Cancellation policy related to COVID-19:
If you are unable to attend #ILCA21 due to a COVID-19 emergency, (e.g., lockdown enforced in your country, Visa restrictions, obligation to stay on-site by your institution), you are entitled to receive a full refund of your registration fee. This policy applies to the following cases:
- A lockdown or quarantine is being enforced in your city or country
- Your institution is requiring you to stay on-site (please provide us with an official statement from your department)
- Your local embassy does not deliver Visas anymore (please provide us with an official statement from the embassy)
- You or someone with whom you have close contact has been diagnosed with COVID-19 and will not be recovered prior to the event
Cancellations related to COVID-19 will be handled on a case-by-case basis and may require documentation beyond what is required in the cancellation policy above.
Special Circumstances:
Refunds may be granted, at the sole discretion of ILCA, if a delegate is unable to attend the conference due to a family death, illness, or other extraordinary circumstance please complete this form immediately. ILCA retains the right to request a death certificate, physician note, or other information related to the decision. ILCA is not responsible for events beyond our control such as weather conditions, flight cancellations, venue property conditions, viruses, civil unrest, internet disruptions or equipment compatibility. No refunds will be given in these situations.
Registration Cancellation Options:
- If you are registered for in-person participation but are no longer able to attend, you may change your registration type to the Virtual Package. We will handle this transfer for you. Information regarding your login information will be sent the week before the conference.
- If you cannot attend in-person or virtually, you may transfer your participation to one of your colleagues who would like to join #ILCA21. Delegates may send a substitute in their place in lieu of requesting a refund upon prior notification to ILCA. Substitutions will not be allowed if any sessions have been attended or viewed.
- You may cancel your registration for a refund of the registration fee, less a 15% USD processing fee (unless COVID-19 related)
Cancellation Process:
Cancellation requests may be accepted on a case-by-case basis and additional documentation may be required.
A change in registration type or transfer to a colleague will be processed as quickly as possible during regular business hours.
Please allow up to 10 business days to process your refund. Your funds will be returned via the same method you paid for your registration.
Once issued, refunds may take 7 business days to be reflected on your credit card statement.
If you paid by check/bank transfer/wire, please allow up to 120 days for a refund.
No refunds or credits will be given to those who do not fill out a cancellation request or who do not attend any of the in-person or virtual sessions. We will not grant refunds for software incompatibility. Please ensure technical compatibility or contact our staff for assistance.
