TRAVEL FEES
All services (delivery, set-up, pick-up) are included in our package prices (excluding non-refundable Security Deposit and travel fees). GlampFire Moments, LLC is based in Madisonville, LA— Any event located within 20 miles is NOT required to pay a travel fee. Events located within 20-30 miles— $100 travel fee, 31-40 miles— $150 travel fee.
RENTAL (SET-UP, REQUIREMENTS, & DURATION)
A grass or dirt area is required to properly stake each bell tent. It is your responsibility to measure the area, prior to booking, to assure tent will fit appropriately. Our 4m (13ft) bell tent requires at least 24ft in diameter, and our 6m (19.5ft) tent requires a 30.5ft area. Please use caution to prevent tripping when entering or exiting the tent, as ropes securing the tent may be a potential fall hazard.
Each package price is for a one night rental. Additional nights may be requested at a discounted rate. Upon booking, a 2-3 hour set-up time will be arranged for the morning of your event. Pick-up will take place the following morning at agreed upon times. Please do not attempt to take apart or break down any part of equipment.
RESERVATIONS
Events may be booked by contacting GlampFire Moments, LLC via Facebook or website (www.glampfiremoments.com). A $50 non-refundable Security Deposit is due at booking to reserve event date. Event will NOT be reserved until $50 Deposit is paid. Remaining balance is due prior to delivery.
Payments can be made following instructions on invoice emailed to you via PayPal, or paid in person. Payment options include PayPal, credit/debit card, or cash.
CANCELLATIONS
If cancellation is requested within 7 days of event, $50 Security Deposit will remain non-refundable, and an additional $50 Security Deposit will be required to reschedule. If event is cancelled or rescheduled with at least a week notice, Security Deposit will be applied towards rescheduled event.
Weather Conditions— A 50% chance of rain or greater during rental hours will result in a weather cancellation. Security Deposit will be refunded and you will have the option to reschedule.
DAMAGED/MISSING ITEMS
You will be responsible for the integrity of all GlampFire Moments, LLC’s rental equipment/items for the duration of your rental, and held liable for any damaged or missing items. Other than basic wear and tear, you will be charged a fair market value to replace any ripped, stained, cut, broken, or missing items.
*Please NO food or drinks (besides clear liquids or wine provided), nail polish, paint, or pets inside the tent. Absolutely NO smoking, heaters, fire, or candles near tent, as it is flammable.
PHOTOGRAPHY RIGHTS
GlampFire Moments, LLC reserves the right to share any photographs or videos taken during your event via social media for promotional purposes. Please notify us if there is any content you would like removed.
LIABILITY TO THIRD PARTIES
GlampFire Moments, LLC will not be held liable or assume responsibility for any harm/accidents/damage caused by you or your party during your event. Additionally, we will not be liable for claims of personal injury or death while using our equipment during your rental period.
