• GUIDELINES FOR USING THE SANDSTONE EVENT CENTER

    I. Permission for use of the Sandstone Event Center must be obtained from the Museum attendant at 879-2233 or the president of the Historical Society, Dale McBride, at 620-515-0908.

    2. Requests to use the Event Center should be made a minimum of two weeks in advance of the event. Requests made under two weeks in advance will be determined on a case-by-case basis.

    3. A $50.00 security deposit is required to reserve the day/time and is non-refundable. When the rental time is over, and the Event Center is left in good condition, $25.00 will be given back to the renter when the key is returned. "All day" rental is any time from 8am to midnight. The rental hours should include set up and clean up time. If the renter goes over the selected rental time, additional charges will apply. Any rental hours ending after midnight is an additional $50 flat rate fee. The key must be returnedat 8am the following day. Additional rental time over 16 hours will have to be requested and approved prior to the rental date. See the fee chart below for rental amounts:

    4.There will be no smoking or open flames (candles) allowed in the building. Birthday candles are the only exception.

    5. Any group or organization that damages the building or equipment shall pay for the repair in full and will not get their deposit reimbursed.

    6. Each group or organization shall be responsible for the conduct of members. No running is allowed in the building. Do not touch any of the displays in any of the rooms.

    7. Maintenance problems (clogged plumbing. etc should be reported at once to the museum attendant or the president of the Society so that action can be taken to get the matter resolved. Please do not try to fix it yourself. If professional repairs are needed, see #5.

  • 8. The facilities should always be left clean and in order. The refrigerator and microwave should be wiped down & thoroughly cleaned. Cleaning materials, a broom and a vacuum are available for your use if necessary. If professional cleaning is necessary, the renter will be billed for this.

    9. There is to be no trash or garbage left in the building. Do not leave perishable items in the refrigerator or cabinets. There is a trash receptacle in the front of the building.

    10. You will be responsible for you own paper products and items such as cups, plates, silverware, coffee, cream, sugar, etc. There is a coffeepot available for use, upon request.

    11. Alcohol is allowed in the building, but it must stay inside the facility at all times. If a cash bar is held, the licensee is responsible for meeting all liquor license requirements. A copy of the liquor license will need to be supplied to the Caney Valley Historical Society a minimum of one week in advance of the event. The Historical Society is not responsible for meeting any requirements for a liquor license or the sale of alcohol for an event.

    12. All furniture shall be replaced as it was found.

    13. All lights are to be turned off. The heating and air conditioning unit is to be turned down or up as the season requires (heat 65 degrees; air 78 degrees) before leaving.

    14. Do not tape or tack anything on walls or windows. Chalkboard, Easel, and podium are available for your use upon request.

    15. The cabinets that line the walls contain Museum property. Please do not open or disturb.

    16. No tablecloths or linens will be provided. Vintage tea cups and & saucers, punch bowls, glass cups & plates are available for use upon request. If used, they must be washed, dried and returned to their storage place.

    17. Please refrain from plugging in multiple roasters/crock pots in the main room. Those circuits are not designed to carry that electrical load and may throw a breaker. Please utilize the outlets in the kitchen, which are designed for those items and are on their own breakers.

  • Cancy Sandstone Event Center requires a $50.00 deposit to secure the day/time. Additional rental times and fees are noted on the Guidelines Form. When the key is returned, and the Guidelines are followed, $25.00 will be refunded to the renter.

    If the request for use is not approved, the fees will be returned. Please make checks payable to Caney Valley Historical Society. Payment along with the completed Use of Building Request Form should be returned to the Museum.     I have read the Guidelines for Using the Sandstone Event Center. I understand the guidelines and agree to abide by them and to insist that all persons who are a part of my group will also abide by them.

    I understand the Caney Valley Historical Society reserves the right to refuse use of the building if my guests or I do not abide by the terms of this policy. I understand that my requested event will not be scheduled on Cancy Valley Historical Society's calendar until my Use of Building Request Form is submitted and approved by the Caney Valley Historical Society, and all required fees are paid. I will be liable for any and all damages to the premises, which may be caused by my guests or myself during my use of the facility. I release and indemnify Caney Valley Historical Society, its agents and assigns, from any liability, which may arise from any accident or injury, which may occur, on the premises during the event.
