York Motorcycle Festival vendor form

The York Motorcycle Festival is back at Avon park for for our York Motorcycle festival activities.

This year we are excited to be working with

Hardwired Entertainment.

Avon Park is a free and family friendly event in York WA.

This years dates are

April 5th 5pm to 9pm

April 6th 10am to 3pm

All applicants will require payment on submission of this form to secure your reservation.

If unsuccessful your fee will be refunded within 14 days from the date of your application being submitted.
- Submissions close end of business April 1st for non food traders.
- Food traders, packaged and fresh, must apply before March 21st to get your permit in time.
All successful applicants will be notified by email by March 21st, if not prior.

Note we are enforcing the plastic singe use, ban.

VCM Perth Events Product ban
This event no longer allows the selling of disposable plastic soft drink or water bottles. Canned is acceptable.

Food vans or packaged consumable food businesses.

You may be required to obtain a separate food permit this year. This is different to previous years. If required VCM will coordinate this with you closer to the event date. Please do not contact council directly. All approved food businesses will be coordinated through VCM Perth Events INCLUDING Avon Terrace placements.

If you get a sold out icon on your product type or stall size we appologise. Your welcome to let us know of your wish to be placed on the reserve list in the event of a cancellation. Just email us. We may not reply immediately, but assure you we will let you know if a placement becomes available.

As of 07/02/2025 - Bookings made after this date must agree not to bring or provide the following products or services.

VCMPerth Events have an impeccable reputation in ensuring diversity of retailers at our managed events. Working with retailers, we do our best to assist in getting the best outcomes for our booked businesses. Therefore, we monitor bookings and limit the types and number of similar products. Please abide by the notification of SOLD-OUT listings.

The following items are booked out. If you wish to book as a retailer please be aware of the limitations.

SOLD-OUT listings. You can not stock or promote the following.
- Gin sellers
- Hats incl beanies caps hand made or otherwise
- Bows and all hair accessories except braids.
- Jewellery unless it is gold or silver/precious metals, and made by you. Not imported jewellery - beads or parts imported and then assembled by you. We will ask for images showing you working at your craft. Such as; metalworking, metal fabrication, machining, smithing, ironwork, sheet metal fabrication, foundry work, and depending on the specific technique, forging, casting, welding, or stamping. Glass making and bead creation.
- Candles/ oils / melts / incense or other scented aroma items.
- Cowboy/girl style hats / boots and accessories.
- Belts and other leather goods.
- Coffee - hot beverage service.
- Food vans for SATURDAY and Sunday BOOKED OUT.

Night time event April 5th you must bring appropriate lighting for your bay.

If you use a generator please be aware of the DB noise levels are to be below 72DB when in operation.

Cables and other electrical powered items must be tagged and in date at the time of the event. These will be checked.

Food truck operators. YOU MUST bring two tables and eight stools/chairs. Non compliance will result in your withdrawal of future bookings. Please ensure you can clearly identify these.

Waste is not to be placed in council bins. All waste including waste water is to be removed by you after service. If seen dumping into council bins you will be prohibited from continuing service until the waste has been collected.

Terms and Conditions.

All traders must be aware of the requirements to trade.

This is to assist with safety and compliance requirements. Some of which are covered under state or federal laws.

Once you have applied, the retailer agrees to adhere to the terms and conditions as outlined in this document. We ask that you to read through the terms and conditions carefully to ensure compliance.

Once you have read and understood these conditions you can submit your application.

Refunds.

There are no refunds of the booking / admin fee if you cancel. Exception - PCR confirmed positive test notification from WA Health. If the event is cancelled by our contract holder or government agencey your booking fee will be refunded in full.

Site.

Is outdoors. You must bring your own equipement.

We do NOT guarrantee shade.

NO pre allocated sites, we will allocate on arrival.

YOU DO NOT tell us or our volunteers ''what where or when'', you will be removed from site. Please be respectful at all times.

Bump in may allow vehicle access. However if the ground becomes unstable during bump in/out, this may not be possible. You are responsable for knowing your limitations. We do not lift or move items for traders.

If you choose to trade both days.

We do not have security overnight onsite. We do recomend all items are removed each night. Bays may not be placed in the same space on concurrent days.
