1. Available dates to use the Sandstone Event Center can be viewed on the Calendar tab of our website: Caneyhistoricalmuseum.org. Reservation requests for events will be honored in the order of which the DEPOSIT IS PAID. COMPLETION OF THIS FORM DOES NOT GUARANTEE RENTAL. The agreement is not valid until approved and confirmed by the Historical Society. 2. Requests to use the Event Center should be made a minimum of two weeks in advance of the event. Requests made under two weeks in advance will be determined on a case-by-case basis.
3. A $50.00 security deposit is required to reserve the day/time and is non-refundable. "All day" rental is any time from 8 am to midnight. The rental hours should include set up and clean up time. If the renter goes over the selected rental time, additional charges will apply. Any rental hours ending after midnight is an additional $50 flat rate fee. Please review the four package deals for additional times and conveniences. The fee chart at the end of this form shows the rental amounts.
4. There will be no smoking or open flames (candles) allowed in the building. Birthday candles are the ONLY exception, and burned no longer than 5 minutes.
5. Any group or organization that damages the building or equipment shall pay for the repair in full and will not get their deposit reimbursed.
6. Each group or organization shall be responsible for the conduct of members. No running is allowed in the building. Do not touch any of the displays in any of the rooms.
7. Maintenance problems (clogged plumbing, heat/air not working, etc.) should be reported at once to the museum attendant or the president of the Society so that action can be taken to get the matter resolved. Please do not try to fix it yourself. If professional repairs are needed due to damage caused by the renter, the renter will be billed for that expense.
8. The facilities should always be left clean and in order. Sweeping and mopping are not required unless you have a spill to clean up. The refrigerator and microwave should be wiped down & thoroughly cleaned. Cleaning materials, a broom, and a vacuum are available for your use if necessary. If professional cleaning is necessary, the renter will be billed for this.
9. There is to be no trash or garbage left in the building. Do not leave perishable items in the refrigerator or cabinets. There is a trash receptacle outside of the building.
10. Unless purchasing a rental package, the renter will be responsible for their own paper products and items such as cups, plates, silverware, coffee, cream, sugar, etc. No linens or paper goods will be provided, other than paper towels and bathroom tissue.
11. Alcohol is allowed in the building, but it must stay inside the facility at all times. If a cash bar is held, the licensee is responsible for meeting all liquor license requirements. A copy of the liquor license will need to be supplied to the Caney Valley Historical Society a minimum of one week in advance of the event. The Historical Society is not responsible for meeting any requirements for a liquor license or the sale of alcohol for an event.
12. All furniture should be replaced as it was found. Tables and chairs do not need to be taken down.
13. All lights are to be turned off, but please leave all ceiling fans ON.
14. The heating and air conditioning can be adjusted to your comfort level using the thermostat by the kitchen door. Before leaving, the unit is to be turned down or up as the season requires (Winter heat 65 degrees; Summer A/C 78 degrees).
15. Do not tape or tack anything on walls, floors or windows, since that may cause damage or leave a sticky residue.
16. Upon request, there are other items that can be used for FREE. They are: vintage cups & saucers, coffee makers, serving utensils in the kitchen, punch bowl, glass cups & plates, additional chairs, and disposable plastic tablecloths of various shapes, colors, and sizes. ALL items must be cleaned and returned to their storage place when the rental is over. We suggest washing kitchen items BEFORE using them as well as after, due to virus outbreaks. The Historical Society is not responsible for sanitizing silverware and kitchen items prior to use. The renter assumes all the risk.
17. Items that can be RENTED for each event are:
1) sound system with wireless microphone - $100
2) wedding arch $75
3) two heart-shaped wedding candelabras $50 (decorations and battery-operated lights are allowed on them NO FLAMES)
4) all three wedding items for $100
5) Additional items: afternoon tea trays - various patterns and sizes (11 available), 3-gallon clear plastic drink dispensers (2 available), counter-top toaster oven, indoor grill, 22-quart roaster oven (2 available), podium (2 available) - $25 (flat-rate price is for one item or all of them)
18. The cabinets that line the walls in the main room contain Museum property. Please do not open.
19. There is a small First-Aid Kit in the bathroom if needed. Any major injuries should utilize 9-1-1 services for medical treatment. The Historical Society is not responsible for ANY accidents.
20. Please refrain from plugging in multiple roasters/crock pots in the main room. Those circuits are not designed to carry that electrical load and may throw a breaker. Please utilize the outlets in the kitchen, which are designed for those items and are on their own breakers.
21. Please note that there is no stove in the kitchen, due to liability issues with our insurance. Upon request, we do have a toaster oven or indoor grill available to rent for use.
22. The room is monitored with a Ring alarm system, motion sensors, door sensors, and a camera. Do NOT tamper with security items or unplug them. Any damage to these security items will be billed to the user.
23. We reserve the right to refuse service to anyone at any time and for any reason. If your rental request is refused, you will be notified as soon as possible. Any deposit or payment made will be returned after refusal notification.
