The Timbered Rose Contract
  • CONTRACT DETAILS

    The Timbered Rose will provide the following amenities:
    • Event space, for up to 200 people
    • Building & grounds from 9 am - 10 pm ( Please note that the hours assigned to your event include all set-up and all clean-up, including the set-up and clean-up of all vendors and other subcontractors that you may utilize.)
    • 12 60" Round Tables
    • 120 White Chairs
    • 2 Rectangle Tables for serving
    • State-of-the-art surround sound system
    • TV and video equipment
    • Two dressing rooms & shared bathroom to use prior to event (balcony & adjacent rooms will be closed off during event)
    • Heat and air conditioning
    • Kitchen: Our venue kitchen can be used for prepping, warming & plating food. We do not allow any kind of cooking. You or your catering staff is responsible to keep the kitchen clean as well as the serving areas. You will need to arrange for someone to clear tables and clean up any messes that occur. All garbage must be cleaned up and removed to provided trash cans at the end of the night. The kitchen must be wiped clean, floor swept, and mopped, and fridge emptied. We do NOT have a disposal, and food is not allowed down the sink drain. We will provide garbage cans, liners, and cleaning supplies.

  • DEPOSITS, PAYMENTS, AND RESERVATIONS

  • We require a 50% NON-REFUNDABLE deposit to secure your date, along with a $500 damage deposit (damage deposit will be refunded following your event if conditions of contract are met). The remaining amount of the rental fee is due 30 days before the event. The Timbered Rose may cancel your reservation, refuse to provide services, and/or terminate this agreement if you fail to pay the deposit or fail to pay the full amount by the due date.

  • CANCELATION POLICY

  • * We understand that we are responsible for the actions of ourselves and our guests while attending our event at the timbered rose.

  • * We are responsible for scheduling a caterer or providing our own food service and will return the venue to the condition in which it was found. If not left clean and in the condition it was found prior to the event, we understand we will be charged an additional cleaning fee of $100.00. Straw, rice, & confetti are not allowed.

  • * We understand that the timbered rose is a smoke & vape free and marijuana-free property and does not permit smoking or vaping of any kind inside or outside the building. If there is evidence of any smoking/vaping inside the building or anywhere on the property, there will be a $500.00 cleaning fee charged.

  • * We understand we may only use the picture rail & hooks supplied by the timbered rose. Adhesive strips/hooks, nails, or thumbtacks are NOT allowed.

  • * We understand that candles and/or any open flame is not allowed.

  • * We agree that if sparklers are to be used for a send-off, a bucket of water must be provided by renter to submerse sparklers.

  • * We understand that any damages to the property and/or equipment will result in an additional charge which will be deducted from the damage deposit.

  • *We understand that we are responsible to ensure the venue is left in the same condition in which it was found. All decorations and props will be removed at the end of our booking period, including any mess left from our celebratory send-off & vehicle decorating. All trash will need to be bagged in the trash bags provided and put in the trash can. He timbered rose will provide basic cleaning of the venue after the event. Any excessive cleaning required will result in an additional cleaning fee.

  • * We understand we are responsible for children and minors attending our wedding. We will provide a babysitter or other adult to be with children at all times, especially outdoors for their safety. Children are not allowed upstairs. We understand that we are holding an event in an agricultural area and there are irrigation ditches surrounding the property, along with nearby canals and other agricultural hazards in adjacent fields that present an increased risk for children. We understand that it is our responsibility to ensure the safety of our guests. We are responsible for any damage caused by unattended children.

  • *We understand that this facility is located in an agricultural area. The surrounding fields are actively farmed and the owners of the timbered rose do not have the ability to control when those fields are being worked. As such, we understand there may be tractors & farming practices taking place during our event.

  • *We understand that the timbered rose is not responsible or liable for changes in weather or temperature.

  • *DEPOSITS: We understand that the 50% down deposit to secure our date is non-refundable. In the event that the renter cancels the event, the deposit will not be returned/refunded. Damage deposits will be refunded provided the premises are left clean, no damage has been done to property, timely departure, and all contract policies have been followed. Deposit does not apply to building rental cost.

  • BY SIGNING BELOW, WE CONFIRM OUR DESIRE TO RENT THE TIMBERED ROSE AND AGREE TO THE TERMS AND AGREEMENTS AS SET FORTH ABOVE. WE AGREE THAT THE FEES LISTED BELOW, ALONG WITH AN ADDITIONAL DAMAGE DEPOSIT OF $500 WHICH WILL BE RETURNED AFTER THE EVENT, PROVIDING ALL CONDITIONS ARE MET.

  • By paying your deposit, you acknowledge that you have read these policies and acknowledge that you are aware of the venue and the services you are renting.

    The Timbered Rose is not liable for any injuries on the property or from products that are being rented. We are also not liable for changes in weather or temperature.
