  • Fees Payable to Nick VT Videography 

    1. A non-refundable booking fee of 35% is due when this agreement is signed.

    2. The balance (plus extras) is to be paid 7 days prior to the wedding date.

  • The following can be filmed, unless otherwise specified in the package:

    • Decor (Reception & Ceremony)
    • Bride & Groom Preparations

    • Couple Formal Shoot
    • Reception Highlight Moments
    • Any Special Requests 
  • Please Note:

    Travelling costs will be charged from Mossel Bay and are not included in the package price.
    Accommodation will be charged for 1 adult when the venue is more than 90km from Mossel Bay.
    A booking is only confirmed when the nonrefundable booking fee is paid. This will be deducted from the final amount.
    The full amount is payable 7 days before the wedding date.

  • Artistic Style:

    The Client acknowledges that he/she is familiar with Nick VT Videography's portfolio and is requesting services with knowledge of the videographer's style and that Nick VT Videography's work is constantly evolving; that Nick VT Videography's services are of a unique and artistic nature; that the video may be different from videos done by the company in the past; and that in creating the videos we shall use our own creative artistic judgment to create videos consistent with our vision of the event, which may be different from the Client's and or the subject’s vision of the event. Accordingly, the client acknowledges that the videos shall not be subject to rejection on the basis of taste or esthetic criteria.

    Additonally it is the client's responsibilty to inform Nick VT Videography's of any specific shot selections or preferred genre of music which the client would like included, before the date of the wedding.

  • Pre-Wedding Consultation:

    This normally happens at the time of booking or a month before the wedding, either in person or virtually. The Clients will outline broadly what is required and the Videographer will advise on planning, logistics and timings where needed. If required the Clients are welcome to arrange for an additional call closer to the time of the wedding (about 2 weeks) to iron out the remaining details. 

  • Permissions to Film:

    Client assumes all responsibilities for obtaining any necessary permission, clearance permits, etc., which may be required for Nick VT Videography at each event, public or private. Client assumes all responsibility for obtaining and retaining permission for access to any requested camera positions and is solely responsible for the quality of the final production resulting from the use of, or inability to use, such camera positions. The client agrees that he/she has the legal rights to anything Nick VT Videography will video at the wedding's ceremony. If children under the age of 18 are expected to attend the event, the client will obtain filming persmission from the child's parents. All video content recorded on the day of the wedding will be the product of Nick VT Videography for inclusion in the client's final video.

    Please note that not all guests at weddings enjoy being filmed, and they may shy away from the camera. In such cases the Videographer will use his discretion but cannot be held responsible for a lack of footage of these people.

    It is understood that Nick VT Videography is the exclusive Videographer retained by the client to cover the outlined event. Any conflicts with video coverage contracts and any notifications necessary to avoid such conflicts are the sole responsibility of the client.

  • Third Party Rules:

    Note the Videographers are sometimes limited by rules imposed by registrars,  ministers and venue management as to what can and cannot be done. For example, some ministers insist that no cameras are permitted during the ceremony, and others will insist that the Videographers film from a  specific location. In such circumstances the Clients agree to  accept the technical limitations that may be imposed on the equipment used. We advise the Clients to make themselves aware of the rules of the venue concerned and if necessary negotiate with the personnel concerned. 

  • Cooperation:

    The Clients and the Videographer consent to happily cooperate and communicate with each other to achieve the best possible result within the understanding of this contract. We recommend that the Videographer be provided with a helper (usually a member of the bridal party) who will point out key individuals to be filmed. The Videographer may also require the assistance of this person in organizing family groups. The Clients also agree to give the Videographer sufficient warning of key events at the wedding to give the Videographer time to prepare e.g. bouquet throwing, cutting the cake, speeches etc.

  • Meals:

    The client agrees to provide a meal and seating for the videographer and (if applicable) the assistant, at the Reception. Seating can be with the other service providers and need not be at the guests' tables.

  • Recording of Audio:

    Please note that audio can only be recored during the ceremony and reception if the sound is set up via a sound system with microphones, and if the Client allocates enough time for the Videographer to set up and begin recording before the Clients enter the ceremony or reception.

  • Raw or Unedited Footage:

    Footage is filmed in log format and colour is added during the editing process. The final product is edited from a combination of short clips and audio files. As such, the raw or unedited video files are not included in the package and are not supplied to the Client. If the Client would like unedited video files then it is the responsibility of the Client to inform the Videographer at the time of booking so that a custom package can be created and the Videographer can make provision for uninterrupted video and audio coverage and different colour settings.

  • Paparazzi Wedding Guests:

    Guests will have cellphones or digital cameras and they will want to take photographs and videos of the Clients. In the spirit of cheerful cooperation, the Clients agree to give the Videographers precedence over the guests in order to take the videos required for the wedding services described above. We can not be held liable for a lack of footage if guests taking their own photos or videos interfere with the Videographer’s work. 

  • Additional Time:

    It is not uncommon for weddings to go on longer than planned. The Videographer is flexible, and will make provision where possible. Additional overtime fees are R900 per hour. If the event goes on for longer and the Client wishes an extension of Videography time, a verbal acknowledgement is sufficient and the Client will be invoiced after the event.   

    Should the reception start late due to any reason whatsoever, Nick VT Videography will not be held liable for any footage not taken if the Client opts not to book extra hours.

  • Delivery of Final Videos:

    Both the client and Nick VT Videography agree to the terms of delivery:

    Social media preview: 2-4 weeks
    Highlight Video: 10-12 weeks
    Short Film: 12-14 weeks
    after the date of the contracted wedding.

    Please note that forces out of our control (natural disasters, Load Shedding, etc) can impact our delivery time and we cannot be held responsible for this.

    The final video files will only be handed over once all outstanding invoices have been paid.

  • Copyright Agreement:

    The copyright of footage remains with the Videographer. The Videographer grants the Clients permission to make copies of the videos under the following  conditions: The videos are taken by the Videographer for personal use by the Clients and their friends and relatives; sale, publication or any commercial use of the videos is not allowed without prior written permission from the Videographer; videos may be used on personal websites or platforms (an acknowledgement to the Videographer is requested and appreciated).  

    The client must obtain written permission from, and compensate, Nick VT Videography prior to an event where the videos are to be used for profit.

    The footage filmed by Nick VT Videography remains the property of Nick VT Videography and we reserve the right to use the footage for promotional and marketing purposes on various social media and other networking platforms. Social Media Preview videos will be shared on social media, however the Client has the right to request that their full wedding video be kept private, if they prefer it not to be shared on the Videographer's social media pages. All videos will however be included and visible in the Videographer's website portfolio.

  • Limit of Liability:

    If the Videographer is too ill or becomes injured and cannot supply the wedding services specified above the Videographer will try to book a replacement wedding videographer. If a replacement videographer cannot be found then liability is limited to a refund of any payments received. The videographers have working methods in place to prevent loss or damage to your images. However, there is the unlikely possibility that images may be lost, stolen or destroyed for reasons in or beyond our control. In these circumstances liability is limited to the return of fees paid for the service or part thereof according to the percentage of images supplied.

  • Confirmation:

    A signed “Contract for Wedding Videographer Services” and payment of the booking fee are necessary to confirm the stated wedding services from the Videographer.

  • Booking Fee/Deposit:

    In the event of the Clients cancelling the wedding for whatever reason the booking fee is non-refundable. It will be considered as liquidated damages to the Videographer.
