Booking form below - please read accordingly as booking constitutes full agreement to our conditions of hire.

Sunday 12noon til 2pm and 3pm Til 5pm (Strictly)

£20 deposit required for all parties, Booking is not secured until Jotform and full deposit is received:
- Final Payment (£40) is due one week prior to party date (No exceptions).Overall Fee £60 (Additional costs will apply for additional third party services.
OTHER EVENTS:
- All other event bookings must be paid in full at time of booking.
TIMINGS:
Due to hall demand set-up is restricted to TWENTY minutes prior to your party starting. Halls must be cleaned and free from all persons within twenty minutes of your party end time. Additional time may be purchased subject to hall availability.
Our premises are hired out in 30 minute slots therefore if you feel you require additional time it is available (Dependant on availability) at a rate of £15 per additional 30 minutes per room for centre facilities.
PAYMENTS:
Payments must be made via PayPal (Friend's and family option only). Any discrepancy must be reimbursed to Melmount Community Forum before party date. Alternatively a cash payment can be made and a receipt obtained by calling to the centre prior to party booking as per stated requirements. A receipt may be by electronic means.
Your rental is for the rental of the Hughie O'Neill Activity Room (Main Hall), The Fidelma Doherty Memorial Hall (Bouncy Castle Room) and Kitchen only.
THIRD PARTY SERVICES:
No third party services allowed without the prior permission of centre management. Third party services must have and produce public liability insurance to the centre management in advance of party date if agreed. Original Certificate Only. Third party services requiring access to electricity, water etc will incur additional fees. A full breakdown of requirement must be furnished to Melmount Community Forum in advance of any service provision. Additional cost are payable by the person booking the facility and in advance of party date.
UTILITIES:
You must bring kitchen utensils, highchairs etc if required as such is not supplied. Due to the continued theft of USB plugs etc we no longer supply music equipment. If required please feel free to bring your own. Any item removed from our premises without express permission will be dealt with under our theft policy.
INSURANCE:
Our insurance does not permit the use of chip pans, cooking oils etc on our premises. Boiling/Hot water, Sharp knives or any item that may cause harm or injury must remain within the kitchen no exceptions. Children are not permitted within the Kitchen area at any time. Any damage caused by those attending your party or third party services requested by you must be paid for by the booking individual. Any dispute will also be between you and the persons responsible for any damage. Melmount Community Forum will not be responsible in any arbitration in such matters.
ALCOHOL/DRUGS:
Strictly no alcohol or drugs are permitted on our property. Not in any type of container or vessel (people included ie: consumed) Our property is inclusive of our premises, car park and all associated grounds.
Smoking is strictly prohibited within the premises. Smoking is permitted outside premises but within centre carpark. All cigarette butt's must be deposited within the receptacles provided. We would ask that this is strictly adhered to as young children avail of our services. Any person found littering will be removed and may lose future use of our facilities.
SUPERVISION:
Supervision and safety is the responsibility of the hirer any and all damage caused during your stay will be Rectified/Repaired/Reimbursed to the Centre by the person hiring the hall.
BULLYING AND HARRASSMENT:
The Melmount Community Forum and associated groups will not in any way tolerate any abuse or threat of violence towards it committee, staff, volunteers or service users. Any such activity no matter how minor will be dealt with legally and without hesitation.
HEALTH & SAFETY
No adults are permitted to use the bouncy castle for any reason or at any time (no exceptions) any adult discovered ignoring this instruction will be asked to leave, and may be denied any future access to the centre.
Shoes must be removed by children and stored in a safe place ensuring no trip hazard for other facility users. No jewellery, sharp objects, food, drink or balloons permitted on bouncy castle.
Bouncy Castle is used at users own risk and is limited to eight children maximum at any given time.
No somersaults, flopping, pushing or diving whilst using Bouncy Castle. Adult supervision must be in place at all times. No child is permitted behind Bouncy Castle at any time (no exceptions).
The Bouncy Castle is timed to come on 15 minutes before your party time and 15 minutes after party end time. It is the responsibility of the hirer to ensure that no child is in the vicinity of or on the Bouncy Castle during inflation or deflation.
No climbing on chairs, tables etc. Any spillages must be brought to the attention of all facility users, highlighted and cleaned immediately.
In the event of an evacuation the hirer and/or their appointed persons must ensure the safe and calm evacuation of the premises inclusive of adjoining rooms. The exit is by means of the nearest safe passageway. In the event of using the rear fire doors (rear of building double doors) escape is to the left of exit along pathway towards front street and along fence to front carpark. No vehicle should be moved whilst people are in assembly point. A head count must be undertaken immediately and any person missing accounted for. Do not under any circumstances re-enter the building. Phone 999/112 in the event of a fire.
No persons are permitted to access the back garden for any reason. Previous parties have seen unsupervised children climbing out through windows. This will not be tolerated.
The safety of all visitors is paramount.
CCTV:
Is installed (internally and externally) stored to the cloud. All data and recordings are held in strict adherence to GDPR requirements. Footage will only be viewed in the event of an incident arising or damage caused. Footage will be deleted after thirty days.
PARKING:
Please use and encourage guests to use Community centre car park during your event. Please consider local residents especially those with young kids and/or mobility issues. Park respectively so that others can use car park also. The Melmount Community Forum (The Hub - Greater Ballycolman Community Centre) accept no liability for any damage, loss or injury to person, vehicle or property whilst on or using associated equipment and/or property.
REMINDER:
It is the responsibility of the hirer to ensure that the agreement above is adhered to at all times.
Our facility is used at your own risk. We take no responsibility for you, your invited guests, their personal property and/or vehicles.
No liability will be accepted by Melmount Community Forum, its associated groups, staff or volunteers for any incident, damage, loss or injury whist using Melmount Community Forum or associated property including The Hub - Greater Ballycolman Community Centre 318A Ballycolman Estate Strabane BT82 9EH or associated grounds.
It is the sole responsibility of the person booking or services to ensure that a booking form is submitted via the allocated booking system. That the deposit is paid and received by the administrative staff. Full balance (including any additional charges) must be paid seven full days prior to party date. In the event that the following requirements are not met then the party date will not be reserved nor facilitated. The Melmount Community Forum, it's staff or volunteers will accept no liability for any loss incurred by the failure of hirer to adhere to the above requirements including payments.
The Melmount Community Forum management team, appointed employees and volunteers decisions will be final and without challenge.
We strongly advise that the hirer reads and is fully understanding of the above requirements as booking our facilities hereafter constitutes acceptance of the above requirements in full. CANCELLATION NOTICE AND DEPOSITS:
ALL access to our amenities will require an appropriate and pre agreed fee to sustain the overall running and maintenance costs associated with our amenities. Any booking will require a clear fourteen day cancellation notification to allow for our amenities to be readvertised as available. Failure to give the required notice will result in the forfeit of the required holding deposit. Any refund issued may take up to five working days.
