Many of the volunteer roles take place during the event - you won't be able to sit down for dinner but a volunteer meal will be provided to you (no need to buy a ticket). Those roles will be marked with an (*) below.

  • Volunteer Role Descriptions

    The number in parentheses indicates the number of volunteers needed for the position. All volunteers at the gala must be willing to comply with the safety measures for attendees at the event. Volunteers for many jobs during the event will not be able to attend the event as a guest but will receive a volunteer meal at some point during the evening. You do not have to be a TSNW member to volunteer.
    • Cashier and Guest Item Pickup (4): The cashiers will be responsible for working with the auction software to check in guests as they arrive, swiping credit cards and providing table information. They will also enter the Dessert Dash donation bids into the software and tally the table totals. At the end of the evening, some of the cashiers will help guests who need help checking out. Others will review the guest checkout status via the software to make sure that the guest has paid for their items, which will then be gathered by the Auction Item Assistants. Volunteers in this position must be available at 4:00pm for training and will need to stay through the end of the event. Volunteers should be computer literate, attentive to detail, calm, and friendly.
    • Cashier and Auction Item Organization Assistant (3): The cashier assistant role is to help the cashiers by retrieving the filed bid cards for the cashiers to hand out during guest check in. A speedy, efficient check-in process is very important to ensure that our guests have a great experience.  Once registration is completed, they will transition to the space where the auction items are stored. At this time, these volunteers will work behind the scenes to prepare the auction items for retrieval by the guests who have won them. As soon as the silent auction closes, they will sort the items into bags by bidder number. Then as live auction items sell, they will also group those items. The purpose of this job is to have all the auction items organized and ready for a speedy, streamlined auction checkout. Volunteers must be highly organized and have great attention to detail in reading the description of the item, matching it up to the item in hand and then with the bag belonging to the winning bidder number. 
    • Greeter (2): Welcome guests as they arrive, remind them to have their negative Covid rest results ready, direct them to the safety monitor table. The second greeter will be located at the bottom of the stairs and make sure that people have cleared the safety monitor desk before heading upstairs. Greeters need to be warm and friendly - this is the first contact the guests will have with this Gala and therefore may set the mood for their experience.  Greeters need to be ready to seek answers to any questions the guests may have. 
    • Safety Monitor (2): These volunteers are responsible to verify the guests meet the necessary covid attendance requirements and if not, explain the process to resolve, hand them an at-home test, send them to wait and review results.  
    • Decoration Assistant (2): These volunteers will assist the event manager with table setup of decorations and any other tables as needed. Can enjoy the event if they have purchased a ticket. 
    • Runner (2-3): These volunteers will be available during the gala to support the auctioneer, the event manager, the cashiers, and other volunteers as needed. They will also assist in the distribution and collection of Dessert Dash bid sheets. Runners should be comfortable being on their feet and moving around for 3-4 hours. 
    • Photo Booth Photographer (1): Have fun snapping photos of our guests as they pose for their souvenir event photos. Camera can be provided. Some photography skills desired, but professional level not required. Volunteer should be outgoing, fun and enjoy interacting with the guests as they mug for the camera. Can enjoy the event if they have purchased a ticket. 
    • Technical Support for Gala Event Attendees (3-5): These volunteers will be available to coach attendees who need help bidding, logging in or other questions about using the auction software. They must be comfortable using software, learn the relevant parts of the auction software, friendly, patient, and good communicators.
    • Dessert Dash Driver (3): Must be available during the morning of the event (Oct. 8) to drive to bakeries that are donating Dessert Dash items. You will pick them up and then deliver them to Sahalee Country Club. Routes will be divided between drivers to stay in the same general vicinity as much as possible. Can enjoy the event if they have purchased a ticket.  
    • Wine Pickup Driver (1): Wine pickup location TBD. The volunteer will go to the winery at a mutually agreed upon time and then deliver the wine to either a staff member’s home or hold for delivery to Sahalee Country Club the day of the event. Can enjoy the event if they have purchased a ticket. 
    • Live Auction Proxy Bidder (1): This person will record the live auction bids and donations as they occur in the auction room using the auction software. They will need to pay close attention to the bids being called out by the auctioneer. This is a critical role that is very fast paced. They must be comfortable using software, be able to hear well, and enter data quickly and accurately into the auction software. 
    • Auctioneer Virtual Bidding Assistant (1): This person will be responsible for communicating at-home bids to the auctioneer. This virtual spotter will be looking at the software display and looking at live bids coming in from at-home bidders. This person will simply raise their hand or a paddle to communicate to the auctioneer that there was an at-home bid. It is important that this person is in clear direction of the auctioneer for easy communication. They must be comfortable using software, be able to hear well, and not be shy about getting the auctioneer’s attention when needed.  
    • Live Auction Donation Recorder (2): These volunteers will record donations on paper as they occur in the gala auction room to be used as backup for the Live Auction recorder. Attention to detail, great hearing, quick response needed. 
    • Managing Software Bidding for Auction (1): This person will be responsible for starting and selling the live items one at a time using the Manage Butler EventStream page of the Auction Software. This is a critical job. This volunteer must be very comfortable with using software, good focus, good hearing and attention to detail. This person will click start to start the live bidding for a live item from the unsold list one at a time. 
    • Live Auction Spotter (3-4): These volunteers need to be unafraid of getting into the mix. They will help the auctioneer identify bidders in the room by waving glow wands (or something else) to be sure that the auctioneer sees the bidder and their bid. They will also encourage the bidder to continue bidding.  
    • Clean Up (4): These volunteers will help clean up the auction. This is usually limited but can include picking up items left in lobby area or tables, breaking down boxes, picking up centerpieces left, and any other packing up as needed. Can enjoy the event if they have purchased a ticket. 
    • Dessert Dash Setup (1): Set up the Dessert Dash Table and organize the desserts including artful arrangement and number placards next to each dessert. Can enjoy the event if they have purchased a ticket. 
  • Should be Empty:
