Step 1:
SECTION: Your #1 Responsibility — Active Promotion As a host, your most important job is to ACTIVELY promote and fill the clinic. Do not simply book a venue and wait for people to sign up. The BTM office will list your clinic on Paul's website and create a registration form for you to share — but it is YOUR responsibility to drive sign-ups within your local community and network. Paul travels by plane to every clinic. If there are not enough attendees, the clinic will be cancelled. Active promotion includes: - Personally reaching out by phone, text, and in person to every horse person you know - Posting about the clinic on your personal social media and in local equestrian Facebook groups - Sending the BTM registration link via email and text to your contacts, barn friends, and riding club members - Putting up flyers at local feed stores, tack shops, barns, and equestrian facilities - Following up with people who expressed interest but have not yet registered - Talking about the clinic at local horse shows, trail rides, and events
SECTION: Key Deadlines - Upon Signing: Pay $350 Host Deposit. Submit venue info. Begin promoting immediately. - 45 Days Before Clinic (Go/No-Go Deadline): Minimum 8 paid deposits must be received. If fewer than 8 are in, the clinic may be cancelled and the host deposit is forfeited. Paul's travel is not booked until this deadline is met. - 30 Days Before Clinic: All attendee final balances must be paid in full.
SECTION: Early Bird Incentive To help fill the clinic early, BTM offers attendees a $50 discount when they pay their deposit 60 or more days before the clinic. Promote this incentive actively.
SECTION: Host Compensation — Fee Structure - Fewer than 8 paid attendees by Day 45: Clinic may be CANCELLED, host deposit is forfeited - 8–9 paid attendees: Host pays full clinic fee, deposit applied - 10–11 paid attendees: Host pays half clinic fee, deposit applied - 12 or more paid attendees: Host rides FREE, deposit refunded or credited to next clinic
SECTION: Equipment Requirements The host must provide on-site and ready before the clinic begins: - 6 cones - 6 poles - 3 barrels
SECTION: Venue Responsibilities - Secure an appropriate equestrian venue available for the full clinic duration - Ensure adequate parking for attendees and trailers - Ensure fresh water is available for horses - Communicate all facility rules to attendees prior to the clinic
SECTION: Cancellation Policy - If fewer than 8 paid deposits are received by the 45-day deadline, BTM may cancel or postpone the clinic and the host deposit is forfeited - Host cancellations with less than 45 days notice will result in forfeiture of the host deposit By signing, I confirm I have read and fully understand this Host Agreement. I agree to fulfill all responsibilities, including actively promoting the clinic, paying the $350 host deposit, meeting all deadlines, providing required equipment, and ensuring the venue is properly arranged. I understand that hosting a BTM clinic is an active commitment and the success of the clinic depends largely on my personal effort to promote and fill it.
