Processional
In our experience, it is best to have only one song for the processional. However, if you have a large bridal party and a long aisle to walk down, then two songs (one for the bridesmaids & flower girls/ring bearers and another for the bride) can work too.
Signing of the Register
Please select 2 songs for us to play as you sign the register. NB: we might not have time to play both so please list in order of preference.
Communion (if applicable)
Please select (2) songs for us to play during the Eucharist. NB: we might not have time to play both so please list in order of preference.
Recessional
The recessional is the piece of music played as the newly married couple and their attendants walk back down the aisle at the end of the ceremony. This is generally an upbeat piece of music and often couples will choose 'their song' or a song that they feel sums up their relationship.

TERMS & CONDITIONS

Please acknowledge that you have read, understood, and agree to the following by ticking each checkbox and signing at the end.
1. Performance Requirements

The event coordinator must provide:
- A performance space of approximately 3 x 2 metres on level, stable ground.
- Adequate lighting (natural or artificial) for reading sheet music.
- One armless chair per musician.
Performances should not take place on sand or other uneven surfaces unless firm flooring is provided.
2. Shade & Shelter

For outdoor events, the client must provide adequate shelter from direct sunlight, rain, and adverse weather (e.g. gazebo, veranda, or large market umbrella).
Musicians reserve the right to cease playing or relocate if conditions become unsafe for instruments.
If the performance cannot proceed due to inadequate shelter, no refund will be issued.
3. Government Restrictions & Postponements

If government restrictions (e.g. public health or lockdown measures) prevent your event from taking place, your booking may be postponed for up to 18 months.
If we are unavailable on your new date, your deposit will be refunded in full.
In all other cases, the standard cancellation policy (see Section 6) applies.
4. Booking Confirmation & Deposit

A $250 deposit is required to secure your booking and must be paid at the time of confirmation.
Bookings are not confirmed until the deposit is received.
This deposit is non-refundable, except in cases where Animata String Quartet cancels or is unable to perform on your chosen date.
5. Payments

Final payment must be made no less than:
- 7 days prior to the event (if paying via direct deposit), or
- 30 days prior to the event (if paying via cheque).
Late payments may incur a $25 administrative fee unless otherwise agreed at the time of booking.
Accepted payment methods: direct deposit (preferred) or cheque.
6. Cancellation Policy

All cancellations must be made in writing (via email).
- More than 30 days before event: Full refund less $250 cancellation fee.
- Between 30 days and 48 hours: 50% of total hire charge payable.
- Within 48 hours: Non-refundable.
Refunds will be processed within 10 business days of cancellation.
7. Travel Outside Metropolitan Melbourne

Performances outside the Melbourne metropolitan area (e.g. Yarra Valley, Daylesford, Mornington Peninsula) will incur a travel fee, quoted at the time of booking.
This fee covers travel time and related expenses.
8. Emergencies & Substitute Musicians

If a musician becomes unavailable due to illness, family emergency, or unavoidable circumstances, a qualified substitute musician of equal or higher ability will perform.
If a musician is unable to attend on the day due to unforeseen events (e.g. accident, natural disaster, medical emergency), a refund for that musician’s portion of the fee will be issued within 10 business days.
If you require an all-female ensemble, please specify this at the time of booking.
9. Booking Time & Overtime

Please book for the maximum duration you expect to require.
Musicians will arrive approximately 20–30 minutes before the scheduled start time.
Performances that run past the contracted end time will incur an overtime fee of $2.50 per minute, per musician, plus a $50 administration fee.
Overtime is subject to musician availability and must be agreed upon at the time.
10. Breaks

For performances exceeding one hour, musicians require a 10–15 minute break per hour, which is included within the booked time.
Breaks can be scheduled to coincide with formalities such as speeches.
11. Refreshments

For outdoor performances, bottled water (or a glass of water) per musician is appreciated.
For bookings longer than three (3) hours, a meal or substantial finger food must be provided.
12. Social Media & Photography

We occasionally post photos from events on social media platforms such as Instagram and Facebook.
If you do not wish for your event to be featured, please notify us in writing.
By default, you consent to Animata String Quartet using images taken during your event for promotional purposes.
We will never post personal or inappropriate content.
13. Performance Recording

Animata String Quartet may record portions of the performance (audio or video) for internal or promotional use.
If you do not consent, please indicate this in writing.
14. Force Majeure

Neither party shall be liable for failure to perform obligations due to circumstances beyond reasonable control, including but not limited to acts of God, government restrictions, natural disasters, or emergencies.
15. Liability

Animata String Quartet is not responsible for any loss, damage, or injury occurring at the event venue, except in cases of proven negligence.
16. Governing Law

These Terms & Conditions are governed by the laws of the State of Victoria, Australia.
17. Insurance

Animata String Quartet holds current Public Liability Insurance through a recognised Australian insurer.
A copy of our Certificate of Currency can be provided upon request.
