Thank you for your participation in the Twin Cities Hair & Beauty Expo (TCHBE). Please review the following terms and guidelines to ensure a successful event for all involved:
1. Vendor Acceptance and Payment: Upon your approval as a vendor by TCHBE, if you have not prepaid, payment instructions for PayPal will be provided. Please note, all sales are final.
2. Application Submission: Completed applications can be scanned and emailed to mnnaturalhairexpo@gmail.com.
Terms of Agreement:
1. Presence at Event: Vendors must be present on Sunday, August 11, 2024, from 8 am-10 am for setting up. A TCHBE representative will ensure readiness by 9:00 am for the event start at 11:00 am.
2. Approval of Goods: Vendors must only show/vend approved goods or services. Unapproved items are subject to removal.
3. Vendor Location: Sales and announcements must be confined to the vendor's assigned space.
4. Staff Conduct: Vendor staff must be neatly dressed and behave orderly.
5. Noise Restrictions: No loud music or sound devices without written permission from the TCHBE coordinator.
6. Post-Event Procedures: Vendors have 60 minutes post-event for cleanup and dismantling, exceeding which may incur additional fees.
7. Indemnification: Vendors agree to indemnify and hold harmless the TCHBE, its organizers, Marriott Minneapolis Northwest, and affiliates against losses or damages.
8. Waiver of Liability: Vendors waive the right to sue the TCHBE, affiliates, and representatives for injuries/damages related to the event.
9. Entrance Wristbands: Vendors receive 4 expo wristbands. Additional persons at the vendor table must purchase tickets.
10. Staffing Requirement: Vendors must ensure their space is staffed at all times during TCHBE.
11. Marketing Obligation: Vendors are required to promote their participation via online and print channels.
12. Promotional Rights: Vendors grant organizers rights to use names, photos, videos, and quotes for promotional purposes.
13. Assignment Restrictions: Vendors may not sublet or assign booth space without written consent.
14. Reservation and Payment: Spaces are first-come, first-served, with full payment and signed agreement required.
15. Non-Refundable Payments: All payments for vendor space are non-refundable and non-transferable.
16. Electricity Availability: Electricity is available upon request but not guaranteed.
17. Vendor Responsibilities: Vendors are responsible for their setup and dismantling assistance.
18. Trash Management: Vendors must manage their own waste, including breaking down boxes.
19. Permanent Assignments: Vendor locations once assigned are final.
20. Event Cancellation: TCHBE reserves the right to cancel the event, with refunds only in this circumstance.
21. Shipping Restrictions: No mailing items to the venue without TCHBE consent.
22. Refreshments: Light snacks and water may be available. Small coolers (up to 9 quarts) are permitted.
23. Additional Furniture: Any extra furniture must be approved by TCHBE.
24. Venue Restrictions: No tents allowed inside the venue.
25. Parking: Parking available at vendor's expense.
26. Legal Compliance: Vendors must adhere to Minnesota and Minneapolis laws, obtain permits, and follow tax regulations.
This application, once signed and accepted by TCHBE, is a binding contract subject to the above terms and conditions.
