This document lets you know what to expect from Hopscotch Day Nursery whilst your child attends and explains policies such as fees, sickness and collections. Our full policies and procedures are available to view on request and by signing this document you agree to all the Nursery policies and procedures.

FEES
FEES - Fees are payable to our bank account by the 1st of the month for that month i.e. fees for January are due on the 1st January etc; or via direct debit. Currently, we allow up until the 10th of the month to pay all fees due for the month, after which we charge a daily late payment fee of £5 per child per day until the day the fees are received in full. Any fees which remain outstanding at the end of the month to which they relate, mean that we may choose to refuse admission until the account is brought up to date. We require payment according to our terms. Payment must be made on time, in full, and without any deduction, set off or counterclaim. In the event that an account is outstanding, we will refer the matter to our debt collection agents, Daniels Silverman Limited, which will incur costs. Any costs incurred to collect the debt by any means necessary will be added to the debt, plus VAT at the prevailing rate. You agree that you will be legally liable to pay us that surcharge, and that payment of the same can be enforced against you in court. Hopscotch Day Nursery will give one months’ notice of a change to fees. Fees are payable all year round regardless of closures, bank holidays, illness etc. and are subject to at least an annual increase, usually in April although where necessary fees may be increased at other times to ensure the viability of the business.

DEPOSITS & REGISTRATION FEES
DEPOSITS - Deposits are payable for all children regardless of their entitlement to Government funding. A non-refundable £50 registration fee will be charged for all children unless you are applying for a Basic Entitlement Funded place where available. We will require a non-refundable deposit of £150 to add your child to our waiting list. For children applying for a Basic Entitlement funding place a £100 deposit is required. For children registering for the Out of School Club a deposit of £150 is payable. All deposits are held by us and deducted from the last fee invoice when one months’ notice of leaving is given. The deposit is non-refundable if notice is not given or if there are outstanding fees due. Deposits are non-refundable if the place is not taken up on the date requested in the registration form submitted. Rules on funded hours are available to view in our policies and procedures folder located at the nursery and are also detailed on our website.

FUNDED PLACES
FUNDED PLACES - Funded Only Places will be offered within the two weeks in advance of the start of term in which the place will be available. Days and hours will be determined by the setting and are subject to availability. For parents taking a Basic Entitlement Funded hours only option, the hours are fixed for the term in which they have been allocated and there can be no changes, swaps or extra hours under any circumstances. For parents taking this option, funded sessions cannot be used before 9am or after 3pm.All funded hour entitlements will be spread over 51 weeks of the year. For 15 hours of funding the actual funded hours will vary depending on the actual length of the school term to which the funding relates. In line with Government guidance, we charge an hourly fair funding consumables rate for each child while they are attending at nursery and utilising funded hours. This covers the additional costs we incur to pay for items including, but not limited to, costs such as nappies, creams, wipes, snacks, activities, trips and also other costs which are not covered under the primary requirement of the Government for us to deliver childcare. Your child will only be accepted to the setting for funded hours as long as Essex County Council approve the funding payment. If you wish to opt of of the Enhanced All Inclusive provision we offer, please notify a nursery manager as soon as possible to enable us to adjust your child's hours and fee structure accordingly. There is a notice period of one term required for you to opt out of the Enhanced All Inclusive provision. COLLECTION OF CHILDREN
COLLECTION OF CHILDREN - Your child must be left and collected at the designated times otherwise you will be charged an extra fee for early start or late collection based on our hourly rates. The nursery closes at 6pm. Late collections after the nursery is closed will be charged at £15 for every 15 minutes or part thereof for which you are late. If you know you will be late for any reason it is essential that you contact the nursery to inform us as soon as possible. Please refer to our policies and procedures for details on action which will be taken should a child fail to be collected. If someone other than the known parent/carer is collecting from the nursery staff must be informed beforehand, with a full description of the person collecting, along with a password. Children will not be released without this information.

ADMINISTRATION
Please inform us immediately of any change to your personal details, address, phone number, email address etc. in writing wherever possible. We will try to accommodate changes in days or extra days on a temporary basis but please note this may not always be possible. One months’ notice is required in writing to end the contract or change the regular sessions which your child attends and one months’ fees will be charged.

FOOD
FOOD - Hopscotch Day nursery adopts a Healthy Eating policy. If your child will be with us over lunchtime, we require a cold packed lunch to be brought in for them. We are unable to reheat food at any time for any child. Drinking water and cow's milk are available to all children at all times of the day and during meal times. If your child has special dietary requirements, please inform the nursery in writing. Please do not bring any foods which contain any form of nut as we are a no nut nursery. This includes products such as peanut butter, chocolate spread, pesto, Kinder bars etc. Please also see our Food Policy detailed on our website

PARENT/NURSERY COMMUNICATION
PARENT/NURSERY COMMUNICATION - We pride ourselves on our open-door policy and invite parents to speak to us about any concerns they may have at any time. Nursery staff will share your child’s progress though their online ‘learning journey’ and parent consultations on a regular basis. Hopscotch Day Nursery follows the EYFS and activities are offered to support this on a daily basis.

ILLNESS
ILLNESS - Please do not send your child to nursery if you feel they are unwell. Remember that germs travel! Sickness and diarrohea. Children will not be admitted to nursery until they have been clear of symptoms for 48 hours. Medication can be administered at nursery as long as it has been prescribed by a medical doctor. The child’s name must be on the bottle and a medicine form must be signed prior to the medicine being administered. Children must have been taking the medication for at least 48 hours before being allowed to nursery to allow for any possible allergies to become apparent. A separate medication policy explains other procedures used within the nursery. All procedures are available to view in our folder in the office.

CHILD PROTECTION
CHILD PROTECTION - It is important to inform staff of any bumps, bruises or marks that your child may have incurred at home and arrived at nursery with. Please inform staff of anything at home that may affect your child’s behaviour e.g. birth of a new baby, loss of a relative or pet, break up with a partner etc. as this could have an impact on the child’s behaviour. If your child sustains an injury at nursery, you will be informed. Details of the accident will be recorded on a form which you will be asked to sign as confirmation that you have been informed. For all other safeguarding and child protection issues please refer to our policies and procedures. Information about all children is confidential and as such staff will not discuss any child with another family.

INCLUSION AND EQUALITY
INCLUSION AND EQUALITY - The managers and staff will work at all times to ensure that your child has a happy, exciting and stimulating time whilst at nursery.The nursery respects all cultures, ethnic and religious needs that you or your child may have.Your children will be finding out about many different cultural and religious festivals that are not necessarily part of your culture and you will be kept informed of any related activities.We operate an ‘open door’ policy and as such parents and carers are welcome at the nursery at all times

CLOTHING
CLOTHING - Our nursery operates a free flow system meaning that the children may access the garden at most times during the day - even in the winter. The curiosity approach our nursery follows, means that the children will explore and investigate, which will inevitably lead to them getting messy and possibly getting their clothes dirty during their day with us. In order that your child is able to make the most of this freedom to explore and investigate, we must ask that you do not send your child into nursery in any clothes which you will be unhappy for them to get dirty and please absolutely NO designer clothes. We would encourage you to use nursery branded clothing which will get the children used to wearing a uniform, as they will usually have to do when they eventually start at school, and it will let them know it is ok to get those clothes dirty during their time with us. Each child is provided with a named bag. Please ensure this always contains plenty of spare clothes and underwear in case of accidents or if they get their clothes wet during the day. We ask you to regularly check that there are spares available in this bag. It is most important to us that your child has a happy, exciting and stimulating time whilst at nursery and that they do not have to worry about messing up their special clothes

SUNCREAM
SUNCREAM - During the summer and when hot weather is expected, we require all parents and carers to bring children into nursery with sun cream already applied and with a named sun hat for them to wear while in the garden. This is to ensure that it is safe for them to be outside. On very hot days we will avoid taking the children into the garden at the hottest times. If you have not already applied your own sun cream you will need to apply it to your child before leaving them. Suncream is supplied by the nursery if you have forgotten to apply it at home. We use Factor 50 suncream. Children who have opted out of our Enhanced All Inclusive options must provide their own suncream
