  • Privacy/Confidentiality

    All information you give will be kept in confidence. Your personal details and medical information will not be made available to third parties unless permission to do so is granted by you. Please refer to our privacy policy for further details which can be found using the link on our website.

    Any data given to us can be removed from our accounts at any time by you, the client requesting to complete our erasure request form.

    In some cases, we may ask for your permission to film/photograph you during your sessions for social media and marketing purposes. In which case we will ask you to sign our consent form which you have the right to reject.

  • Session cancellation policy

    (The client)

    Unforeseen circumstances may arise which require you to reschedule our pre-arranged sessions. In this event the following policy will apply:

    • If you (the client) cancel your session with less than 24 hours’ notice or fail to show, you will be charged the full amount of the session fee. We will do our best to accommodate a change to the start time of a session within the 24-hour period, however if we are unable to reschedule then the full amount of the session will be charged.
    • If you cancel your session with more than 24 hours before the session is due to start, then the session can be rescheduled.
    • If you (the client) are late to a session and your trainer is unable to run over time due to previously arranged commitments, we will do our best to get the most out of the remaining time left in the session.

    Unforeseen circumstances may arise which require us to reschedule our pre-arranged sessions. In this event the following policy will apply:

    • If your trainer is forced to cancel your session within 24 hours and a replacement trainer cannot be offered, that session will not be charged and will be given back to you in lieu to use at a later date. We will do all we can to reschedule the session.
    • If we are forced to cancel our session giving you more than 24 hours’ notice, we will aim to reschedule for another day/time that week. If this is not possible then the session will be kept in lieu.
    • If your trainer is delayed in starting your session, the session will be extended accordingly or time lost will be made up at a future date.
    • If your trainer is absent due to illness or annual leave for an extended period, another trainer will be provided to cover your sessions until their return. If for any reason this is not possible, then any outstanding paid sessions will be extended.
  • Accepting potential risks.

    Whilst for most people exercise is hugely positive with many health benefits, there remains some risk that we require you to be aware of and for you to sign the informed consent and disclaimer that will be provided. This will release FITSOLUTION TRAINING LTD and any associates of any liability. You will be required to sign our waiver release form during your first session with us. Said form can be found via a link on our website.

  • Disclosure of information.

    Please disclose all health information as requested at our initial consultation verbally and via our Par Q form which you will be asked to complete during your first session. Our Par Q can be found via the link on our website.

    You agree to keep us updated and informed of any changes to your health status throughout your time working with us. This includes all medical conditions; physical and mental, injuries, allergies, and medication you are taking. If necessary, you may need to seek clearance from your doctor before participation in the exercise programme we recommend. 

    In the failure to provide important health information, FITSOLUTION TRAINING LTD and its associates take no responsibility for any related outcome as this is due to lack of honesty from the client and the possibility of false information given.

  • Training options & payment agreement

    Our training options and package prices will be discussed with you in your initial consultation and are based on one, two or three sessions per week. After commiting to your chosen plan, we will email you a direct debit form to complete in order for payments to be set up. We require your direct debit to be set up before your first session takes place. Failure to do so may result in a delay to the start date of your training.

    Payments will be taken via a monthly direct debit for your chosen package on the 4th of each new month. It is likely that you will join us mid-way through a month in which case your first payment to us will be on a pro-rata basis. This will be calculated based on the training option you have chosen and the number of weeks of the month remaining.

    By signing our terms and conditions and direct debit agreement you are commiting to a minimum 3 month period of monthly payments at your chosen monthly rate. After this initial 3 month period, your agreement will continue on a rolling monthly basis.

  • Scheduled session changes

    If your agreed weekly sessions need to be altered then please contact us via admin@fitsolutiontraining.com giving us as much notice as possible, and we will do our best to accomodate your requests. 

    Please note that when changing your agreed weekly sessions with short notice an alternative trainer may be required. In such circumstances all important information regarding your training will be passed onto the trainer. 

  • Session expiry & planned absences

    Upon committing to your chosen training option, you will receive the agreed number of sessions to use within that month. Sessions will have a 12 week expiry from the date issued. Any sessions not used within this time frame will be void.

    You will be charged the agreed amount for your chosen training option each month and issued the subsequent number of sessions. It is likely that the number of sessions issued and used within each month will vary (for 5 week months for example). To allow us and you to keep track of this, your trainer will ask you to sign off each session once complete. Sessions issued and used will be reviewed throughout your time training with us and any differences will be resolved upon your cancellation with us.

    For any planned absences you are aware of due to commitments such as work or holidays etc we require you to inform us by the 20th of the month prior. This will allow us time to pause/edit your direct debit payment for the following month if nessacary or extend the expiry date of sessions issued. Failure to give notice of this will result in payments continuing as agreed and an expiry extension void.

  • Changes to training options & cancellation

    Upon commiting to your chosen training option, you are agreeing to complete a miniumun of three months at that chosen number of sesisons per week. After this, you have the option to change your chosen plan. In order to do this, we require written notice via email on or before the 20th of the previous month in order to apply changes for the month following. Failure to do this will result in a 4 week delay to the changes taking effect. 

    After the initial minimum three month agreement is complete, you have the option to cancel at anytime by giving a written four week notice via email. Once notice is given you will be required to complete all scheduled payments due from the date notice was given and all outstanding sessions can continue to be used up to thier expiry date.

  • Parking agreement

    By signing this document you confirm you have been provided with and shown our parking information document and agree to abide by all parking instructions issued by Old Hall Farmyard.

  • Terms of this agreement

    You the client understands that you are paying Fitsolution Training LTD for their services as outlined in this agreement. If the client does not use the services, the client will still be responsible to make payment for the full initial term as agreed above. The trainer will deliver sessions and advice to the best of their ability, is a fully qualified and insured trainer and will always respect all applicable UK laws and Code of Conduct’s. The client agrees to make all payments by the due date and abide to all policies stated in this document.

    ACKNOWLEDGEMENT OF THIS AGREEMENT:

    I have read and understood this agreement. A copy can be provided to the client upon request.
