit containing clipboard, pen and float sanitised before use

    • Athletes stay in the spectator zone (socially distanced) on the sports field to wait for their swim start
    • Monitor the flow of athletes out of the pool rear exit. As soon as 5 athletes have finished their swim, alert and pick up the next 5 athletes on the start list (supplied) from the spectator zone and guide them to the rear entry of the sports hall from where they follow the one-way system to the pool on their own. 
    • Advise athletes to stay in swim number order and take a seat poolside (socially distanced) until they are called forward
    • The idea is to have 5-8 athletes seated poolside at all times to avoid overcrowding in the pool area and guarantee a steady flow of athletes for the swim start timer.
  • LC1-4

    • Maximum 20 athletes allowed in pool area at any given time (50% in the water, 50% seated socially distanced)

  • SWIM PROCEDURE (varies by age)

    Group I: 8y, 9-10y

    • Snake through the pool swimming each lane just once, duck under rope, swim back next lane, duck under the rope etc.
    • Swimmers set off in 10-15sec intervals with 3sec countdown from shallow end
    • Start in the water, no diving
    • Overtaking allowed at any time
    • 8y (50m, 2 lanes) start in lane 3, 9-10y (100m, 4 lanes) start in lane 1. Everyone finishes at same spot in lane 4.

     Group II: 11-12y, 13-14y

    • Follow same snaking system as laid out before but swim up and down same lane, then duck under lane rope etc.
    • Swimmers set off in 15sec intervals with 3sec countdown from shallow end
    • To overtake, tap feet of person in front. Pass at end of lane or when space permits
    • 11-12y (150m, 6 lanes) start in lane 2, 13-14y (200m, 8 lanes) start in lane 1. Everyone finishes in lane 4.

    Group III: 15-16y

    • 400m swim (16 lanes) - Marshals count laps.
    • Lane counters provided with pack containing clip board, pen and float
    • 2 swimmers share a double lane, staying on their side of the lane at all time
    • Note down race number of swimmer at start (written on their hand)
    • Tick box every 50m (every time swimmer reaches you), see lap counting sheet below
    • Place float in the water after 350m to indicated 2 laps to go
  • MARSHAL ROLES

    SM1

    • Location: Google Pin | rear exit, pool
      Wadebridge Leisure Centre, Bodieve Rd, PL27 6BU
    • Athletes stay in the spectator zone (socially distanced) on the sports field to wait for their swim start
    • Step 1: Swim start. Pick up first 15 athletes on the start list (supplied) from the spectator zone and guide them through the rear entry of the sports hall to the pool area, following the one-way system shown on map above. Ensure athletes remain in number order and take a seat poolside (socially distanced) until called forward by the swim start timer.
    • Step 2: Follow the one-way system outside and monitor the flow of athletes out of the pool rear exit. As soon as 5 athletes have finished their swim, alert and pick up the next 10 athletes on the start list from the spectator zone and guide them to the pool area as in step 1
    • The idea is to have a small number of athletes seated poolside at all times to avoid overcrowding in the pool area and guarantee a steady flow of athletes for the swim start timer.
    • Note: Once all athletes of an age group have been taken poolside, pause for 5min, then pick up the first 15 athletes of the next age group and advise swim start timer to await the go-ahead from the event director before starting the swim

    SM2

    • Call athletes forward to correct lane (see swim procedure above) as a swim slot becomes available and support swim start timer
    • Oversee swim, ensure overtaking happens at end of lane or when safe to do so. Stop slower participants at end of lane if needed
    • Enforce no running rule poolside
    • For 15/16y age group only, SM2 takes on role of lap counter (see swim procedure above)

  • OVERVIEW

    The Scootathlon is a fun, non-timed event for 5-8y olds. To help with social distancing, we are using a rolling start, limiting the number of children on the course to max 15. Parents support their children in a socially distanced transition area to change from scooter to bike and bike to run. Marshals have no direct contact with the children and can maintain their distance.

    • Direct participants to correct racking area:
      • Each bike rack has a number 
      • 4 bikes per rack, racked by the saddle, alternating from both sides, i.e 1st bike faces left, 2nd right and so on

    One-way system in operation. Please ensure athletes follow yellow arrows from finish to spectator zone or to pick up their bike in transition.

  • COVID-19 PRECAUTIONS

    • Finish marshals will not have any direct contact with athletes and can maintain a safe distance at all times. Disposable gloves and disinfectant provided.
    • One-way system in place to enter/exit finish area, pick up bikes in transition or leave the venue (see map above)
    • Medals individually wrapped and laid out on table
    • Self-serve drink station. Athletes can refill their own water bottles or use disposable (100% recycable) cups provided
    • Atletes take off timing chips themselves and place them in bucket with disinfectant solution 
    • No lap counting bands (junior event)
  • FM1 to FM3: Finish Line Marshal

    • Ensure athletes take off timing chips and velcro straps, placing them in buckets with disinfectant solution provided  
    • Lay out medals on table for athletes to pick up
    • Refill water canisters if needed. Athletes can use canisters to refill their own water bottles or use disposable (100% recycable) cups provided
    • No spectators allowed near finish area. Ensure athletes follow one-way system from finish to spectator zone or transition area

    Everyone bringing a volunteer along for a Cornish Tri & Mini Tri event they participate in will receive a 50% credit on the price paid for a junior entry (junior event volunteers) or senior sprint entry (all senior event volunteers). The credit is added to the wallet in your intoTRI user account 3 days after the event. Wallet funds can be used towards any future event entries or merchandise on intotri.com.

    100% CREDIT - Volunteer yourself

    Everyone volunteering at a junior or senior event will receive a 100% credit on the entry fee for the type of race they volunteered at (all senior event volunteering credits based on sprint event entry). The credit is added to the wallet in your intoTRI user account 3 days after the event. Wallet funds can be used towards any future event entries or merchandise on intotri.com.

    ££ Donation - Volunteer for a club or school

    If you are part of a club/school or community group supplying multiple volunteers for an event, you can use your volunteering activity to raise funds for your group. intoTRI makes a ££ donation to the group for each volunteer who does not wish to receive a credit for future events. Donations are processed via bank transfer 3 days after the event.
