Company Vehicle Use Policy
The purpose of this procedure is to offer guidance when an authorized team member needs to use a company vehicle. All company vehicles are to be used expressly and solely for official business concerning the course and scope of a team member’s job, meaning anything that has to do with one’s job description. Company vehicles are an extension of the company, and all company policies are to be followed while in the vehicle. Please complete all fields, read each section and sign off after reading it. Failure to follow these procedures will result in progressive discipline up to termination of your privilege to use a company vehicle or suspension pending investigation of termination of employment. Vehicle Check out, Use, and Return
Check the keys and gas card out at the office or manager each time you use the company vehicle. Team members will not take the vehicle home unless approved by head office. The vehicle must be returned to its parking spot after use. Vehicle is not to be used for personal travel except if authorized by head office. Doing personal errands in a company vehicle is prohibited unless authorized by head office. Check the vehicle in as soon as possible to allow use by another staff member. Check the keys and the gas card in at the office each time you take the vehicle. Remove all trash and personal belonging from the vehicle after use. Keeping the vehicle ready for use by the next person is each team member’s responsibility. Upon return ensure all doors are locked, all windows are rolled up and secured and that the trunk/hatch is secured. Report any mechanical problems or damage to the vehicle to your manager and head office immediately upon your return. Tobacco use of any kind (smoking, chewing tobacco, etc.) is prohibited. Do not use tobacco products in company vehicles. No company policy is violated while on a driving trip. Stopping for personal shopping is not permitted. Transporting unauthorized individuals is not permitted, including family members or friends. Leasing, selling, or lending the car is not permitted. Use of the company car to teach someone how to drive is not permitted. Leaving the company car unlocked, unattended or parked in a dangerous area is not permitted. Allowing unauthorized people to drive a company car is not permitted unless an emergency mandates it. Using the gas card assigned to the car for other vehicles that are not the company car is not permitted. Personal use may be permitted on a case-by-case basis in certain situations such as team member vehicle breakdown. Approval from Management is needed. Company needs of the vehicle will take precedence over personal use.

Safety
All occupants of the vehicle must wear safety belts. The driver must obey all traffic laws while operating the vehicle. Driving while impaired or consumption of alcohol while driving the company vehicle is strictly prohibited and is a terminable offense. The legally posted kilometer per hour speed limit is the maximum speed for company vehicles. If conditions make the speed limit unsafe, the driver should slow to whatever speed ensures safety. Team members must possess a current driver’s license and have that on them while operating the vehicle. If team members have their driver’s license suspended or revoked, they must inform their manager and the car may be reassigned until they become ineligible to drive in accordance with our policy. Drivers should be careful, limit distractions (eating, playing with the radio, looking at their phone or watch) and always use good judgment to ensure passenger safety and to prevent damage to the vehicle. Cellular Phones - Use of cell phones is not allowed while driving, if a driver needs to make or receive a call, the driver should pull off the road if it is safe to do so. Texting or viewing of digital media while driving is prohibited. If applicable wear glasses or contacts when driving. Check the car regularly to ensure gas, tire pressure and all car fluid are at appropriate levels. Team members who are fatigued and or sick should avoid driving if they feel their driving ability is impaired. If sickness occurs during a business trip that requires the use of a company car, team members should take regular breaks. Should team members transport items for company purposes (equipment, furniture, products etc.) it is the responsibility of the driver to ensure all items in the vehicle are properly secured and do not move around to prevent accidents from occuring, injury to any passengers, or damage to the item or vehicle.

Gas
The company will provide a gas card to fuel up company cars. When doing so the individual responsible for doing this must collect a receipt and write their full name and KM readout from the vehicle. Receipt’s must be turned into the manager to bring to head office for accounting to process.

Citations/Parking/Moving Violations
If you receive a citation, or moving violation of any type, you will be responsible to pay any fine associated with the citation. Infinity Enterprises Group is not responsible for the payment of these fines. Paying fines employees accumulate while driving company cars that they are responsible for (e.g. violating distracted driving laws, driving too fast, not obeying traffic laws, signals or signage etc.) Distracted driving law examples Infinity Enterprises is not responsible for bailing out employees arrested while driving company cars. Receiving a citation can be cause for disciplinary action up to and including termination of employment. Avoid double-parking, blocking entrances, and engaging in other parking violations that may result in fines (parking in handicap stalls, in front of fire hydrants, fire tow zones etc.)

Accidents and Breakdowns
Employees shouldn’t accept responsibility or guarantee payment to another party in an accident without company authorization. Employees should follow legal guidelines for exchanging information with other drivers and contact local police if accidents are serious. If you are involved in an accident or breakdown and need to be towed, please contact head office and Coopers towing and have the car towed to Rob’s Auto. If we receive notice of property damage due to operating a vehicle the repairs may be your responsibility.
