    Thank you so much for joining us for Woodford Folk Festival 2022/23. We're thrilled to be bringing back Woodfordia's flagship event and looking forward to welcoming you to site.

    Please contact us on 5496 1066 or stalls@woodfordia.com if you need help completing it have or questions. You can save information in your application and return to it at any time prior to submitting it. You can only submit the application once.

    Agreement

    By submitting this form you are confirming that you have read and understand the  Stallholder Terms and Conditions , Informations for Stallholders, and Stall Fees documents as well as Information for Food and/or Beverage Stallholders if applicable.

    To complete this form, you will need;


    1. Dimensioned plan of stall layout including camping area (if camping behind stall). Inlcude cold rooms, vehicles, seating areas etc and allow for ropes and pegs etc.

    2. Dimension plan of camping layout including crew camping (if camping in Stallholders camping area).

    3. Electrical Requirements (maximum load)

    4. Gas Requirements

    5. Plumbing Requirements (can be included in stall layout plan) including ALL plumbing and gas fictures (sinks/taps/hot water systems)

    6. Public Liability Insurance certifcate or policy

    7. Moreton Bay Regional Council food license (food/beverage stalls only)

    8. Food safety Supervisor certificate (food/beverage stalls only)


    Any applications that are submitted without the above documentation WILL NOT be considered.

  • Gas Appliances

    Food trucks and trailers can provide copy of gas certificate below. Others will need to obtain a gas certificate once your stall is set up. Gas systems fitted on site must be completed by a licensed person and new gas certificate issued for that system for the period of the event. Any non-compliant gas systems identified by inspectors will be shut down until rectified by a licensed person. Licensed gas fitters will be available on site. Refer to 'Stall Fees' section of this application for gas certificate costs. You can also arrange your own certificate with a licensed contractor.

  • Stall Fees

    Your stall fee is determined by your stall type and your stall size including your back of house area (Your camping is not included in your stall size). We will invoice accordingly when your stall size has been confirmed. Where a stall is an unusual shape or size, an appropriate square meter rate will be used to determine stall fee. All fees are shown inclusive of GST.

  • Electrical Requirements

    Event electricians install ALL temporary electrical infrastructure on the festival site and provide access to power for stallholders. Please indicate your estimated electrical requirements. Note that fees include GST.

  • An audit will be carried out by electricians on the 28th and 29th of December to determine how much power has been used and forecast what your usage will be.

    Power usage will be invoiced at the event and the stallholder is then required to pay within 24hours of receiving the invoice at the event. 
    This fee is per outlet and includes connection and reticulation for the whole event. Compliance with the following rules is compulsory: 
    - Declare all electrical appliances you intend to use, include your stall camping. 
    - Event electricians will connect your stall to the festival electrical distribution board. 
    - Connection of tagged and tested appliances only will be accepted. 
    - No double adaptors are to be used - power boards are acceptable. 
    - Earth leakage circuit breaker safety switches will be installed by Event electricians. 
    - Tampering with the electrical distribution box will result in site eviction. 


    Please remember that electricity supply on site is limited and you are encouraged to use gas appliances where possible. Undeclared electrical appliances cannot be used; confiscation of the item or disconnection from the electric supply may result. 
    The Stalls Team will forward accepted food stalls electrical request forms to the event electrician for an accurate quote on the amps requested. 


    All electrical items need to be listed, including your camping area if you intend to camp behind your stall. Please complete the Electrical Requirements below in full, stating per line the item of electrical equipment and amps. 

     

  • Stall plan

    Accurately draw your Stall Plan to scale including all items below. 
    Add your Stall name and your name at the top of each page. Be sure the measurements are correct as your stall/camping allocation is on the basis of these plans. You must include ropes and pegs where space for pegs and rope-out is required.


    You can use our Stall Layout Plan  template or provide your own plans. 


    The Stall Layout Plan must include everything:

     - Camping plan (If camping behind stall, camping behind is recommended) 
     - Preparation areas: including the service areas, work flow, scullery, gas equipment 
     - Cold rooms/Freezers - with direction of door opening 
     - Seating areas 
     - Storage areas 
     - Parking areas 

     

  • Stall and Camping Plans

    Providing accurate and detailed stall and camping plans will help ensure we provide you with appropriate comfortable space suited to your needs. Note that your Stall plan must match and/or fit into the stall size you have nominated above. Please contact stalls@woodfordia.com if you need to change your stall size.

  • Accessibility + Power

    Power is not available in the designated stallholders camping area for you or your crew. If you or a member of your crew require access to power for the use of medical equipment, they will need to apply at  https://woodfordfolkfestival.com/prepare/accessibility/

  • Other Requirements

  • Bank Details

    FOR SITE BOND REFUND - LEAVE NO TRACE ~ Your site bond will be included on your invoice with your stall fees. A full refund will occur when you leave your site the way you found it, if you hire contractors to construct marquees, it is still your responsibility that they leave it clean and without debris, including flooring, cable ties and rubbish. Please nominate the bank account you would like your bond to be refunded to. 

  • Public Liability Insurance

    Minimum $20,000,000 public liability insurance is required for all stallholders.

    The Woodford Folk Festival is committed to reducing the amount of waste taken off site and into landfill. Only compostable, single use food service items or packaging may be used. From 1 September 2021, single-use plastic straws, stirrers, plates, bowls, cutlery, and expanded polystyrene takeaway food containers and cups were banned across Queensland.
