  • Thank you for your interest in providing your services to Kinship Ranch and our guests. So that we may work together to create a wonderful experience, we would like to make you aware of our philosophy as well as our policies and protocols.

    Each and every member of the Kinship Ranch is dedicated to providing our guests a beautiful, natural and tranquil setting; as well as gracious hospitality, exceptional service and memorable experiences. While you are on the Kinship Ranch property conducting business, we require that you dedicate yourself and any members of your staff accompanying you, the same level of service, respect and professionalism as the members of the Kinship Ranch staff. Additionally, it is understood that you will adhere to all the policies and protocols of Kinship Ranch while working on the property.

    Here at Kinship Ranch, we are dedicated to creating events of the highest quality. Your assistance in conforming to our policies and protocols is required to achieve this goal. Any infringement of the policies and protocols may result in the immediate termination of your work on Kinship Ranch. Additionally, you may be prohibited from working at Kinship Ranch on any future occasion. Kinship Ranch reserves the right to bar any vendor from working on property.

    Kinship Ranch's Policies and Protocols for Outside Vendors

    1. Equipment Delivery and Parking

    All equipment must be loaded in and out near the designated wedding area. Vehicles must stay on designated roads and may not drive on the grass. After unloading, vehicles will be moved to the designated parking lot (parking spaces up by the small white barns) for the duration of the event (ie: DJ, photographer). Unless otherwise arranged in advance with Valerie Cook, Silver to Gold Events, LLC event planner, set up/equipment delivery may occur from 9 am to one-and-a-half hours prior to the start time of the event. All equipment must be removed promptly at the event's conclusion. In the event items are not removed, the hosts of the event will be charged a service fee of $250.00. Please contact either the client or Valerie Cook about the event for timing specifics.

    2. Equipment Storage & Placement

    Kinship Ranch is provides a small storage space for photographers, videographers and DJs. This space is behind the flatbed truck in the reception area. This space is open and guests can get to it. Kinship Ranch is not liable for theft or damage to equipment. There is an outlet in this area if a vendor needs to charge some equipment. Equipment must be removed immediately following the event. Kinship Ranch will determine the placement of all sound equipment once on site. Bar services may place coolers and items related to the bar service behind the bar.

    3. Consumption of Alcoholic Beverages

    Vendors may not consume any alcoholic beverages while working at Kinship Ranch. 

     

  • 4. Coordinator(s) 

    Coordinator can not be a member of the bridal party. Coordinator must be a hired vendor and provide a contract between themselves and the wedding couple to Valerie Cook prior to working at Kinship Ranch. Valerie & Kevin Cook will take care of placing the tables and chairs and if tables need to be moved, please ask for Valerie or Kevin's assistance. Please no staples, tape or sticky tack on our farmwood tables to hold decorations down.

    5. Catering

    We provide drinking water in multiple locations in the reception area as well as a 16 foot table under a covered pavillion that can be used for food service. There is also power available at the pavillion.  Caterers must submit a copy of their current county eating and drinking establishment license or equivalent and certificate of insurance showing coverage of liability (property or body injury) prior to the event.  Caterers must clean up after themselves. Kinship Ranch and Silver to Gold Events, LLC provides trash cans and trash bags. 

    6. Dessert/Bakers

    Desserts must be dropped off at least 2 hours before ceremony time. They may be dropped of the day before the wedding as well. Please inform Valerie Cook with what day and time you plan to drop of your desserts. When dropping off, you will drive down to the reception area (follow the signs stating vendor drop off). Valerie will be present in the area and assist you with putting the dessert in the fridge in Lucky Horse Salon or in the cool room located in Kinship Ranch's shop. Please let Valerie know if any plates or dessert items are yours so that she can make sure they get back to you. 

    7. Bartenders

    Bartenders must submit a copy of certification of their servsafe card prior to the event. The horse trailer bar is unstocked. We do not provide tools a bartender would need to serve alcohol or beverages. Bartenders must clean up after themselves.

    8. Make-Up/Hair Artists

    Make-up and hair artists may drive down to the Lucky Horseshoe Parlor and park next to the tan shipping container. Make-up and hair artists may leave their cars in front of the shipping container while performing their job. If make-up and hair artists are also wedding guests, they must move their cars before the ceremony to the parking lot up by the ranchhouse.  We provide many outlets for styling tools, but do not provide any extention or power strip chords. 

    9. Music or Other Sound Amplification

    Multiple 20 amp outlets are availble in the reception area, as well as near most ceremony locations. We do not provide extention chords or tables for set ups. You will need a 100 foot or more extention chord for the ceremony site set up and a 50 foot or more extention chord for the reception site set up.  We do not provide a table for your equipment. Reception site will be in shade during reception, but during your set up time, it could be in the sun. Please provide your own shade covering and projection in case of weather. All music or other sounds are prohibited in any area of the Kinship Ranch after 10:30 pm. Amplified music (bass) must be turned down at 9:30 pm. Vendors agree to conform to the instructions of Silver to Gold Events, LLC/Kinship Ranch staff with regards to music volume.

    10. Photography & Videography

    Photography and videography are limited to the wedding area booked by the client and the time during which the client has reserved the space. For the safety and consideration of the ranch and its guests, at no time may photography or videography take place in the areas deemed off limits by Kinship Ranch without a representative of Silver to Gold Events, LLC. Venturing into these areas unescorted may result in the termination of your business at Kinship Ranch. Kevin or Valere Cook will drive photographer & videographer with the couple around during sunset time to help get the most of out of that designated time. 

    Videographers with drones: By signing this form, you agree that you have all current permits, licenses and insurances for your drone with both the state and US goverment.

    11. Florists

    Florists may drive their vechile to all ceremony locations on the ranch. There is fresh water available if needed. Reception florasl may be dropped off early, but please communicate with Valerie Cook. Please note that ladders will not be provided by Silver to Gold Events, LLC or Kinship Ranch. The Day - Of - Coordinator, Valerie Cook, will be responsible for moving arch sprays and ceremony florals to the reception area after the ceremony. Due to wind conditions at Kinship Ranch, loose greenery is not recommmended. Also, please note the reception area will be in shade at around 3pm and if the florist needs to leave but does not want their product sitting in the sun, please communciate with Valerie and she will move the pieces as the shade progresses. All floral set-up must be completed no later than 45 minutes prior to the scheduled ceremony start time. 

    12. Decorative Items

    If you are providing decorative items, which the guest may take home, please inform staff of the details. If a client desires to hang a decoration on a building, tree, or fence, Valerie Cook or a representative of Silver to Gold Events, LLC will try and assist with the client's wishes. If the location of the decoration will damage a structure or tree, a different location or alternate way of displaying the decoration will be mandatory. Please understand that Kinship Ranch and Silver to Gold Events, LLC cannot be responsible for lost, missing or damaged items.

    13. Attire, Attitude, Interactions

    Your attire while on the Kinship Ranch property should be clean and professional. Kinship Ranch is a natural environment with a variety of outdoor surfaces, including lawn, woodchips, gravel and pavement. Please wear shoes that will offer you safety and comfort on all of these surfaces. Our staff members are dedicated to fostering an environment of mutual respect and all outside vendors are expected to follow this protocol. Each member of our staff is also dedicated to conveying a positive attitude at all times. A positive attitude is also expected of all vendors.

  • ALL THIRD PARTY VENDORS MUST AGREE TO THE FOLLOWING:

    1. The Contractor/Vendor shall be responsible for all injury or damage of any kind resulting from their operations at Kinship Ranch, to persons or property regardless of who may be the owner of the property. In addition to the liability assumed hereunder, the Contractor/Vendor assumes the obligation to hold harmless and to indemnify the Owner, its officers, directors, partners, employees, and agents from and against any and all claims for loss, costs, liabilities, liens, and attorneys' fees arising out of or through injury or death to any person or persons, or damage to property, or of any place in which work is located, arising out of or suffered through any act or omission of the Contractor/Vendor or any Subcontractor, or anyone directly or indirectly employed by or under the supervision of any of them in the performance or non performance of the operations described in this agreement.

    2. The Contractor/Vendor, at its cost, shall purchase or already have a Commercial General Liability and Comprehensive Automobile Liability in an amount not less than $1,000,000 per occurrence and $2,000,000 general aggregate combined single limit of bodily injury and property damage and/or property damage arising out of the operations performed on behalf of the owner by the Contractor/Vendor, and shall include Personal Injury Liability, Blanket contractual Liability, Broad Form Property Damage (including completed operations), and Products and Completed Operations Liability. The liability polices shall be endorsed to include the following:

         a. If possible, Kinship Ranch/Silver to Gold Events, LLC as additional insured.

         b. A provision stating that the Contractor's/Vendor's insurance shall be primary and that any insurance maintained by the owner shall be excess.

    3. All required policies shall contain and endorsement specifically recognizing the liability assumed under this agreement and shall provide that thirty (30) days notice of cancellation or material change in coverage shall be given in writing to Owner.

    4. Each policy or certificate of the policy, along with copies of the specific endorsements required hereunder shall be available upon request to the OWNER at the commencement of the term, and on renewal of the policy, not less than twenty (20) days before the expiration of the term of the policy.

  • I have received a copy of Kinship Ranch/Silver to Gold Events, LLC policies and protocols and agree to familiarize all staff. I understand that I am wholly responsible for the behavior of anyone in my employ while on the Kinship Ranch property and that any infraction of the policies and protocols by myself or a member of my staff may result in the termination of my work on Kinship Ranch. Additionally, I understand that such an infraction may cause me to be prohibited from working at Kinship Ranch on any future occasion.
