• Aquatic Resources Centre Study Request Form

    The ARC requires a study request form to be completed in order to permit work within our facility Please complete this form with as much detail as possible and contact the Deputy Facility Manager on p.a.tyson@exeter.ac.uk if you are unsure about any of the sections. Please note, no animals will be permitted into the facility without ARC manager written approval. No procedures on animals will be permitted without an appropriate training record and required ethical or home office approvals.

  • Funding Information

    As a TRAC Research Facility we are legally required to provide auditable cost and usage records,covering all cost and use of the facility, whether or not for research grants and contracts. Therefore ALL access to The ARC requires the provision of the relevant T1 cost codes and/or funding sources for the use being made of the facility in order to deliver the required audit records and management information. The T1 code and funding information provided for these records is used for audit and management reporting purposes and to charge for use only where appropriate (where a grant has been costed and assigned). There is currently no set charging policy across all RFs other than for use inresearch grants and contracts; this use is charged using TRAC cost rates under TRAC and funder rules. Research Facility use which is not for externally funded research grants and contracts may or may not be charged at facility or college discretion. A standard charging policy for RFs may be developed in future but this will be consulted upon before formalisation.

    Please note this section must be completed for ALL studies involving animals, even if its only for one night.

  • Husbandry Requirements and Responsibilities.

    Please indicate the husbandry requirements for your animals and who will be responsible for carrying out this husbandry.
  • If you require ARC staff to look after your animals please note this in this section. A husbandry request does not guarantee availability. We will endeavor to cover and assist in husbandry in all cases however the PIL holder or primary researcher maintains responsibility for the care and husbandry of their animals and we cannot guarantee staff availability at all times and out of normal working hours.

    Please complete care requirements and responsibilities for both weekdays and weekends if you request ARC husbandry assistance.

    Please note, we understand husbandry requirements may change during the course of a study, any requests for ARC staff to carry out husbandry that is not initially agreed upon must be made within a reasonable period of time before the change is required.

  • Veterinary Attention an Fate of Animals

    In an emergency where animal welfare is at risk it may not be possible to seek authorisation from the client before veterinary attention is sought. In the absence of veterinary attention the NACWO (Named Animal Care and Welfare Officer) has final say on the fate of any compromised animals.

  • Embryo Details

    For all studies involving embryos/larvae please complete this section.
  • Please use this section to tell us your proposed embryo collection regime once your new animals are settled and ready for embryo production.
  • Please note that ALL embryos/larvae must be terminated before independent feeding unless they are to become part of a regulated project.

    It is up to the user to ensure they know the number of hours before independent feeding is possible and that all embryos are terminated before this point.

    Please note, users are expected to carry out the preparation and collection of embryos. ARC staff may be able to place chambers or set up spawning chambers on request.

  • Room/Equipment/Space Requirements

    If your work or request does not involve the use of any living organisms and you are requesting access to microscopes, equipment. or other spaces please indicate this here.
  • Health and Safety

    Please provide details of health and safety risks associated with the study. We are required by law to hold a copy of any associated Risk assessments or COSHH records associated with the work.

Please note all studies require support from the ARC team, this information helps us to provide that support and provides and undertsnading of the work being undertaken.

  • ASPA Approvals

    All studies involving animals in the University are subject to project approval either under the Animals (Scientific Procedures) Act 1986 or under internal Ethics Review. Approvals must be obtained before starting any research in the ARC.
  • Ethics Approval

    If your study involves Animals but dis not part of a Home Office Project Licence containing regulated procedures it is subject to University Ethics Approval. https://universityofexeteruk.sharepoint.com/sites/ExeterBiosciencesEthics. There may be some exceptions to this requirement depending on the study type, for example photographing embryos., these will be assesed by the ARC NACWOs.
  • You must receive Ethics Approval before commencing any work in the facility.

  • PIL Training Record

    The Named Training and Competency Office (NTCO) must ensure that all PIL holders working on Regulated Projects have an up to date training record. This should list and demonstrate the required competency for any protocols you are working under. Training records will be checked before the commencement of any regulated work and work will not be permitted to commence if these records are not up to date.   • Schedule 1 Training

    All researchers working on Protected animals, whether conducting regulated procedures or not should be Schedule 1 trained. Schedule 1 of the Animals (Scientific Procedures) Act 1986 lists the acceptable methods for terminating protected animals.

  • SERVICE LEVEL/USER AGREEMENT

    ARC studies are subject to approval from the Deputy Facility Manager. They are permitted according to the following user/service level agreement which both parties agree to abide by.
  • In providing this document the BSU Aquatic Facilities commits to the following….

    • To process and return the study request form in a timely manner, we aim to return all SRF's within 5-7 working days following submission to the department.
    • To arrange a meeting to discuss all requirements and finalise the study request forms in good time and, where possible at least a month before the commencement of any study.
    • To provide, support and assistance to all studies.
    • To provide staff, equipment, space, and resources as appropriate to the study as agreed upon within the study request form.
    • To provide advice and guidance on home office and other licensing as required.
    • To provide advice where required on experimental design and/or husbandry requirements.

    In signing this document the User agrees to the following.

    • To have submitted the study request form in a timely manner (ideally 1-2 months) prior to the commencement of any work involving live animals. Embryonic study requests and space booking requests will be considered two weeks prior to the commencement of the study.
    • To complete an ARC induction in a timely manner before the study commences.
    • To adhere to all home office licensing where appropriate.
    • To adhere to BSU Aquatic Facilities policy on labelling. Repeated remiss of labelling requirements could result in a temporary suspension of ARC access until a meeting is held between BSU Aquatic Facilities management, researcher, and supervisor.
    • To respect other users and all BSU Aquatic Facilities equipment. To return all used equipment to its place of origin.
    • To appropriately store and label all equipment and apparatus at the end of the study and/or during any down periods.
    • To provide relevant H&S documents to the BSU Aquatic Facilities unit.
    • To update the University of Exeter Training Database for all licensed protocols for which training has been received.
    • Ensure that all embryos are terminated prior to independent feeding. Repeated remiss of embryo termination requirements could result in the temporary suspension of BSU Aquatic Facilities access until a meeting is held between BSU Aquatic Facilities management, researcher, and supervisor.

  • Ammendments

    Studies which are subject to minor, non material changes may be ammended without the need for a full study request to be submitted. Please use this section to list minor ammendments to the study. Examples of minor changes may include changes to exposure chemicals used, small changes to environmental parameters required, small changes to the number fo organisms in use, changes to duration of the study etc. Please note, any signifiacnt or material change to the purpose, objectives or signifcant changes to the experimental design will need a new Study Request. ARC managers will contact you if this is the case.
