The information gathered from clients is used internally by The CARes Project management and staff to better serve each client. Client data is kept in a locked file when not in use and/or on a secure computer. This information includes personal information, credit information, and payment* information (*if the client gets a loan through CARes).
Since a major goal of The CARes Project is to help clients improve their credit, car loan, and related payment information will be shared with the credit reporting agencies (Experian, and/or TransUnion) if a client gets a loan through CARes. CARes reserves the right to share client personal information for the purpose of collection on CARes car loan debt by a third-party collection agency.
CARes reserves the right to share client personal information with a vehicle recovery service should a client default on a loan and not cooperate on the recovery of the vehicle related to that default. Use of a collection agency or recovery service is a last resort for The CARes Project and can be avoided in most cases if the client remains in good communication with The CARes Project staff and voluntarily returns the vehicle to CARes if the client defaults on the loan and all other options (as determined by CARes staff) have been exhausted.
The “Client Application” form also contains a release for The CARes Project, Inc. staff to confirm the information on the application. Clients must complete and sign the “Client Application” to begin the process with The CARes Project.
The Community Loan Committee will be provided certain information about each client for the purpose of approving (or denying) a loan. This information does not include names or addresses of clients and is anonymous data without personal identifiers. Only staff of The CARes Project has access to specific information about each client. From time to time, The CARes Project may ask a client if their story can be shared with others beyond the staff of The CARes Project. This may be related to publicity for The CARes Project or for United Way agencies and other funding partners. The client may refuse this request and there would be no repercussions. Should a client agree to have some of their personal information shared, they may choose to share it themselves in person or in writing (if the document is signed by the client). Other than when a client agrees to share their information in person, a release form will be signed by the client that allows The CARes Project to share personal information about that client.
It is important for The CARes Project to track client progress through the program. Client personal information will only be accessible by the staff of The CARes Project. Aggregate and anonymous data may be shared with others for compliance, marketing, and fundraising. “Aggregate” and “anonymous” data is defined as information without identifiers that would allow specific data to be tracked back to a client.
All clients will have access to a copy of this “Privacy Policy” at the time that they apply to become a client of The CARes Project. Each client will also get access to a two-page “Use of client's Information” document. Any updates to these documents will be mailed to all active clients within 30 days of the updated documents being approved by the Board of Directors of The CARes Project, Inc.
