    An Office Administrator or Administrative Assistant position is extremely important to the success of ALCS, since this person handles a multitude of details and responsibilities that help this place run smoothly and is also the first experience most people will have with us. Some of the criteria and responsibilities are listed below:

     
    Quick learner and critical thinker - There are a wide variety of details to manage and understand regarding how systems work here. An office administrator manages schedules, coding, preparing statements for insurance reimbursement, and billing, in addition to managing client records. Being detail-oriented is essential, and recognizing how details fit within the larger system in order to anticipate potential problems and solutions before they arise is important to the success of this position.


    Initiative and task management - The role of office administrator requires constant task shifting between various responsibilities and client interaction. It also requires keeping in mind all of the necessary responsibilities and remembering to stay on top of each of them, intuitively knowing how best to manage tasks at any given time. When there is a “lull” in the pace, identifying potential tasks that would bring value to ALCS and completing them is greatly appreciated.


    Professionalism, empathy, wisdom, and grace - As a first point of contact, the office administrator’s role is crucial in helping potential clients feel safe and cared for, confident that someone is eager and equipped to help them. He or she should be able to quickly become knowledgeable of ALCS counselors’ expertise and ALCS website content, as well as outside resources, in order to guide clients to the best care possible. He or she should also be able to connect in meaningful ways with clients to help them feel understood and at ease, answering questions and helping potential new clients know what to expect and to determine whether our services are the best fit for them. Effective communication, both in written and spoken form, is critical, and training in helping skills such as reflective listening is a help. In addition, an office administrator will sometimes have to manage delicate interactions with wisdom and tact. Problem solving and protecting confidentiality will be extremely important.


    Comfort with technology - while the technological aspects of this job can be learned fairly easily, being somewhat comfortable with technology will be helpful, and extra technological skill will be an added bonus.


    Diligence, humility and “teachable-ness” - A good work ethic is expected. A willingness to follow instructions is critical. An eagerness to learn and be an asset to ALCS is greatly appreciated.
