  • Welcome to Head~Heart~Hands Preschool (HHHP)! We are both excited and honored to have your child(ren) in our program. As a partner of the Flagstaff Unified School District (FUSD), we serve children with a wide range of abilities. We have the opportunity to fill many needs in our community by taking children of all backgrounds and needs. Early childhood education is the foundation of a successful educational career and we hope you find our program and staff supportive of your families earliest educational needs.

This Parent Handbook is one way we can share information with you about who we are and what we do. Please read through the handbook, we hope it provides you with information you find useful.

  • Early Childhood/Special Education

    Behavioral issues, speech and language difficulties, blindness, deafness, etc We feel that each child is created by God in his image with a purpose and a plan on this Earth.

    Head~Heart~Hands Preschool endeavors to provide quality early childhood education for children ages 6 weeks through age 5. Our goal is to work in partnership with our children's parents and teachers to build a strong educational foundation and foster moral character.

    REGISTRATION, DEPOSITS, MATERIALS FEE

    I understand that Head~Heart~Hands Preschool has a NON-REFUNDABLE materials fee of

    $100.00 that must be paid at time of registration. Subsequent years will be payable at each calendar year of enrollment (January 1st- December 31st Due by February 1st of every year. Spaces are filled on a first-come, first-serve basis.

    In order to maintain small ratios our Infants & 1-year old spots have strict enrollment policies

    Infant Room Deposit-$260 deposit at time of registration which will be placed on hold until your 3-month anniversary at which time you may choose what week to use your credit. If you disenroll within 90 days, you forfeit your full deposit.

  • Lambs (1-year-old Deposit)- - $240 deposit at time of registration which will be placed on hold until your 3-month anniversary at which time you may choose what week to use your credit. If you disenroll within 90 days, you forfeit your full deposit.

  • All tuition fees for childcare and preschool are required on a PRE-PAID basis regardless of when and if your child attends. If you do not make your weekly payment by Monday at 5:00pm you will be charged a $50.00 late fee and your child will not be able to attend until balance is caught up. This will be strictly enforced. Families must keep a positive balance, or their child will not be able to attend until your balance is caught up in full.

    Monthly Prepaid- If you choose to pay monthly you are getting a special discount for choosing this option, all monthly prepaid will be required in advance on the first day of every month.

  • There will be a $50 late fee charged if not paid by the end of the first business day of the month. Monthly fees cover 52 weeks per year and all holidays.

    Return check fee- There will be a $50.00 return check fee, and we may no longer accept

    payments by check at our discretion and may no longer be allowed to pay by check.

    Administrative fee- There will be S $5.00 fee for every time I do not clock my child in/out and/or sign them in/out. This is for the safety of the children enrolled and the fee covers the cost of an administrator to go through and correct times.

    Lunch fee- There will be a $5.00 lunch fee every time HHHP provides components for mychild's lunch, excluding milk.

    Diaper/wipe fee- $5.00 per time HHHP provides wipes and/or diapers for your child.

    Head~Heart~ Hands Preschool hours of operation are 6:45 am until 6:00 pm Monday throughFriday. If a teacher Inservice/ work day (maximum 4 days per year) is scheduled, you will be notified a minimum of two weeks in advance. Preschool will be closed for children on the

    Snow Days- We do not follow the FUSD schedule. We do follow City of Flagstaff and NAU schedules when they close or have a late start. If a late start is called, we will open at 9:00am.

  • According to Arizona State Regulations a Parent/Legal Guardian must complete the sign-in/sign- out form each day a child attends Head~Hearts~Hands Preschool. Complete LEGAL signature per license and I.D. is required. Initials are not allowed, and times must be legible. The sign-in/sign-out sheets are listed alphabetically in the book located in the hallway by computer. No child will be able to attend school without an adult accompanying them to the

    Procare is the computer program used by our facility to keep track of children in attendance and billing. Parents are required to clock their children in and out daily. Each parent will need to set up an individual pin which will be used at drop off and pick up each day. Each emergency contact will be required to set up their own pin number. There will be an administrative fee if you do not properly clock your child in/out. If the computer is not working, please notify a supervisor immediately to avoid additional charges.

    For the safety of our children enrolled, the door will be locked 24 hours a day. Each family will be given a six-digit pin code, only one primary and one secondary contact may have this pin number. Each contact will be required to sign an agreement upon receiving pin code. No person has authorization to give the pin code out to anyone. In the event that someone other than a pin 

    holder needs to pick up your child they can ring the doorbell to the right of either door to gain entry to the building.

    A child will be released only to those persons whose names are listed on the emergency card.

    In case of parental custody matters, legal documents with a court seal must be on file at the school. We cannot withhold a child from a parent unless proper paperwork has been provided to arriving to pick up my child, if the office staff or teacher has not met them previously.

  • Head~Heart~Hands Preschool employees will require proof of identification from any person Head~Heart~Hands Preschool program day ends at 5:30pm, however, we allow a 30-minute grace period between 5:30 and 6:00 for children to be picked up. Children who have not been picked up by 6:00 will begin to accrue a $1.00 per minute fee for each minute they are here after 6:00. Repeated late pickups may jeopardize your child's enrollment in the preschool. Child

    Protective Service will be notified after a half hour has passed or if Head~HeartHands

    Preschool is unable to contact the parents or any of the emergency contacts. I understand that repeated lateness will jeopardize my child's enrollment in the preschool program. I also understand I will be charged $1.00 per minute after 6:00pm.     Head~Heart~Hands Preschool will try to accommodate occasional changes in a parent's schedule but only on a space available basis. If a parent decides to withdraw or change of schedule of a child from Head~Heart~Hands Preschool; parents will provide a TWO-WEEK

  • WRITTEN NOTICE for children in our two-year-old room or older and ONE MONTH

    WRITTEN NOTICE for infants and one year old due to low ratios and limits on enrollment.

    Full tuition will be due for the duration of the notice.

    If a parent does not notify the Preschool in writing within the proper time frame; Parents will be required to pay two weeks or month tuition (as applicable) and any late fees accrued. Registration fees will be required for any child returning after withdrawal, which includes dropping to "drop-in" status; whether by parent or school.

    If a child will not be attending preschool or running late on a scheduled day, parents will inform the school by telephone or in writing by 9:00 am. If this does not happen parents understand that their child's spot could be filled for that day and their child may not be able to attend for the day.

    In order to maintain a high-quality program and low teacher to child ratios tuition is due regardless of your child's attendance and no discounts or refunds will be given when children are late or absent. We want to be able to focus on health and safety, quality care, and ensure we are provided the best experience and foundation for education.

    Parents are required to pay their weekly tuition regardless of a child's attendance. There is no vacation or make up time offered.

    Head~Heart~Hands Preschool reserves the right to cancel the enrollment of a child for any of the following reasons:

    1.Non-payment of tuition and not maintaining a positive balance. 2. 3.Physical or verbal abuse of staff or children.

    Not observing the parent's Enrollment Agreement.

  • TRANSPORTATION AND FIELD TRIPS

    We do not provide transportation to or from Head~Heart~Hands Preschool.

    Parents will be notified of field trips that take your child out of the classroom. Signed permission slips are required for all field trips and must be on file for a child to participate. The field trip itinerary will be available at the school during the field trip. We would appreciate that no child gets picked up from an offsite field trip unless an emergency has occurred.

    Head~Heart~Hands Preschool will provide AM snack, PM snack, and milk at lunch for

    SCHOOL SCHEDULES AND EXPECTATIONS

    *Preschool classes start at 9:00am. All children must arrive by 9:00 am if they are to attend for the day. If they are not dropped off by this time and no written communication has been made, your children will not be able to attend for that day.

  • Head~Heart~Hands Preschool offers your child a safe, loving and stimulating early learning environment. The school will provide experiences that the development ofenvironment. The school will provide experiences that encourage the development of your child's positive self-confidence, while recognizing individual needs and reaching developmentally appropriate milestones.

  • The lead teacher of each classroom will plan and post weekly lesson plans that are approved by the director/ teacher mentor. All our staff will use the curriculum provided along with early learning standards to complete their lesson plans. Lesson Plans are posted in classrooms on the

  • Personal Products: (i.e. diaper cream, chapstick, lotions, personal soap)

    Each individual product must have a medication consent form to be filled out before using it at Head~Heart~Hands Preschool and staff will use it to document every application.

    We use developmental checklists for ages birth- 5 to ensure children are meeting their developmental goals. Once a child turns 3 years old, we complete pre-kindergarten assessments two times per year until they go to Kindergarten.

    What happens if there is a concern about a child's development?

    If there is a concern or any red flags with development, the teacher and director will schedule a parent meeting to go over concerns. Children ages Birth-3 will be referred to AZIP and children ages 3-5 will be referred to Flagstaff Unified School District Preschool Evaluation team.

    Parent/teacher conferences are offered twice per year, in Fall (usually November) and in the Spring (usually April), and/or as requested by a parent and/or lead teacher.

  • Transitions

    Parents who are interested in enrollment are invited to complete a tour. When they come in to register, parents have the opportunity to visit the classroom their child will be enrolled in. We work with parents to decide the best transition plan for their family. Parents and student may visit the classroom a few times before starting. On the child's first day, parents are welcome to stay and help their child transition into the classroom. Once children are transitioned parents are welcome to continue to visit their child's class anytime and/ or participate in any preschool activities, field trips, center engagement nights.

  • From One Class to Another

     

    All transitions to new classrooms happen over a few weeks, so that students get use to their new teachers, schedule, and other children enrolled in the class. Transition times will be adjusted to each individual child, sometimes children need more time.

    Week 1: 1 hour of play time per day in the new classroom Week 2: 2 hours of play time per day including outside and AM snack Week 3: Full mornings with teacher, outside time, AM snack, and lunch, introduce cots. Parents are encouraged to come and join their children for AM snack or lunch. Week 4: Full mornings of play time with outdoor play, AM snack, lunch, nap on cots, PM snack Week 5: Begin in new classroom full time

    Children who are going to Kindergarten will start transitioning in the Spring. We will schedule a couple visits to Marshall Elementary school for students to visit a Kindergarten class. Kindergarten packets will be handed out in February, these are given to us by FUSD. During the summer, before the student attends school we will participate in the free lunch program at Marshall on Fridays.

  • Parents are the best judge of the child's health, and we trust you will not bring a sick or

    medicated child to Head~Heart~Hands Preschool. Parents will be notified should their child

    become ill during the day, and it will be necessary to plan to have the child picked up within

    ONE HOUR. Your child may be isolated from the other children until you arrive.

    The following criteria will be considered in determining if your child must go home:

  • Returning to School after an Illness

    If a child is sent home due to illness, he/she cannot return to Head, Heart and Hands

    Preschool until he/she has been free from symptoms for 24 HOURS without the use of a fever a child is sent home due to illness, he/she cannot return to Head, Heart and Hands with the use of a fever reducer or medication. This is to allow the child ample time to recover and stop the spread of illness to the other children and staff.

    It is important to adhere to the following guidelines when determining whether your child is ready to return to school:

  • A doctor's verification may be requested for a child to return to preschool. This may be required at any time.

  • It is a parent's responsibility to notify Head~Heart~Hands Preschool if a child has a

    communicable disease or illness such as: measles, mumps, giardiasis, hepatitis, shigellosis, strep, impetigo and pink eye, flu, COVID-19, etc. as well as report infestations such as lice, bed bugs, and scabies. A child may be readmitted without a statement from a physician only if the child

    has been absent for a period equal to the longest incubation period of the disease as specified by the Department of Health, Centers for Disease Control and Prevention, and/or local county health services. The local county health department will immediately be notified of all communicable diseases and a medical notice will be posted.

    Children returned to preschool with signs of illness or communicable disease will be

    Head~Heart~Hands Preschool strives to follow health and safety, and disinfecting guidelines at all times. However, if an outbreak were to occur we will follow all CDC and ADHS guidelines with direction from our health and safety consultant. Parents will be informed as soon as possible with all means of communication.

    Head~Heart~Hands Preschool staff does not administer any type of medication, unless it is an emergency medication per doctor's request. Parents will provide a doctor's note and medication in the original bottle labeled with the child's first and last name. Parents will be required to fillout a medication form before staff can administer medication. All medications will be stored in a locked box and inaccessible to children.   • Our goal is to work with all children to develop an internal control of behavior as they grow into creative, independent, responsible, and social human beings. This involves teaching them to make acceptable choices and acknowledge consequences.

    Environment- Our classrooms are designed for children. Our child-centered approach to education provides hands-on, stimulating activities.

    Positive Behavior - We acknowledge positive behaviors as we model, guide and invite children to participate in activities.

    Positive Reminder- We tell each child what we want them to do rather than 3.

    Redirection- Arousing interest in another activity can eliminate potential

  • Difficulty 

    Think Time- Occasionally a child needs to be removed from a situation for a brief time. A "think time" is given according to one minute per age, not to exceed 3 minutes unless a child requests it. The teacher then talks with the child making sure that the child understands why a "think time" was given and what is now expected of them.

  • Conscious Discipline is a comprehensive classroom management program and a social- emotional curriculum. It is based on current brain research, child development, and best practices in early childhood education.     Conscious Discipline creates a classroom climate that models 7 Essential Life Values: Integrity Interdependence Respect Empowerment Diversity Compassion Responsibility

    We teach these values every day in our classrooms along with the following techniques for emotional regulation:

    - Drain- tighten up your body, hold for ten seconds and let go - Pretzel- give yourself a tight hug for ten seconds and let go - Balloon- hands on your head, raise your arms blow up the balloon and let it go. - Stretching- many stretches will help relax your body

    - Saying hello- - make eye contact - Feeling the heartbeat- relax and listen to your heartbeat - Body tune up- check your body head to toe

    - Belly breathing breathe deep and fast, - Be a STAR- Smile Take a deep breath And Relax

  • We make it a point to teach mindful breathing every hour and encourage children to ask for help when needed. We strive to provide a healthy social emotional foundation.

  • CHRONIC DISRUPTIVE BEHAVIOR

  • We will make every effort to work with the parents of children having difficulties in our school. Children displaying chronic disruptive behavior, which has been determined to be negatively impacting the physical or emotional well-being of other children in the class, may be disenrolled. Please review our Behavior Policy if you have any questions.

    PLEASE NOTE: Head~Heart~Hands Preschool reserves the right to withdraw any child

    who demonstrates a threat to the safety and learning environment of the other children or staff members. A parent may be called at work anytime a child exhibits uncontrollable behavior that cannot be modified by teachers and the parent will be asked to take the child home immediately.

    There will always be a staff member present in the facility who is CPR/First Aid Certified. Parents will be contacted by a staff member if there is an emergency.

    Emergency drills are routinely practiced with the children at the Head~Heart~Hands Preschool. The following procedures are practiced during each drill:

    When the alarm sounds, teachers take the class roster, which has copies of every child's emergency information and leads the children to the exit. The Director takes the original emergency information forms and does a sweep of the

  • Exiting the facility/ Arrival at the designated meeting place,
