You have indicated that you have already consulted with the Financial Aid office or have decided to waive that consultation and will accept the consequences of that decision.

Your withdrawal date for the course will be the last day you attended the on-campus class or the last day you actively participated in the online course.

Further, you may repeat courses with grades of W at Nelson University, but you may not transfer those courses from another institution or obtain credit by exam for them.

      Schedule Changes Process

    • Instructions: Select the number of adjustments the student has requested from above in the Number of Student Requested Changes field. The student can make up to six (6) adjustments per form submission. This will open the Requested Schedule Change areas for each course adjustment.

In each area, the Course Code, CAMS Updated and Change Finalized By fields need to be completed regardless of request type or decision. Completion of the other fields will depend on the type of request and how it is handled.

The Rapid Processing field is designed for use only when the student makes a change request that is denied based on calendar dates. For instance, students requesting to add courses outside of registration periods or withdraw from a course beyond the allotted time.

If you use the Rapid Processing field, the only other fields within the section that you should complete are CAMS Updated and Change Finalized By. Do not complete any other fields in the section.

If Rapid Processing is not the appropriate method of review, then you will need to complete the other fields (i.e. Faculty Name, Faculty Email, Schedule Change Type, Schedule Change Decision, and Reason for Decision) in addition to the three fields already addressed above. If you deny a request for a schedule/course change, you must give a reason in the Reason for Decision area.

Please keep in mind that the student and faculty member will see some of this information in the notification emails sent to them.

Learning Centers: Once you have reviewed and decided on all of the student's requests, click Submit and notify the Registrar's Office by returning the original notification email so that they can finish processing the form. If you deny a change request, please explain why in the Reason for Decision area.

Registrar's Office: Once you have addressed all of the student's requests, scroll to the Registrar's Office Only Section, provide any additional comments, select Yes to Send to Student, Yes to Notify Faculty, and complete the Total Credits Remaining field before clicking Submit.

Note: If a student requested a change(s) that only required Rapid Processing, you do not need to select Yes to Notify Faculty. However, if any of the changes required other decisions, you must Notify Faculty.

      Complete Withdrawal and Process Completion

    • Complete Withdrawal Processing

      Beginning of the Semester

Students who have not approved their bill (not Cleared) and request a withdrawal from all courses before the semester and up to the close of business on the first Thursday of the semester will be processed as a drop or back out.

      • Courses should be dropped instead of recording a W.
      • Student Billing and Financial Aid should be informed that it is a back out so that the student receives a full refund, does not have to pay fees, and their FA is canceled.

Cleared students (completed financial registration) who request a withdrawal from all courses after the first day of classes will be processed as Complete Withdrawals.

      • Hold the form until bills are authorized, and courses are made official in CAMS.
      • Check Blackboard for attendance or course participation. The withdrawal date should be the last day the student attended on-campus courses or participated in their online course. If no records exist, the withdrawal date should be the first day of the semester or enrollment period.
      • Students will receive W grades for all courses.
      • Student Billing and Financial Aid should be informed that it is a Complete Withdrawal, so they can charge the appropriate fees, calculate refunds, and complete the necessary financial aid calculations.

Students who have not cleared registration should be processed as a drop/back out regardless of the timing.

After First Week of the Semester

Students should be completely withdrawn in accordance with standard Complete Withdrawal policies.

Students cannot be completely withdrawn if they already have earned grades for the semester. However, students who have WP, WF, WC, or W (graduate) grades and withdraw from the rest of their courses should be listed on the Withdrawal Spreadsheet.
