Vendor Terms & Guidelines — 7th Annual Twin Cities Hair & Beauty Expo

Thank you for your participation in this year’s Twin Cities Hair & Beauty Expo (TCHBE). Please carefully review the following terms to ensure a successful and seamless experience for all involved:
Vendor Confirmation & Payment
Upon approval as a vendor, you will receive payment instructions via PayPal or CashApp. All vendor fees are non-refundable and non-transferable.

Completed applications should be emailed to mnnaturalhairexpo@gmail.com.
Terms of Participation
1. Set-Up Time
Vendors must arrive on Sunday, August 17, 2025, between 8:00 AM – 10:00 AM for setup. A TCHBE representative will ensure booths are ready by 9:00 AM. Doors open to the public at 11:00 AM.
2. Approved Products/Services Only
Only pre-approved goods or services may be sold. Unauthorized items are subject to removal.
3. Booth Boundaries
Sales, displays, and announcements must stay within your assigned booth space.
4. Professional Conduct
Vendor staff must be appropriately dressed and behave professionally at all times.
5. Sound Equipment
No loud music or amplified sound is allowed without prior written approval from the TCHBE coordinator.
6. Tear-Down Time
Vendors have 60 minutes after the event ends (6:00 PM) to clean up and dismantle. Exceeding this time may result in additional fees.
7. Indemnification
Vendors agree to indemnify and hold harmless TCHBE, its organizers, Delta Hotels by Marriott Minneapolis Northeast, and all affiliated entities from any liabilities or damages.
8. Waiver of Liability
By participating, vendors waive any right to pursue legal action against TCHBE and its representatives for injuries or losses related to the event.
9. Vendor Passes
Each vendor receives four (4) expo wristbands. Additional team members must purchase tickets.
10. Booth Staffing
Vendor booths must be staffed at all times during expo hours.
11. Marketing Requirement
Vendors are expected to promote their participation through online or print platforms.
12. Promotional Use
Vendors grant TCHBE the right to use their names, photos, video, and quotes for promotional purposes.
13. No Subleasing
Booths may not be subleased or shared without written approval from TCHBE.
14. Space Reservation
Booth assignments are first-come, first-served and confirmed upon full payment and signed agreement.
15. Electricity
Electricity is available upon request but is not guaranteed.
16. Booth Setup & Breakdown
Vendors are responsible for their own booth setup and teardown.
17. Trash Disposal
Vendors must manage their waste, including breaking down all boxes before disposal.
18. Booth Location Final
Once assigned, vendor booth locations are final.
19. Event Cancellation
TCHBE reserves the right to cancel the event. Refunds will only be issued in that case.
20. Shipping Restrictions
No items may be mailed to the venue without prior written consent from TCHBE.
21. Refreshments
Light refreshments may be available. Vendors may bring small coolers (up to 9 quarts).
22. Extra Furniture
All additional furniture must be pre-approved by TCHBE.
23. Venue Restrictions
Tents are not allowed inside the venue.
24. Parking
Vendor parking is available at the vendor’s expense.
25. Legal Compliance
Vendors must comply with all local and state laws, including necessary permits and tax regulations.
