  • New Camp Year Reset Instructions

    Note: To Add or Delete Camps: see notes below "Variable Fields".

    Variable Fields (reset at beginning of camp year if necessary):

    The fields below hold the values
    used to calculate registration Supplies and Tuition Rates. Before each camp session verify that the rates are up to date:

    Supplies:
    Gaitor Price (removed in 2023)
    T-Shirt Price (t-shirt fees removed 2026)
    Text Book Price (price increase in 2024)

    Tuition Rates:
    Regular Price
    PYC Price
    Military Price
    Sibling Price

    Reset to 0:
    Student 1 ID, Student 2 ID and Student 3 ID
    Registration Number
    "Unique ID Properties" at bottom of form.

    Add or Delete Camps:
    1. Update Sail Camp Schedule in "Paragraph" form elements
    2. Add Camps to Camp "Input Tables" (form element Select Camps)
        A. Add "Fields" by adding Rows
        B. Add "Options" by adding Calculation Values, i.e. 5,5,5
    3. Add Camps to form elements:
       "Number of Lean to Sail Camps"
       "Number of Advance Camps" (Single-Handed Racing @ LTS Rate$)
    4. Modify form elements:
        Student #1Advance
        Student #1Camps
        Student #2Advance
        Student #2Camps
        Student #3Advance
        Student #3Camps
    Add values from form elements "Input Tables" #126 Learn to Sail & #130
    Formula. e.g.:  "Advance Sailing-1 / 7" + "Advance Sailing-2 / 8" + "Advance Sailing-3 / 9"
    5. Add "Form Calculation Widget" for each of the new Camps to count # of students in each camp, e.g.:
        Camp 7 total
        Camp 8 total
        Camp 9 total
    Add to "Widget Settings" values from form elements "Input Tables",
    e.g. "Camp 7 total" = (Advance Sailing-7 student 1 + Advance Sailing-7 student 2 + Advance Sailing-7 student 3)/ 7
    6. Modify formulas for "Form Calculation Widget":
        Student 1 courses,
        Student 2 courses and
        Student 3 courses
    Add new camps to each. e.g.:
        Student 1 = "Learn to Sail-0 / Learn to Sail-1 / Learn to Sail-2 / Learn to Sail-3 / Learn to Sail-4 / Advance Sailing-0 / Advance Sailing-1 / Advance Sailing-2 / Advance Sailing-3". Make sure the characters are "text" and not "numeric".
    Results will produce Course Selections, e.g.: "1/2/3/4/5/6/7/8/9" .

    • Calculations | The rest of the form are calculations to help manage input. They are hidden from the customer. Registration rates are listed in form section 1 above. 
    • The fields below are used to calculate camp and tuition figures. Please do not change.

        1. Introduced new discount rates: -$20 PYC & Sublings; -$40 Military
        2. Major calculatred fields: Student Camp Selection which place hash marks between camp selections, e.g. Student #1 camps "///5//6" = camps 5 and 6
        3. Fees calculated based on PYC/Military selection to determine amount.
          Discounts could be combined resulting in a PYC Member receiving an additional Sibling discount. Example: PYC Member, 1st student = -20 + 2nd student -20 plus sibling discount -20 totally -$60.
        4. Utilized a work around "Approval" process by attaching to the URL sent to Patty to approve the registration this embedded code "?step=first", e.g. https://www.jotform.com/edit/5195606197342712576?step=first See Conditions 20 - 25.
        5. Registration data is sent to a Google Sheet where it is utilized in developing weekly rosters, mailing lists, certificates and awards. Click here to view.

      Major revisions:

      1. Addition of "Form Tabs Widget" which place section/page tabs at top of each section/page. Recommended by Laurie Sarver
      2. Addition of Form Overview (this Paragraph field): used to document form development and suggestions for empelentation of the form.
      3. Adding hidden fields on page 1 which are used to hold Supply's & Registration Rates as variable values which in turn are use in calculated fields, e.g. field "Tuitions: at PYC Member Rate". In future years the varible fields can be updated and the new values will automaticely be used in the appropriate calcutions. See "Variable Fields:" below.
      4. Changing of Registration Rates to: Regular $295, PYC Member $270/ student, Military $245/ student, Sibling $270/ subsequent student.
        This resulted in creating 3 new fields Student #1 Camps, Student #2 Camps & Student #3 Camps.
