TERMS & CONDITIONS
1. Registration and Payment
Places are allocated strictly on a first-come-first serve basis and will be confirmed on receipt of payment of the camp fee and the registration form.
2. Refund and Cancellations
a) The full camp fee will be refunded (less $30 PayPal admin fee) if written withdrawal is received at least 14 days before the commencement of the programme.
b) Cancellation within less than 14 days before the commencement of camp is subjected to an administration fee equal to 50% of the camp fee. No refunds will be given for cancellations received after the commencement of the programme, with these exceptions:
i) Exceptions: If a child is relocating from Singapore (supported by documentation), the programme fee will be refunded (less $30 PayPal admin fee).
c) If a child is unable to attend camp due to injury/illness (supported by Medical Certificate) after the camp has started, a credit note will be issued for 2 or more days missed.
d) The Mindful Camp reserves the right to cancel a programme due to insufficient members. Parents will be notified at least 7 days prior to the commencement of the programme and a full refund of the camp fee will be provided.
e) We make all effort to ensure that are no changes in terms of location, times or facilitators. In the case of unanticipated conflicts, a suitable replacement option will be offered. No refunds will be made in such cases. We will inform you by email or by phone of the change as soon as possible.
3. Liability
The Mindful Camp does not accept liability for personal injury or the death of any participants unless directly caused by proven negligence of the company or its facilitators.
4. In case of any dispute, The Mindful Camp reserves the right to exercise final discretion.
Code of Conduct
1. Our Commitment
Camp is a special place to support campers in developing and displaying positive character values. The Mindful Camp is committed to creating and maintaining a safe, respectful, inclusive environment for all campers and camp facilitators.
a) Bullying/aggressive and dangerous behaviours will not be tolerated, including:
- Emotional: being unfriendly, excluding, ostracizing, tormenting (e.g., hiding someone’s clothes, books), making threatening gestures
- Physical: pushing, kicking, hitting, punching or other acts of violence, running away from the group or camp facilitator, refusal to follow camp safety protocols
- Racist: racial slurs, racial taunts, graffiti, gestures, racist jokes, making fun of someone’s accent
- Sexual: unwanted physical contact, sexist jokes, inappropriate gestures or comments (e.g., commenting on someone’s body),
- Verbal: name-calling, using sarcasm, spreading rumours, teasing, using vulgarities
- Written: graffiti
b) Non-Participation
We are committed to inclusion and providing a nurturing environment for each camper's individual needs. To ensure a safe and equitable time for all, we will assist in helping campers integrate into camp routines, but we are not able to offer alternative programming on a long-term basis. If a camper needs to miss out from activities more than 20% of the time, therefore requiring prolonged one-on-one support, we are not staffed to accommodate these campers.
2. Outcomes & Discipline Procedures:
We understand that while campers will try to demonstrate and practice positive character values and behaviours, some individuals may have challenges doing so.
Given that campers understand the expectations as outlined in this document, it is important that they also understand the possible structures/consequences in place should they choose not to follow them.
When possible/reasonable, camp facilitator will warn a camper that their behavior is inappropriate and the camper will be given the opportunity to correct the behavior and/or meet the expectations. If this does not occur:
· The camper may be required to take a short “time out”.
· The camper may be required to sit out for some or all of an activity or programme.
· The camper may be required to make a verbal and/or written apology.
· The camper may be required to meet with the Camp Leader or Director.
· The camper may be required to discuss their behaviour with a parent in the presence of the Camp Leader
Although we hope to avoid this ultimate consequence, if these steps fail to help the camper make appropriate choices regarding their conduct and the behavior expectations, or poses a risk to themselves or others, it may be necessary to immediately remove a camper from the camp programme.
In such cases, NO REFUND WILL BE GIVEN. The Mindful Camp will always strive to use a behavior management progression and give campers opportunities to learn and grow, a CREDIT NOTE may be given so that campers may join another camp week when they are ready to comply with the camp’s Code of Conduct and Behaviour Expectations.
PHOTOS, VIDEOS AND OTHER RECORDED MEDIA
During the course of Camp, digital images or photos, videos, audio-visual, sound and other digital recordings are recorded of the participating campers.
1. For your viewing
- As our camp facilitators are focused on the safety of and bonding with your children during the day, keeping media use to a minimum - Camp Leaders may send over the highlights for your viewing after camp hours.
- All collated photos and videos will be compiled and shared with you via a Google Link on the following Wednesday, after the camp week.
2. For marketing and promotional purposes
- Some of the media recordings mentioned above may be used for print or digital publications by The Mindful Camp, including Social Media (Instagram, Facebook, LinkedIn, Tiktok), online or printed articles, as well as communications documents.
- The Mindful Camp ensures the careful use of this data and the privacy of your children by keeping the names of the children private.

By enrolling your child/children in this camp, you would be permitting The Mindful Camp of the above, points 1., and 2. If you wish to rescind the permission, please write to us at info@themindfulcamp.com to state explicitly your withdrawal of consent.
