RULES & REGULATIONS
The following applies to all bookings. These General Rules and Regulations are unique to the 9th European Stroke Organisation Conference (ESOC 2023), 24 - 26 May 2023 in Munich, Germany.
AMENDMENTS TO THE RULES
Any matters not specifically covered by the preceding rules shall be subject solely to the decision of the organiser. These rules may be amended at any time by the organiser and all amendments so made, shall be binding on exhibitors and sponsors equally with the foregoing rules and regulations.
ALLOCATION OF BOOKINGS
Sponsorship online order forms submitted before and on 5 September 2022 will be included in the allocation process based on priority. All online order forms received after 5 September 2022 will be processed and assigned after the allocation process.
The organiser will make a recommendation for the booth space based on the floorplan to the exhibitor. The organiser reserves all rights to make changes to the exhibit space, after consulting the exhibitor involved.
CANCELLATION POLICY
When an exhibit package, a sponsorship item, or an Satellite symposium confirmed in writing has to be cancelled, a cancellation fee of 50% has to be paid until 21 December 2022. After 21 December 2022 a full cancellation fee applies.
CONDITIONS OF PAYMENT
Conditions of payment mentioned on the invoice/confirmation are valid. In any case payment has to be made before the opening of the event. If payment is not received on time, access to the congress will not be granted and the payment remains due. All prices are indicated in Euros (€) and exclude VAT.
The submitted invoicing details when making the sponsorship booking for the event are final. Once the contract has been issued, any changes to the invoicing details will be subjected to a handling fee of EUR 30.00. Payment for the handling fee can be either included in the revised invoice.
DAMAGES / SAFETY / INSURANCE
Exhibitors are entirely liable for damages to third parties, booths, properties, health (be injury or death). To this extent Congrex Switzerland Ltd. and the International Congress Center Messe Munich are to be considered third parties. Exhibitors' liabilities are extended to their personnel and/or other people working under their authority.
Congrex Switzerland Ltd. and its staff nor the International Congress Center Messe Munich are liable for any damages and/or loss suffered by the exhibitors during the exhibition, including installation and dismantling – it is strongly recommended to arrange insurance accordingly.
The congress rooms and exhibition areas will be locked at night. No night time security service is planned for the exhibition area.
GENERAL CONDITIONS
All activities organised by companies involving participants in the meeting must be approved by ESOC. Distribution of drinks and meals must be in compliance with rules of the meeting venue. ESOC may accept multiple sponsor for the items listed in the sponsorship opportunities, unless otherwise indicated.
PROMOTIONAL AND BOOTH ACTIVITIES
All stand activities and displays must reflect the character of the congress and are subject to review by ESOC.
Promotional activities within the exhibit space are allowed as long as they do not interfere with the running of the congress nor disturb your fellow exhibitors. Exhibits must not project beyond the space allocated, and may not obstruct the view or interfere with the traffic of other exhibits. It is within the organiser’s capacity to have any activities stopped.
The placement of signs and posters on the exterior doors or walls of the rented room is possible. No part of any exhibit, or signs relating thereto, shall be posted, nailed or otherwise attached to columns, walls, floors or other parts of the facility, in any way. No other signage or promotion can be made within the building other than the organisation’s stand.
Electrical and other mechanical appliances must be muffled so that no noise disturbance is caused to other exhibitors. The organiser reserves the right to determine at what point sound constitutes interference with others and if it must be reduced or discontinued.
ESOC reserves the right to refuse rental of exhibit to any company whose display of goods or services, in the opinion of ESOC, is not compatible with the general character and objectives of the meeting. Demonstrations, samples, materials and sales activities (taking order for future fulfilment) are permitted only within the confines of a sponsor’s rented spaces.
Samples or souvenirs may not be sold and may not be distributed in a manner which, in the sole and exclusive judgment of ESOC, blocks the aisles or in any way handicaps other sponsors or impairs the flow of attendees. No sales transactions are allowed on the exhibition floor; sponsors are permitted to take order for future fulfilment.
Serving of hot meals has to be authorised by the organiser. Preparation of hot meals at the booth is not allowed.
FORCE MAJEURE
If the Congress and / or the exhibition has to be cancelled or changed due to unexpected political or economical events or generally “force majeure”, the organiser cannot be claimed for any compensation.
ORGANISER
Congrex Switzerland in Basel / Switzerland is the host and administrative organiser of the 9th European Stroke Organisation Conference.
PLACE OF LEGAL PERFORMANCE AND VENUE
Should the parties involved disagree on any point, they are subject to the official court of Basel-Stadt / Switzerland.
