We are looking for a variety of quality vendors with products & services related to homesteading & farming supplies, fencing, farm-oriented clothing, gardening, alternative energy, supplies for growing, cooking, and preserving food, healthy food and snacks, natural skin and body care, livestock supplies, country living, hunting, fishing, cooking, canning, permaculture, greenhouses, poultry supplies & equipment, composting, leather goods, blacksmithing, butchery, emergency preparedness, homeschooling supplies and so MUCH more!
DEMONSTRATORS & EDUCATION! We're looking for skilled artisans to do live demonstrations! ADVERTISING - LET FOLKS KNOW WHO YOU ARE! The annual Okie Homesteading Expo brings in thousands of in-person attendees each year. In addition to the in-person attendees, your business will potentially be seen by thousands online. Each year we have multiple YouTubers, Social Media Influencers & local media that comes & videos at the event. We suggest having your vendor name very clear & visible for video & photo purposes such as a large banner or sign.
Prior to the event Okie Homesteading Expo will post a vendor list on social media with your vendor name, category & a brief description of what you’re selling.
GIVEAWAYS- Vendors are more than welcome to do giveaways, hand out samples at their vendor booths or offer exclusive Okie Homesteading Expo coupon codes.

RULES, REGULATIONS & ADDITIONAL INFORMATION:
*All vendor applications will be thoroughly vetted to ensure vendors are a proper fit for the expo. By submitting this vendor application does not guarantee you a vendor spot.
*Each business must complete & submit a vendor form. We do not allow multiple businesses or vendors to share a vendor spot.
*We do not promise exclusivity to ANY vendor. We do our best to accept minimal vendors per category to give our vendors the best opportunity possible to be successful‼
*If your vendor application has been accepted, we will email you an invoice. FULL payment is required to confirm. If not paid, your spot will not be reserved.
****We can't stress enough how important it is that you pay in full as soon as you receive your vendor invoice. We accept the approved vendor that pays first until we reach our max capacity in that particular category.
*All invoices MUST be paid online.
*Each vendor will be allowed 4 total (2-day) Expo passes. No exceptions! Please plan your shifts accordingly. If additional workers are needed, you will need to purchase additional tickets.
*Free Wi-Fi is available but not guaranteed.
*Booth placement is decided upon by vendor coordinators and is non-negotiable. We do not provide a vendor placement map. There will be a map of the facility posted to our social media pages and website prior to the event. You will not know your vendor location until your vendor check-in.
*CAN WE BRING OUR PETS? Service Animals are allowed. All other pets are not permitted. This is to ensure the safety of livestock on site. ***If you would like to bring livestock, please note that in your comment section. Livestock must be approved by Okie Homesteading.
***HOURS OF OPERATION FOR VENDORS: are expected to be open for business by 8:30 am & stay until 5:00 p.m. Friday & Saturday unless you are a food truck (see food truck business hours)
*As a vendor at The Okie Homesteading Expo you acknowledge the following: Vendors must provide their own equipment. i.e tents, canopies, electric cords, tables, chairs, etc.
*Outdoor tents must be weighted or staked down. Vendor must provide weights or stakes as well.
**All fees are non-refundable!
*The Okie Homesteading Expo is not required to protect and is not responsible for personal property (tent, merchandise, etc.) while you’re at the Okie Homesteading Expo or the Mayes County Fairgrounds.
*There will NOT be full time overnight security; we will have a deputy patrolling occasionally throughout the night. You will be leaving items at your own risk.
*Vendors are responsible for leaving the area in the same condition as they found it after the event. Failure to do so may result in a cleaning fee.
*This is a FAMILY FRIENDLY EVENT! No alcohol or drugs allowed.
*Products displaying profanity are not allowed.
*We love for you to bring your children, but please be respectful of other attendees & vendors. Children must be accompanied by an adult guardian at all times.
*This event is rain or shine.
*I can load in no earlier than the day before (March 21st) and my property has to be removed no later than the day after (March 24th).
*No vehicles will be permitted in the Show Barn Pavilion for set up after Thursday March 21st. Also please be courteous & get your vehicle in & out so other vendors can set up as well.
*No equipment or volunteers will be available to help with your vendor set up or tear down.
*Okie Homesteading has permission to photograph vendors/vendor booths/products to use in future social media promotions.
*If we observe any obscene behavior, crude language, or otherwise inappropriate actions (left up to our discretion) we will ask you to leave the facility & you will not be invited back.
*NO overnight camping or RV’s by Vendors, Volunteers or Attendees
*DO NOT contact the Mayes County Fairgrounds or the Mayes County OSU Extension Office regarding the Okie Homesteading Expo, they do not manage or make decisions regarding this event in any way. This event is owned & managed by Okie Homesteading. Electric & Water Availability:
*There are electrical hookups available near the vendor booth locations. Please bring a 25' extension cord.
*NO WATER HOOK-UPS are available. Running water is available on site but not to each individual vendor space.
*Generators are only allowed for food trucks & food vendors. All other Vendors must have pre-approval to use a generator.
FOOD TRUCKS & FOOD VENDORS:
*Electric Hook-ups are not guaranteed & there are no individual water hook-ups. There are limited 50 amp hookups available. Please plan accordingly & bring generators, extension cords, etc.
*FOOD TRUCKS/VENDORS must comply with Oklahoma state food, Health, and safety laws. Food trucks must have a current Oklahoma State Food License or a temporary Oklahoma License. This can be obtained through the Mayes County Health Department. (918) 825-4224
*If you are a vendor selling products produced in a private residence that is exempt from government licensing & inspection, you must be in accordance with the Oklahoma Homemade Food Freedom Act. Read OSU factsheet: FAPC-242 to learn more.
APPROVAL PROCEDURES:
**If you are approved, we will email you a confirmation email with an invoice. Be sure to check your spam folder for this also. FULL payment is required to reserve your spot. Please pay as soon as you receive an invoice via PayPal to ensure your spot is reserved. We can't stress enough how important it is that you pay in full as soon as you receive your vendor invoice. We accept the approved vendor that pays first until we reach our max capacity in that particular category. *If we have approved you, sent you an invoice & you pay after we have reached our max capacity in that vendor category, we reserve the right to deny your application & will issue you a full refund in that instance.
VENDOR SET UP & TEAR DOWN
**PREFFERED CHECK-IN & SET UP ON THURSDAY MARCH 21ST, 2024, SET UP FROM 9:00 a.m. – 7:00 p.m.
There will be an Okie Expo Volunteer available from 9a.m. – 7:00 p.m. on Thursday March 21st to check you in, get you your vendor wrist bands & help you find your spot. There will be a volunteer inside the Show Barn Pavilion or inside the Mayes County Event Center Building at Headquarters. Setting up before March 21st is not permitted.
If you are unable to check in on Thursday March 21st, you may Check-In & Set up on Friday March, 22nd at 6:30 a.m. & you must be ready for business by 8:30 a.m. NO Set-up or check-in available on Saturday. All vendors must be present & doing business on both days of the expo. Also, no vehicles will be allowed inside the Show Barn Pavilion during this set up time frame.
HOURS OF OPERATION:
VENDORS must be ready for business on Friday, March 22nd & Saturday, March 23rd by 8:30 a.m. & remain open until 5:00 p.m. each day.
FOOD TRUCKS: Food trucks with breakfast items & coffee need to be ready for business no later than 7:00 a.m. & all other food trucks must be ready to serve lunch by 10:30 a.m.
