    "The Festival" - Audio Farm Festival 2021

    Contract will be reviewed on 1st November 2021.

    This notice sets out the basis under which you are a person / collective of the Organisation. By being a person / collective of the Organisation you accept and undertake to abide by the terms of this notice. In particular, this notice sets out what the Organisation ("we", "our, "us") can expect from you. Please read this notice carefully. If you do not understand any part of this notice please let us know.

    This agreement sets out what we can each reasonably expect from your person / collective role within the Organisation. The Organisation appreciates you being a person / collective with us and is committed to providing person / collective with a supportive environment. We hope that you will find your person / collective experience enjoyable and rewarding.

    Neither you nor we intend any employment relationship, nor any employment rights or

    worker rights to be created either now or at any time in the future as a result of you beinga

    person / collective with us. This agreement sets out general expectations and standards and does not give rise to any commitment from us to you, or in return.

    Under the circumstances of the festival making a loss for the 2021 (mainly due to losses carried forward from 2020 cancellation due to Covid19) Audio Farm HQ will have some cash flow issues. This will result in around your wage, fee, invoice or receipt being paid at an estimate of 75% on or before 30 days after the festival, with the remaining 25% being paid upon cash injection of sales from ticket sales from 2022. If this clause is activated it will

  • apply to all outstanding invoices that have been submitted to Audio Farm HQ. Sharing the cash flow deficit. In this circumstance you will be paid as soon as cash flow allows.

    2.1 Responsibilities of Promotion and Marketing

    Each Person / Collective, Director or Manager member who agrees to this contract agrees to help promote the event by; Inviting 500 friends to the event via Facebook + sharing event. By word of mouth. By handing business cards out. Sharing the event on Facebook and tagging at least 100 friends on 3

    Sharing on Instagram at least 3 times.

    3.0 Audio Farm LTD person / collective

    3.1 Responsibilities and duties

    Helping raise money for charity, and being part of a special collective. Creative and financial voice on everything that is planned with the Organisation. Can use the Festival/Organisation on any CV. Use the Festival/Organisation as a DJ or an event, within reason and advice from fellow person / collective. All person / collective have responsibilities to take care of all the Organisation's assets and ensure all costs are kept to a minimum.

    3.2 H&S Responsibility Audio Farm LTD will endeavour to purchase adequate public and employers liability insurance, and festival insurance and to ensure a H&S representative signs the site off and gives advice to the person / collective of the Organisation. Audio Farm LTD will also ensure all Health & Safety and Risk Assessment documentation is available at all times to the person / collective, Managers and Staff who work at the Organisation. It is the responsibility of the person / collective, Managers and Staff of the Organisation to ensure that they understand the documentation and are fully aware of all liabilities. Audio Farm LTD will provide £5million to £20million public and employers liability insurance.

    Adequate H&S, risk assessments and method statement documentation for all Staff. person / collective and Managers to adhere too.

    3.3 Public and Employers Liability Clause By signing this agreement, person / collective, workers and employees are covered under the ELI policy up to the figure declared of £10 million, under our instruction and are the responsibility of Audio Farm LLTD. They are covered under our employers liability cover and will not require their own Public Liability cover.

    This does not apply to bone fide sub-contractors who should have their own Public Liability cover of at least £5,000,000.

  • provide you with a supportive environment. provide you with access to the Festival. provide you with space to camp at the Festival, however please note that we will not provide any camping equipment. required, provide you with space to park a car at the Festival, however note you must park your car where told to on site, and any cars that are illegally or incorrectly parked will be towed and must be retrieved at your cost. A fine for incorrectly or illegally parked cars may also be levied, which you must pay. Please also note that the use of vehicles other than cars is allowed only with our prior written approval, and if you attempt to enter the Festival without such approval your entry may be refused. In such an event you may be unable to carry out your activities and if so you will be in breach of this notice. For our obligations regarding Coronavirus (COVID-19) Policy and Procedure, see Appendix 1.

    Carry out any activities designated to you to the best of your ability. Do not by act or omission cause any risk, loss or damage to any property or

    Take good care of any property we give to you, and return the same to us on completion of your person / collective activities. Behave in a reasonable manner at all times when at the Festival, including not causing annoyance to others - in particular, always try to be cheery, polite, and don't use offensive language. Inform us of any medical conditions, however please note that we do not undertake to make any particular or special provision for medical conditions you can only be a Volunteer if you are able to undertake manual work without risk to your health or safety at the festival site and please do not undertake manual work if you have been advised not to undertake such activities. Report to us any suspicious activities, and activities of any other person / collective or person you (acting reasonably) believe to be in breach of any obligation owed to us or the festival organiser. Do not bring into, or hold or consume at the festival any illegal substances. At all times comply fully with any rules, terms, policies and such like made available by the Festival. You must also comply in full with our Volunteer Requirements. With no exceptions, the same rules that govern the paying customer govern all person / collective.

    Use common sense at all times.

    Each person / collective must.

  • Act in a friendly manner. Deal with the public in a polite and helpful way. Act and behave with maturity, honesty and reliability. Turn up to the onsite briefings in good health and not intoxicated. Be and remain throughout the duration of their shift in good health and state and be able to work on their feet carrying out basic manual tasks for much of the day. In particular, being intoxicated means you will be unable to carry out your activities. Maintain good standards in all of their activities. Work well and properly communicate with other team members. Be 18 years of age or over. Inform us immediately if you become ill or injured. When at the Festival, you must attend whichever locations you are directed to attend at the times you are directed to attend them.

  • You must not cease carrying out your designated activities until directed to do

    You must arrive at the Festival during the time window stated and follow directions given to access the site correctly. You must wear closed toed shoes whilst carrying out activities in line with our PPE policy, i.e. no sandals, flip flops, bare feet, etc. You must wear sensible and appropriate clothing for your shift, i.e. no onesies, fancy dress etc. You will understand that it is important for both you and us, as well as the smooth running of the festival, that these standards and requirements are me. For requirements regarding Coronavirus (COVID-19) Policy and Procedure, see appendix.

    Please do not bring any of the following to the festival: Any items of significant value.

  • Glass of any kind: any items of glass will be confiscated when arriving on site

    as glass is very dangerous for the many humans at the festival. It is also very

    unhealthy for the livestock and wildlife that occupy the land for the other 50

    Flags/poles. These are dangerous around overhead power-lines and block people's view of stages.

    Excessive amounts of alcohol. A bad attitude: this will not be tolerated.

    At the end of the Festival it is incredibly important we do our bit for the land. Clean up your area and encourage your neighbours to do the same, it's all part of the festival spirit and helps towards creating the positive community vibe. Rubbish bags can be picked up from our office if you forget to bring one with you.

  • It is your responsibility to ensure that you are legally entitled to be a Volunteer within the UK. It is a criminal offence to take on a role illegally. You could also jeopardise any visa/entry clearance/right or permission to remain requirements if you are a Volunteer in circumstances where you are not permitted to.

    We reserve the right to require you to produce such documentation and permissions as we may request from time to time to demonstrate that you are lawfully able to be a Volunteer in the proposed Volunteer role.

    In the course of providing your Volunteer services, you may have access to confidential information relating to the Organisation/Festival or our clients. We expect you not to use or disclose this information to any person either during your Volunteer experience with us or at any time afterwards.

    You consent to us processing data relating to you and in particular to the processing of any sensitive personal data (as defined in the Data Protection Act 1998

    12.0 No Employment relationship created

    This Agreement is not intended to be a legally binding agreement between us and may be cancelled at any time at the discretion of either party. Neither of us intends any employment relationship to be created either now or at any time in the future.

    13.0 Duty of care with hired, owned or damage invoices

    If any item, vehicle, part, or equipment is damaged by you in your capacity as Director, Manager or Staff either during pre-work, live days, the build and/or, derigging, then you shall be liable to pay £100 excess on any item that you they have damaged either intentionally or as a result of your negligence from a failure to

    exercise due care and attention

    The £100 excess will be for items that have a damage charge of over £100

    The £100 will be recovered as follows:

    through the deduction from any wages owed to you by the Organisation; Or, the Organisation shall invoice you for the debt owed and you shall pay such

    (a) within 28 days of the date of the invoice; and (b) in full and in cleared funds to a bank account nominated in writing by the Organisation. In the event of a dispute, in order to ensure fairness, any disputed cases will be put to the vote of the Directors. If the majority or more Directors vote that you are liable for the damage caused, then you shall be deemed liable and the monies due shall be recovered pursuant. In the event that you are a Director then you shall not be entitled to vote on the outcome of your own case. You shall only be liable for the first £100 of damage incurred as a result of your actions, any sums over and above this amount will be covered by the Organisation. This clause will ensure that everybody has a duty of care towards everything on site or in the lock up.

  • PLEASE NOTE THAT IF YOU BREACH THE TERMS OF THIS NOTICE: WE MAY TERMINATE YOUR RIGHT TO BE A VOLUNTEER WITH US; - YOU MAY BE REQUIRED TO LEAVE THE FESTIVAL SITE AND RETURN ANY PASS OR OTHER ITEM ALLOWING ACCESS; WE MAY REPORT DETAILS OF YOUR IDENTITY AND BREACH TO FESTIVAL

  • OPERATORS, THE POLICE OR ANY OTHER PERSON RELEVANT;

  • - YOU SHALL BE LIABLE TO COMPENSATE US FOR OUR LOSS. YOU MAY ALSO BE LIABLE TO THIRD PARTIES BY REASON OF YOUR ACTS OR OMISSIONS.

  • NOTHING IN THIS NOTICE IS INTENDED TO, OR SHALL, LIMIT YOUR

  • LIABILITY TO US OR TO THIRD PARTIES. IF WE ARE UNABLE TO PROVIDE YOU WITH ACCESS TO THE FESTIVAL

  • FOR WHICH YOUR APPLICATION HAS BEEN ACCEPTED, OUR LIABILITY TO

  • YOU IS LIMITED. UNDER NO CIRCUMSTANCES SHALL WE BE LIABLE TO

  • MAKE ANY OTHER PAYMENT TO YOU, FOR EXAMPLE DUE TO

  • CANCELLATION OF TRAVEL ARRANGEMENTS. YOU MUST TAKE CARE OF YOUR OWN PROPERTY WHILST AT THE FESTIVAL. WE TAKE NO RESPONSIBILITY FOR ANY VEHICLES OR PERSONAL BELONGINGS LOST/STOLEN/DAMAGED ON SITE.

    If everybody does the tasks that are asked of them to the best of their ability, sticks to the hours they are given, follows and doesn't breach the site rules and policies, turns up for their shifts on time and in good condition, then everybody will be delighted with you and you will be welcomed back next year.

    By coming on site, accepting your wristband for entry and performing the

    duties required of you in your role you are confirming that you have read and

    fully understood the terms and conditions of this contract with Audio Farm

    Festival LTD. You are agreeing that you will abide by the terms contained in

    Entry Requirements To gain access to Audio Farm Festival 2021, this year we are informing ALL customers, staff, guests and artists to take an at-home lateral flow test (irrespective of vaccination status You don't need to be double vaccinated or provide evidence of your vaccination. We ask everyone to take the test, no more than 24 hours before arriving on site for

    If you are POSITIVE please do not travel to the site and alert us as soon as possible. There will be a covid screening tent before you reach accreditation where you will be asked to show the negative result PCR test OR you provide a photo of your negative

    2-3 days so please order them early

    Coronavirus (COVID-19) Protocols Our COVID-19 protocols have been developed to ensure the safety of the Audio Farm

    Festival 2021 team and customers:

  • Please follow these guidelines (regardless of your vaccination or COVID pass status) so that we can build and maintain a safe environment for us all to work in and enjoy. There strictly are no exceptions.

  • A high temperature: this means you feel hot to touch on your chest or back.

    A new continuous cough: this means coughing a lot of an hour or 3 or more coughing

    A loss or a change to your sense of smell or taste: this means you cannot smell or taste

    anything, or things smell or taste different to normal.

    If any of the below apply to you, you should not come to the site. Please liaise with your employer and follow government guidelines:

  • If you experience symptoms whilst you are on-site, you will be advised to leave site, to

    self-isolate and take a PCR test.

    Should your PCR test return a negative result, you will need to liaise with the Audio Farm Festival site team to discuss the potential for you to return to site.

    You will be asked to complete a Health Declaration in order to be granted access to the site, and every 2 days following your arrival. This will ask you to confirm that you:

  • symptoms within the previous 14 days.

    Audio Farm crew, staff and volunteers - You will need to take a Lateral Flow COVID-19 self

    test and provide proof of a negative result within 24 hours of your first-time arrival on site, and every 2 days (if coming to site for more than one day

    You can pick up free tests from pharmacies and collection points near you or online via the NHS website. Bring a supply of tests with you!

    On the Health Declaration, you must upload a photo of the negative processed test cartridge or a picture of the confirmation from the HM Gov website / app, via:

    The uploaded test results will be independently verified by the Audio Farm Site Team. In the event that someone has not taken a test prior to arriving on site they will be asked to return to their vehicle or wait in a segregated holding area and complete the test and COVID Health

  • Hands - Hands should be washed as and when necessary, throughout the day and

    Sinks will be available throughout the site. Wash with soap and water for a minimum of 20

    seconds or sanitise with suitable products. Hand sanitising stations will be also available

    Face - You are welcome to wear a face covering whenever you feel you want to. We

    require all crew to wear face coverings when close contact with the others is required.

    Security search staff, Stewards, Wristband entry system, Bar staff, Traders, Medical.

    Mandatory face mask wearing for all within closed sided tents such as the cinema tent

    Space - Please keep socially distanced from others as much as possible. Arrange

    workstations to enable distances to be kept between workers. Work side by side or

    back-to-back with colleagues to avoid face to face working.

    Fresh Air - Enjoy the outdoors, arrange meetings out in the fresh air. If you are indoors, in

    offices etc. open windows and doors to allow ventilation as much as possible.

    Travel - Travel by private transport is advised, other means of transport such as cycling

    If travelling on public transport, please follow government guidance, wear a face covering

    where possible maintain social distancing, good hygiene practices, and where necessary

    keep the time in close proximity to others to a minimum.

    Use of Equipment - Equipment, where possible, should be assigned to individuals to avoid multiple persons handling. If this cannot be avoided, then wiping down with sanitising wipes or spray will be required between use.

  • Connect with others and share your concerns and how you are feeling

    Take care of news and information. Avoid excessive exposure to media coverage of Covid.

    Make time to unwind and remind yourself that strong feelings will fade. Find ways to relax

    Take care of your body. Try to each healthy balanced meals and get plenty of sleep and
