• 2021 Craft Vending Application

  • Thanks for your interest in vending at the Hangtown Music Festival. Please review the following information carefully, and fill out the application below.

    PLEASE NOTE THESE IMPORTANT DATES IN YOUR CALENDAR:

    • Monday, August 9th, 2021:  Application deadline. Late Applications will not be accepted.
    • Monday, August 23nd, 2021:  Application status sent via email
    • Monday, Sept 20th, 2021:  Payment deadline (or the vendor space will be forfeited).

    Booth size: Three booth sizes are available based on your retail space footprint. 

    Fee structure is as follows:

    Passes:  One additional 4-day worker pass is available per booth for $199.50. Children 5 - 12 must purchase kids tickets ($45 for four day pass). Ages 4 & under are free.

    Camping: An additional 10x10' of space directly behind, or nearby your booth will be allotted for camping. Due to the space constraints in the bowl, the camping behind some booths will be on a hill and not flat. Please note: RETAIL SPACE must be confined to the specified depth of your booth. *No additional hill space may be used. This will be strictly enforced.

    Parking: You will park on-site in the 4H Field (see map). Any additional vehicles must have a parking pass (which may be purchased through our website). No re-entry. Once vehicles are in the festival grounds, they must stay parked for the entire weekend.

    Electricity: *Limited* electricity is included; we ask that electrical usage be limited to only what is required to operate your booth. Electricity should not be used for camping or extraneous items. All cords mut be grounded 3-prong plugs. Maximum Electricity allowance per vendor is 120v, 20amps. We recommend bringing 100’ of outdoor electrical extension cord. Power will be supplied by a generator that will be on during vending hours. It will be turned off at night after the music meadow closes for the night.

    Liability Insurance: All accepted vendors will be required to carry liability insurance naming Hangtown Festival LLC AND El Dorado County Fairgrounds as additional insureds.

    Prohibited items for sale:  the selling of smoking paraphernalia (i.e. vape pens, pipes, etc.), tobacco, marijuana products or illicit substances of any kind, or audio recordings is strictly prohibited.

    Easy Ups and Shade Structures: All Tents must be Registered Flame Resistant Product. Tents will be checked by Fire Marshal before start of event.

  • Submission of this application signifies your understanding and acceptance of, and agreement to abide by the Rules & Regulations of Hangtown Music Festival if invited to participate. We reserve the right to accept or reject any exhibitor at any time. By submitting this form, I agree that I have read, understand, and will abide by all guidelines. I agree not to hold Hangtown Music Festival responsible or liable for accidents, loss, theft, or claims resulting from my participation.

    COVID-19 ACKNOWLEDGEMENT AND LIABILITY WAIVER

    As a precondition to your admission onto the premises of Hangtown Festival LLC (“Company”) for the Hangtown Music Festival (the “Event”), you and Company agree to the following:

    You understand that Company has endeavored to comply with applicable governmental and public health guidance to create a safe environment for staff, performers, attendees, and other visitors to the Event.  You understand that COVID-19 is a highly contagious disease transmitted through human contact and respiratory droplets (including through the air and via common surfaces), that it is possible that you may contract COVID-19 while at the Event, and that contracting COVID-19 could lead to sickness or death.

    You assume all risk in connection with your admission to the Event.  In consideration for Company allowing you admission onto the premises for the Event, on behalf of you and all of your heirs, executors, administrators, and assigns, you hereby waive and release any and all claims that you could bring against Company, any of its affiliates, or any of Company’s or its affiliates’ respective owners, shareholders, partners, members, executives, officers, directors, employees, or other personnel (collectively, the “Company Parties”) in any arbitration or court proceeding, including any cases arising from the Company Parties’ own negligence, except as prohibited by law.  You promise not to sue any of the Company Parties in any court or arbitration based on any claim released or waived hereunder, either individually or as part of any group or class, and further promise not to authorize any other individual or non-governmental entity to pursue claims on your behalf.

    You represent and warrant that (a) you fully understand the terms, conditions, and significance of this COVID-19 Acknowledgement and Liability Waiver and its binding effect; (b) you understand that you are waiving legal rights and remedies, including but not limited to any negligence or “tort” claims you otherwise could pursue; (c) you are competent to manage your affairs and enter into this COVID-19 Acknowledgement and Liability Waiver; (d) you are entering into this COVID-19 Acknowledgement and Liability Waiver knowingly, voluntarily, and without any pressure by any of the Company Parties; and (e) you have not assigned any of the claims waived hereunder to any other person or entity.
