  • Bookkeeping Services Agreement - 2025

    • The Parties 
    • This Bookkeeping Service Engagement (“Engagement”) is made and entered into on Pick a Date*   by and between:

      Pacific Northwest Tax Services (“Bookkeeping Services”), with a mailing address of 13405 NW Cornell Rd., City of Portland, State of Oregon.

      AND

    • Services 
    • Whereas the Client and Bookkeeping Services (“Parties”) agree to the following terms and conditions.

      PNW tax shall provide the following services:

      1.       Documenting and categorizing transactions.

      2.       Accounts receivable and accounts payable

      3.       Assessing a company’s cash flow.

      4.       Reconcilation of all cash accounts, i.e., checking, savings, loan and credit card accounts.

      5.       Maintaining customer and vendor lists.

      6.       Set up Asset and Liability Accounts.

      7.       Financial Reports.

      8.       Accounting and Reconciliation of Payroll processed through third party payroll service.

      9.       One annual Consultation/Review appointment to review books.

      It is the client's responsibility to provide information and assistance so that PNW Tax can meet its obligations:

      1.       Payment for services provided with a current Credit Card for recurring billing.

      2.       When requested, receipts and check stubs and clarification of uncategorized expenses/income transactions to support bank/credit card statement transactions.

      3.       Access to Banking/Credit Card records including all monthly statements.

      4.       Access to QuickBooks Online or other accounting software.

      5.       The client shall deliver the following supporting documentation for PNW Tax to do the bookkeeping.

      a)       For each transaction, the client has the responsibility of writing a serial code number from the client

      b)      chart of accounts to inform the bookkeeper what type of transaction it is.

      c)       Copies of all checks written from their bank account, and all checks received from customers.

      d)      Copies of all accounts payable invoices received from outsider vendors, and accounts receivable invoices sent to customers.

      e)      Copies of receipts and invoices for all purchases and sales of property, plant and equipment.

      f)        Copies of all loan agreements entered into by the company. Including notes receivable and payable.

      g)       Copies of records for investments entered into or slod by the company such as stocks, bonds and other securities.

       

    • *Accountant’s online access disclosure

      While the preferred method for providing banking/credit card records to Pacific Northwest Tax Service is with accountant’s online access, there is inherent risk to providing such access to any person or business. To ensure the security of your financial accounts, Pacific Northwest Tax Service requires you to provide our staff with a unique user login and password that limits our login privileges to viewing and downloading of information only. This unique login access can be obtained by contacting your financial institution.

    • PNW Tax Retainer System 
    • 1.       Client Payments - Retainer for Services

      Bookkeeping Services bills for services performed through a retainer-based payment system. Once your balance is lower than $100, your card on file will automatically be charged $650 to continue bookkeeping services.

      2.       Should the card on file decline payment, an additional service charge of $25 will be applied to your account. If the card on file is updated, it is the client’s responsibility to provide the new information immediately.

      3.       New retainers are requested on an as needed basis. An email will be sent from QuickBooks informing the client of their retainer balance and the need for a new retainer. Cards will be run on the following Friday.

    • Payment of Retainer

      Provide your credit card information to be charged for your retainers and kept on file:

    • Billable Rate for Services 
    • The billable rate for bookkeeping services in effect for the calendar year 2025 is $125.00 per hour. The hourly rate shall increase by 10% annually, effective on January 1 of each year. Rush, Special Projects & Manual Labor that demand rapid or labor-intensive completion are subject to an increased rate of $350 per hour.       Price Estimates
      The typical number of hours we bill for bookkeeping work depends on the complexity of the books and the number of transactions to each cash account. Billable hours include customer service time, any type of correspondence about accounts, transactions, and answering questions.

       

      The bookkeeper will determine the exact number of billable hours.

      2 hours per month is the minimum charge for bookkeeping services.

       

      Basic: 1 – 75 Transactions = 2 – 3 Hours

      Average I: 76 – 125 Transactions = 3 – 4 Hours

      Average II: 126 - 150 Transactions = 4-5 Hours

      Complex: 151 + Transactions = 8 + Hours

       

      Explanation of Billed Services
      Client shall be provided a monthly statement, via email, which shall include the following information:

      1.       Date services were provided.

      2.       An itemized description of the work done.

      3.       The amount of time spent on each work item described.

      4.       The amount of retainer collected and remaining balance.

    • Confidentiality 
    • The Bookkeeper agrees to hold all such Confidential Information of the Client in strict confidence and shall not, without the express prior written permission of the client, disclose such Confidential Information to third (3rd) parties or use such Confidential Information for any purposes whatsoever, other than the performance of its obligations hereunder. The obligations under this section shall survive the termination or expiration of this Engagement.

    • Notices 
    • Any notices, bills, invoices, or reports required by this Engagement shall be deemed received on the day of delivery if delivered by hand, standard mail, or e-mail, during the receiving party’s regular business hours.

    • Entire Engagement 
    • This Engagement is the final, complete, and exclusive engagement of the parties with respect to the subject matter hereof and supersedes and merges all prior or contemporaneous representations, discussions, proposals, negotiations, conditions, communications, and engagements, whether written or oral, between the parties relating to the subject matter hereof and all past courses of dealing or industry custom. No modification of or amendment to this Engagement shall be effective unless in writing and signed by each of the Parties.
