Policy and Agreement for Use of Facility
Who May Use the Facility
Both non-profit and private groups are welcome to use the facility in accordance with adopted policies, procedures, and fee schedules. The Facility Use form is available on our website. All requests will be subject to review and approval/denial according to The HUB/WCC mission and values.
Availability
Request your date online. Reservations cannot be made by phone. The facility is not available for outside use when regularly scheduled events are taking place.
Application and Suggested Donation
User groups are to submit a request. If approved, the applicant will be notified via e-mail. Please check your spam folder as the email will come from Wyandot Community Connections via Jotform. The HUB/WCC has the authority to establish suggested donation. Deposit and usage fee, if required, are due within 7 days to reserve your date and time.
Guidelines for Use of Building
The use of the building will include only the areas applicant specified. All other rooms are not part of the use agreement and must not be entered upon any circumstance.
Please adhere to the following:
- No use of open flame or combustible materials.
- Food and supplies are the property of The HUB and used for the afterschool program. You must provide your own food and supplies for your event.
- No smoking in the building or within 50 feet of the entrance doors of the building.
- No alcoholic beverages or illegal substances are allowed on the property.
- No firearms or weapons of any kind allowed on premises.
- No pets or animals on premises. Service animals are welcome.
- Please return all HUB/WCC property in the order of arrangement found upon arrival.
- Remove all decorations (please do not use nails, tacks, or tape which are likely to damage walls).
- Please keep doors locked to ensure the safety of all event participants.
- Please clean all used spaces including kitchen and bathrooms. Sweep and/or mop floor spills. Cleaning materials will be in the cleaning cart.
- Please remove all trash from building and place in the dumpster at the rear just outside the fenced in area.
- Please turn off all lights and return thermostat to 60 degrees during winter months and 72 during the summer months. Make sure the baseboard heaters in the conference room are turned off if they were used.
- Please lock door upon leaving the facility.
Persons using the facility are asked to show respect for all property, inside and outside the building, and are expected to leave rooms and spaces as they were found. This includes removing all trash from the area used and placing it in the outside receptacles, returning any supplies to designated storage areas, cleaning up all used spaces including kitchen and bathrooms, turning out lights, and securing doors and windows.
Guidelines for Use of Kitchen
Any individual or group authorized to use kitchen facilities are responsible to be knowledgeable of operation of all equipment used and to leave the area as they found it. User groups utilizing the kitchen are required to have at least one adult on site throughout the event.
Please be advised when using the kitchen sink – do not put food of any kind down the drain! Wipe all dishes, pans, glasses, utensils, etc. free of ALL traces of food prior to washing them in the sink. Because the sink drains into a receptacle all food is to be disposed of in the trash can. Thank you for your help and cooperation with this.
Fire Provisions
All user groups or individuals must at all times abide by local, state, and federal fire protection laws. Under no circumstances shall fire extinguishers or emergency exit signs be covered or shall fire exits be blocked. All access roads shall remain clear of vehicles and other obstacles at all times for emergency vehicle use.
Recreational Use Waiver (Hold Harmless)
All applicants approved for use of the Community Center expressly agree to indemnify and hold The HUB/WCC harmless for any and all claims of any nature arising from or due to the applicant’s use of the Community Center.
Liability Insurance
In addition, users of the The HUB/WCC are advised, but not required, to obtain event or general comprehensive liability insurance in the amount of one million dollars. An umbrella policy on personal insurance policy will also suffice. A Certificate of Liability Insurance and a copy of the insurance policy shall be submitted to The HUB/WCC no later than one week prior to the event. The HUB/WCC reserves the right to cancel a previously approved usage request if appropriate insurance requirements are not met.
Property
Equipment, furniture, etc. may not be removed from The HUB/WCC premises by any individual or group without approval from the Director. In cases where property has been damaged or abused beyond normal wear, the cost of repairing or replacing the property shall be paid by the respective user within two weeks after the activity/event. This includes replacement costs for stolen or lost property. The amount for the damaged/lost property will be deducted from the deposit. A rental group will be charged the additional amount that runs over their initial deposit if any damage exceeds this amount.
Pre/Post Activity Inspection
A designated staff member of The HUB/WCC will conduct both a pre- and post-activity inspection with the person in charge of the rental/user group to ensure that there is an understanding of components and regulations of the facility and for immediate detection and acknowledgement of damaged or lost items generated by the user/rental group.
Advertisement
Any advertisement or promotional material prepared and published by an organization, group, or individual using the The HUB/WCC facility shall indicate that the scheduled activity is not sponsored, supported or promoted by The HUB/WCC. A copy of all such material shall be provided to The HUB/WCC director prior to distribution.
Cancellations
If it is necessary for the user group to cancel the event, please notify The HUB/WCC as soon as possible. Cancellations received within 14 days of the event are subject to a $50 cancellation fee.
Although every effort will be made to adhere to any scheduling agreements, The HUB/WCC reserves the right to cancel reservations for use of facility. Any scheduled event will only be cancelled or rescheduled under the most extreme of circumstances and with as much notice as possible.
